Sometimes the best fix is an integration that brings information or an action into an app employees already use. Sometimes it is a better-designed process. And sometimes switching apps is the right choice because a specialist tool does its job well.
Before consolidating software or adding automation, ask: Where does a recurring task make someone leave one app for another, and what problem does that switch solve?

What app switching can cost—and what the numbers do and don’t show
A work-graph study summarized by the American Association for Physician Leadership examined 20 teams, 137 users at three Fortune 500 companies, and 3,200 workdays. In that dataset, the average user toggled among apps and websites nearly 1,200 times a day. The article estimated a little over two seconds of reorientation per switch, translating the total to just under four hours a week, five working weeks a year, or 9% of annual work time. It also reported that 65% of switches were followed by another app switch in less than 11 seconds. Read the association’s account of the study.
Those figures describe that particular dataset, not a universal rate for every workplace. They are useful as a reason to inspect busy workflows, not as a forecast of how much time any one company will save. The same account describes one Fortune 500 consumer-goods organization where a supply-chain transaction involved about 350 switches across 22 apps and websites for each person involved. That is an example from one organization, not a typical transaction benchmark.

A separate qualitative study by Autodesk Research interviewed 15 knowledge workers and five product teams about switching during a single task. It grouped reasons for switching into tool, user, workflow, and content factors. The finding is practical: a switch may reflect a missing capability, a process designed across several systems, a user’s needs, or information stored in different places. The study helps frame what to investigate; it does not establish how often each cause occurs across the wider workforce. See Autodesk Research’s 2023 study.
Diagnose the handoff before trying to remove it
Start with a real task rather than a count of installed apps. Follow one recurring piece of work from beginning to end and note which system a person opens, what they look for or enter, and what they carry into the next step.

- Tool: Is a needed feature missing from the app where the task begins?
- User: Does a person need a different view, permission, or way to work?
- Workflow: Does the process itself require a review, approval, or action in another system?
- Content: Is relevant information scattered across apps, or does it need to be copied between them?
These causes call for different remedies. A missing feature may justify a specialist tool. A process handoff may be necessary for approval or control. Scattered content may call for a reliable data connection, while repeated manual entry may be a candidate for automation. Removing a switch without understanding its purpose can simply move the work—or the risk—to another place.
Choose the kind of solution that fits the work
There is no universal winner among a consolidated suite, an integration built into an existing app, and a separate integration or automation layer. Compare them against the actual task and the systems already in use.

| Approach | When it may fit | What to check |
|---|---|---|
| Consolidated suite | Several related needs can be served within one platform without losing important specialist capabilities. | Whether it fits the workflow, covers required functions, and is affordable and adaptable enough. An all-in-one enterprise application can be costly or rigid for some businesses, according to AWS. |
| Integration built into an existing app | A user can access a connected action or information from the app where work already happens. | Whether the integration covers required apps, fields, exceptions, and custom steps—and what data passes through hosted services. |
| Separate integration or automation layer | A process needs to connect independent systems or transform data between them. | Whether the workflow is designed correctly, how failures are monitored and handled, and who maintains the connection. |
AWS defines application integration as making independently built systems work together without manual intervention. A well-designed integration can let users complete more tasks in one application or automate steps across systems, but the benefit depends on building the workflow and data transformation correctly. Integration is not a guarantee of fewer errors or less work. AWS explains application integration.
Embedded integration platform as a service, or embedded iPaaS, is one way SaaS providers can put integrations and workflow configuration inside their own applications. It may reduce the need to leave the host app, but standard templates may not suit complex or unusual processes. IBM also notes that hosted data flows can raise privacy questions, and that provider dependency and downtime matter. IBM’s embedded iPaaS explainer was updated March 6, 2026.

Evaluate the trade-offs before rollout
- Workflow fit: Does the change remove a repeated, avoidable handoff, or create another surface people must manage?
- Coverage and flexibility: Are the required apps and data fields supported? Can the design handle exceptions and custom steps?
- Cost and operating effort: Consider setup and ongoing maintenance as well as license costs. A broader suite may still be rigid or costly; a connection may need continuing care.
- Privacy and security: Trace where information goes, who can access it, and whether it passes through a hosted service.
- Reliability and dependency: Decide how errors and outages will be detected, who responds, and what happens when an integration provider is unavailable.
- User experience: Ask the people doing the task to validate the new flow. Fewer app launches alone do not show that the work is better.
Integration also remains a technical challenge, not a switch that makes compatibility automatic. NIST’s 2003 report on systems integration offers foundational context, but it is dated and is not a current vendor or market assessment. Read NISTIR 6928.

Run a small workflow audit
- Choose one recurring task. Pick work that crosses systems often enough to observe, such as processing a request or moving information through a review.
- Map the sequence. Record each app, the action taken, information transferred, and person responsible at every handoff.
- Ask where friction occurs. Talk with the people doing the work about delays, duplicate entry, errors, missing context, and handoffs that serve an important control.
- Target one cause. Decide whether the problem is missing functionality, the workflow, user needs, or scattered content. Choose a change that addresses that cause rather than aiming to eliminate every app switch.
- Test with the real workflow. Check whether the change handles normal cases and exceptions, preserves needed controls, and works when a connection fails.
- Review before expanding. Ask users whether the task is clearer and easier to complete, and assess the maintenance, privacy, and reliability implications before adopting the pattern more widely.
