Digital workplace and IT operations leaders should treat diversity, equity, inclusion and accessibility (DEIA) as operational priorities: make workplace technology usable, connect accommodation requests to IT, examine hiring tools, and assign owners to resolve access barriers. These are management recommendations, not a claim that every practice is required by law. Specific legal duties depend on the applicable law and the facts; employers should involve employment counsel when policies or employment decisions raise legal questions.
How can IT make the digital workplace more inclusive?
Start with the systems and workflows employees rely on: collaboration platforms, identity and access tools, internal content, service desks, and remote-work technology. Accessibility is not a one-time procurement checkbox. It belongs in selection, configuration, content creation, testing, support, and ongoing maintenance.

Build accessibility into everyday operations
- Test common employee workflows with assistive technology, not just the platform’s sign-in screen. Include tasks such as joining meetings, reading shared documents, completing forms, and requesting IT help.
- Ask whether employees can get accessible versions of essential materials and whether there is a clear support route when a feature blocks their work.
- Include accessibility evidence, support commitments, and a process for reporting and fixing barriers in procurement and renewal reviews.
- Consider individual needs rather than assuming one solution suits everyone. EEOC guidance on visual disabilities gives assistive technology, accessible materials, and braille displays as examples relevant to accommodation. Those examples are not a complete digital accessibility standard or a universal equipment list. Read the EEOC guidance on visual disabilities and the ADA.
Make accommodation requests actionable for IT
HR and the employee’s manager should coordinate the accommodation process, with IT involved when a request may require software, a device, configuration changes, or technical support. Define who receives requests, how the need is assessed, who approves and implements a change, and how the employee can report whether it works. Limit the information shared with IT to what is needed to evaluate and implement the change, and protect confidential information through established access controls.

The right solution depends on the employee’s needs and circumstances; a braille display, for example, may be useful for one person and inappropriate for another. The EEOC’s visual-disability guidance is a starting point, not a substitute for individualized consideration.

What accessibility initiatives should workplace technology leaders prioritize?
Prioritize work that removes barriers in the tools and policies employees actually use. Give each initiative an owner, a way for employees to flag problems, and a route from findings to an operational decision. Avoid setting numerical goals without a reliable basis: the sources cited here do not establish universal targets for employers.
Review remote and hybrid work for equitable access
Check that remote and hybrid policies, collaboration tools, and support procedures are usable by employees with disabilities. Telework may be a reasonable accommodation in suitable circumstances, but whether it is appropriate depends on the job and the facts. The EEOC’s February 3, 2003 guidance says the ADA does not require employers to offer a telework program to everyone; if an employer offers one, employees with disabilities must have an equal opportunity to participate. See the EEOC’s telework-as-accommodation guidance.

- High-Resilience Molded Foam Seat – Won’t Flatten After 1 Year – Instead of budget foam that hardens and sags within months, the seat is built with high-density, high-resilience molded foam that bounces back day after day. It maintains its shape and cushioning far longer, preventing the “bottoming out” discomfort common at this price point
- Adjustable Lumbar, Not a Fixed Afterthought – Unlike flimsy plastic supports that crack or lose tension, this chair features a durable lumbar mechanism that adjusts depth to match your spine’s natural curve. Genuinely relieves lower back pressure during long sitting sessions
- Breathable Mesh Backrest – No Peeling, No Heat Buildup – Say goodbye to flaking faux leather. The high-tension mesh back promotes continuous airflow, keeping you cool in warm environments and eliminating the mess of peeling upholstery. Mesh holds up significantly better over time and looks professional years later
- Anti-Sink BIFMA Certified Gas Cylinder – A common failure in budget chairs: the pneumatic cylinder loses pressure and slowly sinks during use. Our Class 3 BIFMA-certified gas lift is built to hold its height reliably, so your chair stays exactly where you set it—year after year. No more sudden drops or mid-work adjustments
- Heavy-Duty Metal Core Base (330 lbs Capacity) – Thin plastic bases can crack under stress, especially near the cylinder hub. We use a reinforced nylon base with a metal core, providing the durability and peace of mind you need. Smooth-rolling, 360° silent casters glide across hardwood, tile, or carpet without scratching or catching

How should employers review AI hiring tools for accessibility?
Examine recruitment technology before deployment and as part of ongoing vendor governance. A tool can create barriers at different stages, from applying and completing an assessment to communicating with recruiters. Ask the vendor and internal owners for documented evidence rather than assuming a product is accessible or fair because it is marketed as AI-enabled.
- Accessibility review: What accessibility checks have been completed, and what workflows and assistive technologies were considered?
- Accountability: Who inside the employer and at the vendor is responsible for reviewing the tool and responding to concerns?
- Reporting barriers: Can applicants and staff report a problem through a clear, accessible process, and who receives it?
- Remediation: How are identified barriers addressed, and what evidence shows that a fix was implemented?
In a September 24, 2024 announcement, the U.S. Department of Labor described a framework developed by the Partnership on Employment & Accessible Technology with ten focus areas for disability-inclusive hiring and AI governance. The announcement describes a framework, not a certification or evidence that any particular vendor conforms. Read the Department of Labor’s announcement.

How should leaders handle legal review of DEI policies?
Separate operational inclusion work from legal conclusions. Have employment counsel review policies that use protected characteristics or affect hiring, promotion, compensation, access to opportunities, or other employment decisions. The applicable analysis depends on the policy and its implementation.

In a letter dated February 26, 2026, EEOC Chair Andrea R. Lucas reminded employers that Title VII obligations apply to DEI policies, programs, and practices and referred to agency technical assistance. That is the agency’s stated position in the letter; it should not be recast as a blanket conclusion that all DEI initiatives are unlawful.
