Domain verification proves control of a DNS domain, while email confirmation shows access to one address. Neither, by itself, decides who should have workspace access.
What each method proves
Domain verification proves control of a domain
In a domain-verification flow, an administrator typically adds a DNS record to show that the organization controls a domain. Google describes DNS verification as a way to ensure the domain owner is the one signing up for Workspace, and Slack’s domain-claim process uses a DNS TXT record to confirm the domain belongs to the organization. That is an organization-level ownership signal—not proof that every person with an address on the domain should access every workspace. Google Workspace domain verification; Slack domain claims.

Email confirmation proves access to an address
Email confirmation establishes that someone can receive or act on a message sent to a particular address. It does not establish DNS control or, on its own, whether that person should receive broad workspace membership. An invitation can pair address confirmation with a deliberate membership decision; a self-signup flow may instead allow anyone with an eligible address to request or obtain access, depending on the service’s settings.

How to choose a joining policy
| Control you need | Better starting point | What it does—and does not—settle |
|---|---|---|
| Approve each member individually | Invitation or address-level confirmation | Lets an administrator decide who is invited. Confirmation establishes access to the address used in the flow, not organizational DNS ownership. |
| Let eligible colleagues self-join | Verified-domain-based joining, if the platform supports it | Can make matching addresses eligible to join when the relevant signup or automatic-join setting is enabled. Domain verification alone does not necessarily turn on joining. |
| Manage organizational identity or cross-workspace participation | Domain claim, SSO, provisioning, and workspace restrictions as applicable | These are distinct controls. Domain verification can be a prerequisite or ownership signal, but does not configure them by itself. |
For either approach, decide explicitly whether the goal is to verify an identity, allow self-service, or control authorization. Those are related but separate policy decisions.

How the distinction appears in major services
OpenAI identity
OpenAI says domain verification can support tenant identity settings and SSO. It does not itself enable SSO, configure SCIM, or grant product access. For a ChatGPT workspace mapped to the verified domain, eligible people can join when automatic account creation is enabled and they sign in with a matching email address. Treat that setting—not verification alone—as the membership behavior. OpenAI Help Center: Verifying your domain for OpenAI identity.
Slack workspace signup and domain claims
Slack documents two separate controls. Owners and admins can allow people using approved email domains to join through a workspace signup link or sign-in page; Slack lists this feature for Free, Pro, and Business+ plans. Slack says SSO overrides workspace signup preferences. Separately, DNS-verified domain claims can be used, depending on plan and configuration, to restrict acceptance of Slack Connect invitations and joining external workspaces. The relevant admin roles and availability differ across Pro/Business+ and Enterprise. Check the current plan documentation before relying on a particular behavior. Google Workspace and Chrome Enterprise
Google describes domain verification as proof that an organization owns or controls its domain. Its documentation also describes an email-verified business-service path in which an administrator can verify the domain later to unlock management features; verification can bring an existing service under organizational management. Google states that verifying a domain in its Workspace flow does not affect email or a website. That statement applies to that vendor’s verification process, not to every DNS change or every service. Microsoft 365 and Teams
Microsoft’s domain-onboarding documentation uses a TXT record at the authoritative DNS host to verify ownership. It says this does not transfer domain registration or DNS hosting and does not redirect email to Microsoft 365. Microsoft Teams also documents a setup path that verifies a custom business domain while allowing the organization to use Microsoft, Google Workspace, or another email provider. Verification should not be confused with changing mail routing. Microsoft 365 admin documentation; Microsoft Teams documentation.

Checks to make before enabling self-join
- Confirm the exact setting. Distinguish domain ownership verification from an approved-domain signup rule or automatic account creation. They may be separate controls.
- Check the domain scope. Confirm which domains, aliases, or subdomains qualify and whether the platform’s setting applies to the addresses your organization actually uses.
- Review existing accounts. Find out whether verification or a claim affects accounts already using the domain, and what happens when an existing service is brought under organizational management.
- Account for guests and mixed identities. Check how the policy interacts with external guests, personal accounts, and people who use both organizational and personal identities.
- Recheck plan and role requirements. Availability and administrative controls vary by platform and plan; documented behavior and interface labels can change.
What domain verification does not do
Verification is not a universal access grant. It does not necessarily enable self-joining, configure SSO or SCIM, provision accounts, or decide which workspace a person may enter. OpenAI explicitly separates domain verification from SSO, SCIM, and product access. Similarly, Slack’s approved-email signup and domain-claim controls are documented as distinct features. Configure the authorization and identity controls you need rather than treating a verified domain as a complete membership policy.
