For Microsoft-based workflows, Power BI can build reports from Excel data; for Google-based workflows, Data Studio connects Sheets and many other sources to shareable reports. The right choice depends on how your data gets into the tool, how interactive the report must be, and what your authors and viewers need.
Spreadsheet replacement or reporting layer?
“Excel alternative” can mean a different spreadsheet for entering and analyzing data, or a separate reporting layer that reads spreadsheet data and presents it as charts, tables, and dashboards. If the spreadsheet is already where your data lives, the second approach may let you keep it while improving how people consume the results.
Choose based on the work you need done: basic tables and charts may be enough for a static report; recurring reports benefit from reusable data and layouts; interactive dashboards are useful when viewers need filters or date controls. Also decide whether the report should use an imported copy, a connector, or a model that can be refreshed.
Power BI: build reports from Excel data
Power BI is a natural candidate when your organization already uses Microsoft tools and you want to turn workbook data into reports or dashboards. Microsoft documents two distinct routes from Excel: Upload and Export.

Upload a workbook to view it
Upload makes the workbook appear in Power BI much as it does in Excel Online. You can pin worksheet elements to dashboards, but this route does not create a Power BI semantic model. It fits a workbook whose sheets, PivotTables, or charts should be viewed rather than rebuilt as a modeled report.
Export data or a model to build reports
Export sends supported table data and/or the workbook’s data model into a new Power BI semantic model. You can then build Power BI reports and dashboards from that model. Microsoft says workbook changes generally synchronize with the model within about an hour; republishing can push changes sooner. This is the more relevant route when you need a reusable reporting model rather than a view of the workbook itself.

Do not rely on the legacy publishing menu
Microsoft says the older “Publish to Power BI” feature is deprecated in Excel in Microsoft 365 and is not included in Excel 2024 perpetual. Its current documentation describes Upload and Export instead. The older route also no longer supports uploading local Excel workbooks to Power BI workspaces or configuring refresh for them.

- Sign in to Office, OneDrive for work or school when used, and Power BI with the same account.
- The workbook cannot be empty or contain unsupported content; encrypted or password-protected workbooks and workbooks with Information Protection Management applied cannot be published.
- Modern authentication is required, and publishing from Excel Desktop is not supported for sovereign clouds.
- Local-file publishing has version and subscription conditions. A standalone Excel installation requires the workbook to be saved to OneDrive for work or school.
Data Studio: connect Sheets and other sources
Google’s reporting product is currently called Data Studio. Google says it returned to that name from Looker Studio in April 2026. Its documentation describes customizable reports and dashboards with charts, tables, pivot tables, viewer filters, date controls, branding, and sharing or embedding. It supports real-time collaboration, scheduled report emails, and sharing by link.
For spreadsheet users, Data Studio can connect to Google Sheets. Google also lists Google marketing products, databases, CSV files, Cloud Storage, social sources, and blended data. Its product page describes more than 1,400 direct data sources, including Google Sheets, Google Ads, BigQuery, and Google Analytics; the documentation separately refers to over 1,300 Community Connectors. These are distinct descriptions of connection options, not a single combined count.

Google says the old lookerstudio.google.com domain redirects to datastudio.google.com, so existing reports do not need to be recreated solely because of the rename. An organization that restricts external domains through a proxy allowlist may need its administrator to allow the new domain.
Data Studio pricing
Google’s product page lists self-service reporting at no charge and Data Studio Pro at $9 per user per project per month. Google describes Pro as adding support and expanded administration and team content-management features. Confirm the current price, billing basis, and feature entitlements for your region and organization on Google’s product page.

How to choose the right reporting route

Start with the data source and audience, not a universal product ranking. If the workbook is already well structured and your team works in Microsoft tools, try the Power BI route that matches the desired output: Upload for viewing workbook content or Export for model-based reports. If your source is Google Sheets or a mix of Google-supported sources and you want browser-based dashboards, evaluate Data Studio.
Before committing, map the full workflow: who prepares data, who authors reports, and who needs to view them; whether refresh must be automatic; and whether viewers require filters, links, embeds, or scheduled delivery. Check creator and viewer entitlements for your actual team. The documented Google price does not establish a like-for-like comparison with Power BI or Tableau, and the cited Microsoft workflow page does not provide Power BI plan costs.
Other tools to consider
Tableau, Google Sheets, and Zoho Analytics are also candidates readers may encounter when comparing spreadsheet and reporting tools. The available vendor documentation here does not establish their current Excel compatibility, connector behavior, plan tiers, or sharing costs, so verify those details with each vendor before choosing. A feature or price comparison would otherwise risk treating different import, refresh, and viewer models as equivalent.
