The right system is not simply the one with the longest feature list: it is the one that fits the organization’s workflows, deployment constraints, data, integrations, budget, and ability to manage change.
What ERP software does
Enterprise resource planning (ERP) software helps coordinate processes that might otherwise be managed in separate systems and spreadsheets. When processes share information through an ERP system, a transaction recorded in one area can inform work elsewhere—for example, connecting purchasing activity with finance records or customer orders with inventory and production planning.

ERP is broader than a single-function accounting application, but it does not automatically include every business function. Coverage and depth vary by product, edition, industry, and the organization’s integration choices. Some organizations use a broad suite; others connect specialist applications to an ERP core.

Core and extended workflows
Forrester groups common ERP use cases into core workflows and extended workflows. Core processes often concern recording financial results, purchasing goods and services, fulfilling customer orders, and deploying staff. Extended capabilities may support manufacturing, project delivery, planning and analytics, supply-chain coordination, or environmental, social, and governance (ESG) reporting.
#1 Best Overall
| Workflow area | What it can cover |
|---|---|
| Record-to-report | Financial transactions, accounting records, and reporting. |
| Source-to-pay | Procurement activities, from sourcing and purchasing through supplier payment. |
| Order-to-cash | Customer orders and the steps involved in fulfilling them and receiving payment. |
| Workforce deployment | Processes for organizing and assigning people to work. |
| Extended operations | Depending on the system, manufacturing, project delivery, planning and analytics, supply-chain orchestration, and ESG reporting. |
These are process areas, not a guarantee that every ERP product handles them natively. Gartner also describes ERP-connected activities involving finance, human capital management, supply chain, customer orders, and manufacturing.
How ERP solution types differ
ERP products are easier to compare when separated across three dimensions: where they run, how their capabilities are assembled, and how closely they fit a particular industry.
Deployment: cloud, on-premises, or hybrid
| Approach | What it means | What to evaluate |
|---|---|---|
| Cloud or SaaS | The ERP is provided as a cloud service rather than run entirely on the organization’s own infrastructure. | Data residency and security requirements, service and update arrangements, integrations, licensing, and any usage-based charges. |
| On-premises | The system is deployed on infrastructure managed by the organization. | Infrastructure and operating responsibilities, upgrade effort, internal skills, and whether the arrangement meets current requirements. |
| Hybrid | Cloud and on-premises components are used together. | Which records and workloads stay on-premises, how components exchange data, and who is responsible for security and support across the boundary. |
Forrester describes cloud as the architectural standard while noting that hybrid remains common in regulated environments, where organizations may retain on-premises ledgers and use cloud innovation layers. Neither pattern is universally suitable; regulatory, technical, operational, and data-residency requirements should determine the fit.

An integrated suite offers multiple functions within a coordinated product family. A composable or federated approach connects ERP capabilities or specialist applications through application programming interfaces (APIs). A broad suite may simplify some cross-functional work, while a connected approach may preserve specialist tools or support incremental change. In either case, assess whether the systems can reliably share the information and process state that users need. Forrester advises prioritizing orchestration and interoperability rather than module breadth alone.

Industry focus: horizontal or specialized
Horizontal platforms serve organizations across industries; industry-focused capabilities address workflows or requirements specific to sectors. Forrester says vendors are increasingly adding vertical specialization to horizontal platforms. Industry-specific functionality may reduce customization and shorten timelines, but those benefits need validation against the organization’s actual workflows. Use realistic working sessions to test the functions that matter most.
Features you may encounter
Common ERP capability areas include finance and reporting, procurement, order management, supply chain, workforce processes, manufacturing, planning, and analytics. The table describes what those areas can involve; it does not mean that every system includes them or provides the same level of depth.
| Capability area | Questions to test |
|---|---|
| Financial management and reporting | Can the system support the organization’s accounting, reporting, and record-to-report workflows? |
| Procurement | Does it support the required purchasing and source-to-pay processes? |
| Orders and supply chain | Can relevant teams manage customer orders and coordinate supply-chain activity with the required data and systems? |
| Workforce processes | Does its workforce functionality match the organization’s needs, or will a specialist system be required? |
| Manufacturing and project delivery | Does the system support the required operational processes at sufficient depth for the industry? |
| Planning and analytics | Can decision-makers get useful, timely information from data they can trust? |
AI features are not interchangeable
Gartner describes AI-related ERP examples across several areas: human capital tools may draft position descriptions or performance-review documentation; supply-chain analytics may identify issues affecting open orders and generate customer communications; manufacturing analytics may predict equipment failure and prompt repair work orders with troubleshooting documentation; and finance tools may generate periodic reports and variance narratives.

These examples do not establish that a particular product has a capability, that it is generally available, or that it will produce a business benefit. Check the feature’s availability, permissions, data requirements, governance, licensing, and any consumption charges. Ask for evidence of the claimed outcome and how the vendor measures it.

