Copilot Screen Context: Which Checks to Try First

A grayed-out Copilot screen-sharing control may depend on voice-chat state, account eligibility, microphone access, content support, or rollout availability. Here’s what to check in Windows 11.

If the Copilot screen-context button is grayed out in Windows 11, first check whether you are in a voice conversation, using an eligible account, and allowing microphone access. Those are Microsoft’s documented prerequisites for Copilot Vision screen sharing. If the icon is dim only for particular content, that content may not be supported; Microsoft also notes that availability can vary during rollout. For a one-time question about a static screen, use Copilot’s separate screenshot option.

First, identify which screen feature is unavailable

Copilot has two distinct ways to ask about what is on your screen. Vision screen sharing is started during a voice conversation and is intended for an interactive discussion about a selected screen or window. Take a Screenshot sends a still image with a typed question. A screen-sharing control may not be available in every text-chat state.

Check the likely prerequisites in order

  1. Start a voice conversation

Open a new voice chat in the Copilot experience you are using, then look for the screen-sharing control. Microsoft’s Vision instructions place screen sharing within a voice conversation. If you are in an ordinary text-only chat, switch to voice before treating the dimmed control as a fault.

    • A BETTER READING EXPERIENCE: For busy office workers, EasyRead mode provides a more paper-like experience for when viewing lengthy documents
  2. Confirm the account and subscription

Microsoft lists Vision access for a signed-in work account with a Copilot license, or a personal Microsoft account with Microsoft 365 Personal, Family, or Premium. The eligibility rules can differ by Copilot experience, so check the account signed into the specific app or surface rather than assuming that access in one Copilot experience guarantees access in another. See Microsoft’s Vision availability guidance.

  3. Allow microphone access and check the input

Vision runs during voice conversations and requires microphone access. If Windows or the app has blocked microphone permission, or no usable input is available, resolve that first. Then return to voice chat and check whether the screen-share control is active.

  4. Try another window or page

If Vision is available in general but the icon becomes dim only for a particular page or screen, unsupported content may explain it. Microsoft’s screen-reader guidance says the Vision icon appears dimmed for unsupported page content and Copilot will not answer questions about that content. That is a documented case, not a universal explanation for every dimmed button. See Basic tasks using a screen reader with Copilot Vision.

  5. Allow for differences during rollout

Microsoft says Vision availability might vary while features roll out. The location and wording of controls can also depend on which Copilot experience you are using. If the steps above fit but the option is still unavailable, confirm that you are signed into the intended account and check Microsoft’s current instructions for that Copilot surface; the documentation does not identify one fix that applies to every case.

Use a screenshot for a static screen question

If you do not need a live voice conversation, Copilot for Windows provides a separate screenshot workflow:

  1. In Copilot’s Composer, select +, then Take a Screenshot.
  2. Select the screen area relevant to your question.
  3. Type your question and submit it.

This sends a still image rather than starting Vision screen sharing. Microsoft documents the option in Access Microsoft Copilot on Windows.

What the symptom does—and does not—tell you

“Screen context button” is not enough to identify one universal control or cause. The useful clues are the Copilot app or experience in use, whether a voice conversation is active, which account is signed in, whether microphone access works, and whether the button is dim for all content or only a particular page. Microsoft’s documentation supports those checks but does not establish a single guaranteed repair for every Windows 11 PC.
