CSV is plain text for exchanging rows and columns, while .xlsx can preserve a spreadsheet’s structure and features. Exporting a workbook to CSV keeps only the active worksheet’s text and values, so retain the original workbook if its other content matters.
What is the difference between CSV and an Excel workbook?
A CSV file is text organized into rows and fields separated by delimiters—commonly commas. In Excel’s comma-delimited CSV format, rows end with carriage returns, and a field containing a comma is enclosed in quotation marks. The exact separator can vary with import and export settings, so a CSV should be treated as a data-exchange format whose parsing rules need to match the receiving system. Microsoft’s supported-format documentation describes Excel’s CSV behavior.
An .xlsx file is an Excel workbook. It can retain worksheet and chart data, formatting, and other supported spreadsheet features. A CSV, by contrast, does not contain the workbook structure needed to preserve those features. Microsoft describes the capabilities of the .xlsx format separately from text formats.
Which format should you use?
| Need | Choose CSV | Choose .xlsx |
|---|---|---|
| Send a simple table to a system that explicitly requests delimited text | Yes, after checking the required delimiter and import rules. Microsoft notes that separators can vary. | Only if the receiver accepts and needs a workbook instead. |
| Keep formulas, charts, formatting, or multiple sheets | No. CSV export saves only the active worksheet and drops workbook features. Microsoft’s feature-loss guidance describes what is removed. | Yes, if recipients use compatible spreadsheet software and need those features. |
| Provide a working spreadsheet for continued editing | No; it is a text-and-values handoff, not a full workbook. | Yes. Microsoft recommends Open XML formats such as .xlsx absent a specific reason to use another format. Microsoft’s file-format guidance identifies .xlsx as the default Office format. |
What gets lost when you save Excel as CSV?
Excel saves only the active worksheet to CSV. Formatting, graphics, objects, and other worksheet contents are not preserved. Microsoft also says that when formulas are displayed in cells, they are converted to text in CSV. In other words, do not expect the exported file to behave like the workbook: it is a text representation of the active sheet’s displayed text and values. See Microsoft’s feature-loss details and its supported-format notes.

For a budget containing calculations, charts, and styled sheets, keep and share the .xlsx workbook if collaborators need those elements. If a separate system requires a CSV, export that file as a handoff and keep the workbook as the editable source.
How to avoid CSV import problems
A CSV is text, but spreadsheet software may interpret text as dates or numbers when opening or importing it. Identifiers and postal codes with leading zeroes are particularly easy to change unless their columns are treated as text. Dates can also be interpreted differently depending on format and settings. Before a customer-list upload, check the destination’s required column layout and delimiter, and verify that IDs, postal codes, and dates arrive as intended. Microsoft’s text import/export guidance covers delimiter and interpretation issues.

Excel documents a text-file import/export limit of 1,048,576 rows and 16,384 columns. These are Excel limits, not universal limits for CSV files or every CSV-reading tool; Microsoft’s retrieved documentation does not state a publication year for these figures. Check the receiving application’s own capacity if a file approaches those dimensions. Microsoft’s import/export documentation lists Excel’s limits.

Microsoft says Excel for the web supports CSV, but opening one converts it to a newer .xlsx file. If you need the original plain-text CSV for another system or for a later handoff, keep a copy of that CSV. Microsoft documents this behavior for workbooks in the browser.
