The DNS record and aggregate reporting can be used without a subscription. Free monitoring can suit a domain with a small, understood set of senders and someone available to review reports. Paid tools earn their keep when interpreting reports, tracking changes, coordinating teams, or managing several domains becomes too much to handle manually.
What you can do without a paid DMARC tool
DMARC is a policy published in DNS. You can publish a record and request aggregate reports without buying a reporting platform. The record tells receiving mail systems how to handle messages that fail DMARC and where to send reports; a vendor dashboard is an optional way to make those reports easier to read and manage. Microsoft’s DMARC configuration guidance describes the staged setup process.

Aggregate reports summarize how participating receiving systems evaluated mail using your domain. They can include sending IP addresses and SPF, DKIM, and DMARC results. Reports are commonly XML attachments, often compressed, and can be difficult to interpret at scale. Microsoft says they are typically sent about once a day, but report delivery, volume, and coverage depend on the receiving systems and your mail traffic. They are evidence to investigate, not a complete record of every message or proof that an unfamiliar source is malicious.

- Inventory every legitimate sender. Include marketing platforms, billing and support systems, and applications that send as your domain. If a source appears in a report and you do not recognize it, investigate it before authorizing or blocking it.
- Choose a low-risk domain or subdomain for the initial rollout. Microsoft recommends beginning with a domain or subdomain that has lower mail volume or fewer possible sending sources when practical.
- Publish a monitoring record. Add a TXT record named
_dmarcwithp=noneand an aggregate-report destination usingrua. A basic record has this shape:v=DMARC1; p=none; rua=mailto:[email protected]. Replace the example address with a mailbox or group you control; confirm your DNS provider’s host/name field format and any vendor-specific reporting address before publishing. - Collect reports somewhere the team can review. Use a dedicated mailbox or group rather than an individual’s mailbox, as Microsoft recommends. XML can be parsed manually or sent to a monitoring service. Review reports regularly and map legitimate sending IPs and services to the inventory.
- Fix alignment failures with the sender. DMARC passes when SPF or DKIM passes and aligns with the visible From domain. Work with each legitimate service to configure aligned SPF or DKIM; do not assume that a message is safe to block simply because one authentication check failed.
- Increase enforcement in stages. Keep monitoring while resolving unexplained legitimate failures. Move to
p=quarantineonly when the evidence supports it, and considerp=rejectonly after legitimate sending is accounted for and an owner is responsible for continued review. The policy is a DNS setting; buying a dashboard does not remove the need to know which services are authorized.
The aggregate-report format is specified in RFC 7489. Because receivers decide whether to send reports, even a well-configured rua address does not guarantee visibility into all mail.

Free versus paid: what to compare
“Free” can mean different things: a tool may be free only for personal, non-business use, have a small domain or message allowance, or provide basic visibility while charging for automation and support. Compare the service terms against your actual operational needs.
| Decision factor | Free monitoring may be enough when… | Paid service is more useful when… |
|---|---|---|
| Business-use eligibility | The plan explicitly permits your intended use. | Your organization needs business coverage, contractual terms, or a support relationship. |
| Domains and subdomains | You have a small number and can track them yourself. | You need centralized oversight across many domains or subdomains. |
| Message volume and history | Your legitimate volume fits the allowance and short history is sufficient. | You need higher capacity or longer report retention for investigations and change tracking. |
| Sender identification and alerts | Someone can interpret reports and investigate unusual sources manually. | You need clearer service identification, alerts, or a faster way to spot changes. |
| Users and access | One person or a small group can manage the work. | Several teams need separate access, shared workflows, or auditability. |
| Automation and support | You can coordinate sender fixes and policy changes yourself. | You want guided enforcement, automation, onboarding, or vendor support. |
| XML and investigation workload | The reports are manageable and someone has time to parse and act on them. | Manual interpretation and coordination consume more time or create too much operational risk. |
A paid subscription is most defensible when the cost of manual interpretation, change tracking, coordination, and mistakes exceeds the subscription cost. It does not, by itself, fix sender alignment or guarantee better deliverability.

When should you pay?
- Stay free for now if you have few domains and sending services, can review reports consistently, and the free plan’s business-use rules, volume limits, and retention fit.
- Consider paying when reports are difficult to interpret, senders keep changing, several people need to coordinate fixes, or you need longer history, alerts, subdomain oversight, automation, or support.
- Do not buy on the assumption it guarantees complete visibility. Receiving systems decide whether to send aggregate reports, so no reporting service can guarantee a complete view of all mail.