Cloud adoption and modernization
Gartner’s May 2026 abstract says the worldwide ERP software market grew strongly in 2025, driven by cloud adoption at scale, monetization of the installed base, and further AI capabilities; it also says market leaders remained unchanged. The abstract does not provide market size or vendor shares, so it cannot establish either figure.
The Central Statistics Office Ireland reported that 16.6% of enterprises in Ireland purchased cloud computing for hosting and managing cloud-based ERP software in 2025. This measures a specific cloud service purchase in Ireland; it is not a global ERP adoption rate.
AI forecasts and finance-leader survey findings
Gartner forecast in February 2026 that 62% of cloud ERP spending would be on AI-enabled solutions by 2027, up from 14% in 2024. It also forecast that finance organizations using cloud ERP applications with embedded AI assistants would see a 30% faster financial close by 2028. Both are forecasts, not measured results or guarantees. Gartner identifies data quality, integration complexity, skills gaps, and inconsistent support for multiple entities as adoption barriers.

What a product and case-study dataset can tell buyers
ERP Research’s October 2026 dataset tracks 61 ERP systems, 1,948 published implementation case studies, 692 add-on products, and AI catalogues for eight major products. The publisher describes this as a maintained database, not a representative census of all ERP products or implementations. Its case studies are published successes and skew positive, so their counts should not be treated as a neutral measure of typical implementation outcomes.
| ERP Research October 2026 figure | What it describes |
|---|---|
| 89% offer cloud; 41% are cloud-only; 56% still offer on-premises | Deployment options among the 61 systems tracked, not market-wide product shares. |
| 21% of 1,372 case studies with a named prior system involved organizations replacing spreadsheets rather than an ERP | The named prior system in that subset of published implementation case studies. |
| 173 AI features catalogued across eight products; 78% generally available; 36% costing extra beyond the base license | Features in the dataset’s AI catalogues for those eight products, not an assessment of all ERP systems. |
| 692 third-party add-on products across 59 categories | Add-ons recorded in the dataset. |
| 87% of published implementation case studies credited a named partner | Partner attribution in the published case-study corpus, not a measure of partner use across all ERP projects. |
Modernization brings delivery risk
Forrester characterizes ERP as a mature, modernization-driven market and warns that large implementations can create budget pressure and delivery risk. Organizational readiness, change management, data migration, and cost are central challenges. Gartner similarly cautions that ERP selection can commit an organization for years and consume substantial money, time, and resources. Poor planning can lead to delays, budget overruns, or a system that fits poorly.

Start with the organization’s processes and constraints, not vendor rankings. Gartner notes that no suite vendor is best-in-class in every area. A cross-functional evaluation should include the people accountable for finance, operations, IT, and the affected business teams.
- Prioritize the workflows. Define which processes must work on day one and which can be phased. Document current and future requirements across finance, procurement, orders, workforce, manufacturing, planning, and reporting.
- Set architecture and deployment boundaries. Identify cloud, on-premises, or hybrid requirements, including data-residency constraints and the systems that must exchange information with the ERP.
- Assess data and migration. List the records to migrate, identify ownership and quality issues, and determine how historical and operational data will be checked before and after conversion.
- Compare total cost, not just license price. Account for implementation, integrations, add-ons, consumption charges, upgrades, and the internal resources needed to operate and govern the system.
- Validate capabilities with realistic scenarios. Use controlled demonstrations built around the organization’s own workflows and success criteria. For AI features, verify general availability, permissions, data governance, licensing, and evidence for claimed outcomes.
- Check delivery capacity. Evaluate whether implementation partners have relevant experience with the product, industry, and geography, and whether the organization can provide the required people and decisions.
- Plan for adoption and ongoing ownership. Budget for change management and training, and define who will oversee data quality, access, governance, updates, and future improvements.
Gartner recommends forming a cross-functional evaluation team, prioritizing current and future requirements, specifying architecture, running a governed request for proposal (RFP), controlling demonstrations with realistic scripts, and examining user communities and partner ecosystems. Forrester likewise recommends mapping options to organizational size, geography, deployment model, and industry, then validating high-impact workflows in scenario-based sessions.
Questions to resolve before choosing
- Which processes need to be covered from launch, and which can be phased?
- Which existing applications must remain, and how will they integrate with the ERP?
- What data needs cleanup, migration, or clearer ownership?
- What are the full implementation and operating costs, including add-ons and usage charges?
- Can vendors demonstrate the organization’s real scenarios against agreed success criteria?
- Does the organization have the staff, partner support, training plan, and governance capacity to deliver and sustain the change?
For AI tools specifically, Mike Helsel, Senior Director, Research in Gartner’s Finance practice, said in Gartner’s February 24, 2026 release: “CFOs should insist on industry-specific features, transparent pricing, and referenceable customer adoption for AI tools, while investing in data governance and upskilling finance teams to maximize ROI and mitigate adoption risks.”
There is no universal best ERP deployment or product type. The sound choice is the option that meets the organization’s prioritized needs and constraints, with workflows, integrations, data, costs, and delivery capacity validated before commitment.
