Most small businesses should start by securing the accounts and devices they already use—not by buying a large security suite. Require multifactor authentication (MFA) for important accounts, keep software updated, protect and encrypt business devices, configure email and Wi-Fi protections, and maintain backups that you can restore. Buy additional tools only to close a specific gap, and get experienced IT help if your business cannot configure or monitor the protections itself.
This guide is U.S.-focused and draws on guidance from the FTC, CISA, NIST, and Microsoft. The right choices depend on your users, devices, data, obligations, remote access, and existing subscriptions.

What cybersecurity tools does a small business need?
Think in terms of safeguards and the risks they address, rather than a shopping list. The table below is a starting point: a product may cover one or more rows, but buying it does not ensure that the feature is configured or used effectively.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Need | Start with | Consider buying when |
|---|---|---|
| Account security | MFA for email, file storage, remote access, and privileged accounts; a password manager can support unique passwords. | A key account cannot use a suitably strong MFA method, or your existing service lacks a needed identity control. |
| Device protection | Automatic updates, endpoint protection, device encryption for systems holding sensitive data, and limited administrator privileges. | You need endpoint coverage, centralized administration, or monitoring beyond what your current plan provides. |
| Email and collaboration | Review and configure the anti-phishing, anti-spam, and anti-malware protections included with your email service. | You have identified a specific gap that the built-in protections do not address. |
| Recovery | Scheduled backups of critical data, controlled access to backup copies, and restoration tests. | You need suitable capacity, offline or off-site copies, encryption, or a recovery workflow your current setup cannot provide. |
| Network security | A router with current firmware, changed administrator credentials, WPA2 or WPA3, and separate guest Wi-Fi. | Your existing router lacks the required settings, support, or capacity for your business needs. |
The FTC’s small-business cybersecurity guidance covers updates, strong unique passwords, encryption, MFA, backups, wireless configuration, secure remote access, and staff training. CISA also provides resources for small and medium-sized businesses on topics including phishing, passwords, MFA, updates, logging, backups, and encryption.

Before comparing products, make an inventory of your accounts, devices, business data, remote access, and existing licenses. Note which systems hold sensitive information and what disruption or loss would mean for the business. NIST’s 2024 small-business quick-start guide to the Cybersecurity Framework (CSF) 2.0 offers a planning structure; it is guidance, not a product endorsement.
How should a small business prioritize purchases?
- Secure the accounts that unlock other systems. Turn on MFA for email, file storage, remote access, and administrator accounts. Prioritize accounts that can reset passwords or grant access to other users.
- Check existing protections before adding subscriptions. Review the settings and coverage in your current email, endpoint, identity, and cloud plans. Identify the specific gap a new product would close, and check for duplicated features.
- Update and protect devices. Enable automatic updates where appropriate, use endpoint protection, encrypt devices holding sensitive business data, and restrict administrator privileges to people who need them.
- Make recovery testable. Back up critical data regularly, limit who can reach the copies, and test restoring files. A backup that cannot be restored is not a dependable recovery plan.
- Secure the office network. Change default router credentials, install firmware updates, disable remote management if it is unnecessary, use WPA2 or WPA3, and keep guest Wi-Fi separate from business systems.
- Assign ownership. Decide who configures settings, reviews alerts, applies updates, and tests recovery. If nobody in the business can reliably do that work, evaluate an experienced IT provider or managed security service provider (MSSP).
Compare options by coverage of the identified risk, compatibility with your accounts and devices, administrative effort, integration with existing licenses, support and update model, and total cost across users and devices. For any provider, evaluate scope, monitoring hours, response commitments, access controls, and exit and data-return terms. Those are buyer questions to ask; the terms vary by provider.
Should a small business buy security keys for MFA?
A physical security key is worth considering for accounts where stronger protection against phishing is important and the service supports the key. CISA ranks a physical security key highest among the MFA options in its guidance for small and medium-sized businesses, and names YubiKey as an example. This is a recommendation about an MFA method, not a claim that one brand or model suits every business.

Before buying, check that the key works with the services, devices, and connectors your staff use. Decide how keys will be issued and managed, keep spare keys where appropriate, and document how an authorized user can recover access if a key is lost. If a physical key is not supported, CISA lists number-matching authenticator prompts and time-based codes as other options. Enable the strongest supported method that your business can manage consistently.
How should a small business back up its data?
Choose the data and configurations needed to resume essential work, set a backup schedule, and verify that restoration works. The FTC discusses both cloud backups and external drives. CISA advises keeping removable drives disconnected when they are not actively being used for backup; a drive left attached can be exposed to the same incident as the system it is meant to protect. Encrypt sensitive backup data and restrict access to it. CISA’s guidance for managed service providers and small and mid-sized businesses recommends automatically and continuously backing up critical data and configurations and keeping backups offline.
An external drive can be one part of a backup arrangement, not a complete recovery plan. Check capacity, encryption, how copies will be rotated and stored away from the computer, and when restoration will be tested. Cloud storage also needs deliberate access controls and a tested recovery process; the word “cloud” alone does not establish that a backup is protected or recoverable.

When does Microsoft 365 include enough security?
It depends on the subscription and how its protections are configured. Microsoft says its business subscriptions target organizations with up to 300 users; built-in mailbox protections are included, while additional capabilities differ by plan. Its current Microsoft 365 security overview identifies Defender for Business, Intune Plan 1, and Conditional Access through Entra ID P1 as Business Premium capabilities. Check Microsoft’s current licensing documentation and your tenant’s actual subscription before purchasing or relying on a feature: plan names, entitlements, and availability can change.

Microsoft also publishes Microsoft 365 security best practices. Review the protections included in your specific plan and configure them before adding a separate email, endpoint, or identity product. A second product may make sense when it fills a defined gap, but overlapping subscriptions can add cost and administration without addressing the problem you identified.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When should a small business use an IT provider or MSSP?
Outside help is useful when the business lacks the time or expertise to configure, monitor, and test its safeguards. NIST’s small-business guidance recognizes that smaller organizations may use external providers; the need is not a reason to buy every available product. A provider should help define which controls are appropriate and who will operate them.

Before granting access, agree on the provider’s scope, the systems and data it may access, how access is controlled, who handles alerts and incidents, and how the business can retrieve its data and end the relationship. Keep responsibility for business decisions and account ownership clear even when technical work is outsourced.
What should you verify before paying?
- Fit: Which specific risk or operational problem does the tool address, and which users, devices, or accounts are covered?
- Compatibility: Does it work with your operating systems, email and identity services, devices, and hardware connectors?
- Overlap: Is the needed function already included in a current subscription or device setting?
- Operation: Who will configure it, review alerts, apply updates, manage access, and handle recovery?
- Recovery and support: For MFA, is there a workable account-recovery process? For backups, can you restore data? What support and update model does the vendor provide?
- Cost: What is the total cost across users and devices, including any required administration or supporting equipment?
FTC and CISA guidance supports a layered baseline, not a promise that any product prevents a breach. Training, update discipline, configuration, and incident preparation remain necessary alongside tools.
