Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →To convert a CSV or Excel spreadsheet into a NACHA-format ACH file, you must map each payment to the right ACH fields, arrange the required records in order, format every record to the required fixed width, and reconcile the control totals. Then validate the result against the receiving bank’s current origination instructions. A spreadsheet-to-file conversion is not just a change of file extension: the bank’s requirements and the meaning of each transaction determine whether a structurally valid file can be accepted.
Why a spreadsheet cannot simply be saved as an ACH file
A CSV or Excel workbook stores information in rows and columns. An ACH file uses a specific record structure. Nacha’s ACH Guide for Developers describes it as a fixed-width ASCII file in which each line is exactly 94 characters long. Records have defined positions and appear in a prescribed sequence.

The file is organized as batches, and batches contain entries. Records convey information at file, batch, and transaction levels. A converter must therefore do more than copy spreadsheet cells: it must map source data to the correct fields, format those fields to their required widths, and create the required headers, entries, control records, and any needed addenda.

Get the receiving bank’s requirements before converting
Start with the instructions for the bank or other ODFI that will receive the file. ODFIs can require particular formatting and data elements for originator files, so a file that meets the general record structure may still fail that institution’s upload profile.
Confirm the bank’s current requirements for:
- Supported ACH entry types and SEC codes.
- Company identifiers and other originator information.
- Effective entry dates and any cutoff or date rules.
- Required batch-level details, balancing approach, and file format.
- Accepted characters and portal-specific upload steps.
- Available test, validation, correction, and resubmission procedures.
Use the bank’s specifications alongside the applicable Nacha Operating Rules. A general-purpose converter cannot be assumed to produce a file accepted by every bank.

Prepare the CSV or workbook
Before mapping any rows, make a clean copy of the source data and identify which columns hold each required value. Keep routing and account identifiers as text so spreadsheet software does not remove leading zeros or change their representation. Separate identifiers from amounts, and resolve missing, malformed, or ambiguous values before creating a file.
Check that every row represents the intended payment, that amounts use the format expected by the conversion process, and that the source contains the information required for the applicable entry type and bank profile. Spreadsheet column names alone do not establish what an entry means or whether it is authorized.

Choose the transaction and batch treatment
For each payment, determine whether it is a credit or debit, which SEC code applies, and what payment application is appropriate. SEC codes reflect transaction context, including whether entries are consumer or corporate, single or recurring, and what record format carries payment information. These are substantive choices, not labels a converter should guess from a column heading.
Group entries into batches using the applicable bank instructions and shared batch-level information. That may include SEC code, effective entry date, company identifier, and batch description. Confirm that entries grouped together are meant to share those details.

Generate the ACH records in the required order
The file needs a file header, batch headers, entry records, batch control records, and a file control record. Some entry types may also require addenda records. Each record must occupy the prescribed positions and be exactly 94 characters long.
Field formatting matters. Nacha’s developer reference describes alphanumeric fields as left-justified and space-padded, numeric fields as unsigned, right-justified, and zero-padded, and certain codes as uppercase. The applicable detailed specification and bank instructions determine the exact width and valid content for each field. Do not infer or improvise field layouts from spreadsheet order.

Validate the output before upload
Validation should check both the individual records and the relationships among them. A conversion process should report errors clearly enough to identify the affected row, field, batch, or control total.
Check record shape and sequence
- Confirm every record is ASCII and exactly 94 characters long.
- Check that file, batch, entry, addenda when required, and control records appear in the prescribed sequence.
- Verify that each batch begins and ends correctly and that entries belong to the intended batch.
- Check required fields for valid content, position, and padding under the applicable specification.
Reconcile counts, totals, and hashes
Batch and file control records carry counts and totals used to validate the file. Compare the number of entries and the debit and credit totals in the controls with the transactions actually generated. Validate hash totals using the applicable ACH specification; they are validity checks, not substitutes for reconciling payment amounts. Investigate any mismatch instead of editing a control value merely to make the file balance.
Check file padding
ACH files use a blocking factor of 10: the total record count is padded so the line count is a multiple of 10, using records of 9s. Verify that the file ends with the required padding and that the padding is included in the total line count.
Review characters and the bank’s acceptance rules
An unsupported character can cause a file to be pended or rejected under ACH Operator or customer specifications. Nacha’s “Currently Accepted Characters in the ACH Network” page lists January 1, 2027 as an effective date and explains that the page documents accepted characters rather than changing operator processing. That date is upcoming as of October 11, 2026. Recheck the applicable Nacha guidance and the bank’s character restrictions before generating or uploading a file; do not assume punctuation or symbols in source data will pass.
Upload through the bank’s process and review the result
If the bank offers an approved test or validation process, use it before a production upload. There is no universal bank portal workflow: follow the receiving institution’s instructions for file selection, authorization, correction, and resubmission. After upload, inspect the bank’s summary for rejected rows, entries, or batches and resolve the reported issues using that bank’s process.
Quick Recap
- Confirm the file is the intended production or test file and matches the bank’s current profile.
- Upload it using the bank’s specified portal or transmission method.
- Review the upload or processing summary for acceptance, warnings, and rejected items.
- Correct errors at the source or in the mapping, regenerate and revalidate the file, then follow the bank’s resubmission instructions.
A practical pre-upload checklist
- The receiving bank’s current file and portal requirements were checked.
- Each row’s credit or debit treatment, SEC code, and batch assignment were deliberately selected.
- Identifiers were preserved accurately, including leading zeros.
- Every record has the required structure, sequence, character set, and 94-character width.
- Batch and file counts, debit and credit totals, hash totals, and padding reconcile.
- The bank’s available test or validation process was used, if provided.
- The upload summary and any exception instructions will be reviewed before considering the file complete.
