Duplicate technology is the accumulation of applications or IT systems that perform the same or similar work. It can add licensing and maintenance expense, complicate integrations, fragment data, and create uneven security practices. But overlap is not automatically waste: the right decision depends on how well each tool serves current and future business needs, what departments require, and what consolidation would cost.
How organizations accumulate duplicate technology
Redundant tools often arrive gradually rather than through one deliberate decision. Reorganizations and organic growth can leave teams with systems inherited from different structures. Mergers and acquisitions may bring overlapping applications, while departmental silos and poor communication make it difficult to see what is already in use. New tools may also be adopted for a specific use case without adequate IT governance or portfolio-wide review.
“Duplicate” does not mean two products have identical features. It describes technologies with overlapping functions, including applications, IT systems, and shadow tools adopted outside central IT. Whether that overlap is unnecessary must be assessed in context: separate systems may serve distinct department requirements or business needs.
Why overlap can become a business problem
Costs and maintenance
Maintaining multiple systems can strain financial resources through licensing and ongoing management. Custom integrations between tools may also consume staff time, money, and effort. These are potential burdens, not a quantified estimate of what any particular organization will save by consolidating.

Integration, data, and processes
Overlapping systems can make integration and troubleshooting more complicated. Information may become fragmented or inconsistent across applications, making it harder to establish a coherent view of operations or customers. Multiple tools can also work against process standardization when teams follow different workflows.
Security differences
Different systems may have uneven cybersecurity capabilities. A portfolio with inconsistent controls can be harder to manage coherently, so security should be part of the comparison rather than an afterthought.

How to assess the portfolio before consolidating
Start by identifying what is in use, then compare tools against business needs and the cost and effort of change. Namratha Peddisetty’s ITPro Today article recommends evaluating existing technologies for fit with current and future needs. The steps below summarize that advice; they are not a validated scoring model.
- Inventory applications and systems. Include departmental and shadow tools, not just software managed centrally. An application portfolio tool can help keep an inventory and effectiveness metrics available to governance decision-makers.
- Compare business fit. Assess each tool against current and future needs, including department requirements, integration and data flow, maintenance burden, licensing and operating costs, and cybersecurity capabilities. Consider whether an existing system fits the portfolio before selecting a replacement.
- Bring affected stakeholders into the decision. Involve relevant departments so a preferred platform supports organizational goals as well as the practical requirements of the teams that use it.
- Review additions and migrations through IT governance. A governance group can examine whether a proposed tool or migration is necessary and advantageous, helping reduce avoidable duplication over time.
- Examine customer records where systems overlap. If separate customer systems use different records or IDs, assess whether that prevents a coherent customer view. Customer-facing systems may merit attention because customer experience affects revenue, but that is a consideration—not a proven universal sequencing rule.
When consolidation makes sense—and what it costs
Consolidation may reduce licensing and management costs, connect processes and data more effectively, and improve operational efficiency. It also requires an initial transition investment. Migration, integration changes, stakeholder needs, and the fit of the destination platform all matter when comparing that investment with the potential benefits.

The ITPro Today article makes these points qualitatively. It gives no savings percentage, payback period, measured company result, or comparative study. Treat consolidation as a business case to evaluate locally, not as a guaranteed source of savings. Two tools with overlapping functions may still be justified if they meet materially different needs or if the transition burden outweighs the expected advantage.
