For a workforce, use aliases as an exposure-control measure alongside anti-phishing protections, multifactor authentication (MFA), controlled forwarding, and a clear reporting process.
What email masking means in a workplace
“Email masking” can describe different arrangements. An administrator-managed alias is an alternate address associated with a user’s mailbox; messages sent to it arrive in that user’s inbox. Google Workspace says its alternate address is not a separate Google Account and cautions that aliases are not private. Microsoft 365 also supports additional addresses that route to a user’s inbox. These are useful routing features, but they are not necessarily disposable privacy masks.

A privacy mask is typically a separate address supplied to a website or another party instead of the employee’s primary address. Mail sent to that mask is routed onward, and some services allow an individual alias to be disabled or deleted. Replying or sending from a mask, audit history, scanning, and retention vary by provider; confirm the current service documentation before relying on a particular feature.

How aliases can reduce exposure
If an employee uses a distinct alias for a particular service, that service does not need to receive the employee’s primary address. If unsolicited messages later arrive at that alias, the organization may be able to investigate where it was used or exposed. If the alias can be retired independently, disabling it can cut off mail sent to that address without changing the employee’s primary address.

This is exposure management and containment—not a guarantee that phishing or spam will be prevented. An alias cannot stop malicious messages sent to another address, a convincing display-name impersonation, a lookalike domain, or an attack sent from a compromised account. No quantitative efficacy figure establishing a workforce-wide reduction in phishing or spam from masking is available in the cited sources, so avoid treating the feature as a measured security control.
What masking does not protect against
- Sender deception: An alias does not prove that an incoming sender is genuine. Microsoft notes that a deceptive lookalike domain can have valid SPF, DKIM, and DMARC records, so those checks alone do not rule out impersonation.
- Other exposed addresses: Masking one address does not protect employees’ other addresses or prevent attackers from contacting them through other channels.
- Account compromise: If an attacker gains access to a mailbox, aliases do not prevent misuse of that account or data theft through forwarding rules.
- Malicious content: Routing a message through an alias does not itself scan attachments, links, or message content. Use the organization’s mail-security controls for detection and filtering.
Choose the right address arrangement
First decide what the address is for. A shared team or function address may need a shared mailbox or group workflow, not an alias attached to one employee. A second address for an individual, and a unique privacy mask for each external service, have different ownership and lifecycle needs.

When evaluating an approach, check who creates and controls addresses, whether each address is unique to a person, service, or role, whether users can reply or send from it, where forwarding occurs, and whether filtering happens before forwarding. Also establish what metadata or message content the provider processes and retains, whether each address can be paused or removed independently, and what central audit and offboarding controls administrators have. These properties vary; the available documentation does not establish one universal feature set across providers.
Set workforce rules for alias ownership and recovery
Before rollout, document who may create aliases, how they are labeled, who can receive or send from them, and what happens when an employee changes roles or leaves. Confirm the provider’s actual behavior rather than assuming every alias supports the same permissions or lifecycle controls.

Define a recovery path before disabling an alias. Turning one off can stop unwanted mail, but it can also block legitimate receipts, account-recovery messages, customer correspondence, or business notices. Identify the owner of each address and decide how important services or contacts will be migrated before revocation.
Control forwarding and protect deliverability
Forwarding is a mail-flow and data-protection decision, not just a convenience. Microsoft warns that attackers may use external forwarding rules to extract data. Restrict allowed destinations according to business need, monitor forwarding rules, and investigate unexpected changes—especially after a suspected account compromise. Microsoft’s guidance also recommends MFA as an account-protection measure.

Forwarding can affect authentication and spam classification. Google’s guidance explains that forwarded messages may fail SPF checks or be incorrectly classified as spam or phishing, and discusses measures such as envelope-sender rewriting, SPF records, filtering before forwarding, and forwarding headers. Test the chosen route with legitimate transactional and business messages so that security controls do not silently disrupt delivery.
Build masking into layered anti-phishing defenses
Use aliases to reduce unnecessary exposure, then protect the mailboxes and users that receive the messages. A workforce program should include provider anti-phishing controls for spoofing and impersonation, MFA, restrictions and monitoring for external forwarding, an easy way for employees to report suspicious messages, and an incident process for reviewing reports and unexpected rules.

Those controls address different failure modes: masking limits where an address is shared; mail-security tools assess messages; MFA helps protect accounts; and reporting helps the organization respond to attacks that get through. Do not describe masking alone as a phishing-prevention or spam-blocking system.
