Inserting a PNG into Word keeps it as a picture; it does not make the words editable. To edit the text, use OCR to recognize the image’s characters, then proofread the result and repair its layout. If your source is already a PDF, Word can convert a copy and try to reproduce the layout, but it may not match the original.
Choose between keeping the picture and editing its words
The right method depends on what you need from the file:

| Approach | Text editability | Layout fidelity | Correction work |
|---|---|---|---|
| Insert the PNG into Word | Text remains part of the image and cannot be edited as ordinary Word text. | The picture keeps its original appearance. | Little correction is needed if you only want to display the image. |
| Use OCR on the image | Recognized words can be edited as text. | OCR may not preserve the original page layout. | Proofread the text and adjust formatting. |
| Open a PDF in desktop Word | Word attempts to convert text; graphics may remain images. | Word tries to match the PDF, but the converted file may differ. | Check the converted text, page breaks, and formatting. |
How do I put a PNG in Word without changing it?
In Word for Windows desktop, choose Insert > Pictures and select the PNG. Microsoft lists PNG as a supported picture format. This places the image on the page; it does not extract or convert the letters into editable text. See Microsoft’s instructions for inserting scanned text or images into Word.

How do I convert a PNG to editable Word text?
You need optical character recognition (OCR), which identifies characters in an image and turns them into text. The result is not necessarily a faithful recreation of the original page: OCR may extract words without preserving columns, tables, or other layout details, so expect to format the Word document yourself.

Microsoft’s general Word guidance describes scanning text or scanning to PDF and opening that PDF in Word. It cautions that recognition depends on image quality and text clarity, and recommends proofreading. Its documented scanning route is not a guarantee that an existing PNG can be converted directly into a fully editable Word layout.
Use OneDrive for mobile scanning
For a new mobile scan, Microsoft recommends OneDrive’s built-in scanning feature rather than Microsoft Lens. OneDrive’s documented OCR feature can recognize text in scanned PDFs so it can be copied; that guidance does not establish direct conversion of an existing PNG into a Word document with its layout intact. Microsoft also notes that OneDrive scans cannot be saved locally on the device. See Microsoft’s OneDrive OCR instructions.

Older instructions may suggest Microsoft Lens, but it is no longer a current option for creating scans. Microsoft retired Lens from iOS and Android starting January 9, 2026; support ended February 9, 2026, and creating scans was available only through March 9, 2026. Microsoft’s stated alternative is OneDrive. See Microsoft’s Lens retirement notice.
Can Word turn a PDF into an editable document?
If you already have a PDF version of the page, desktop Word can open it and attempt to convert a copy into an editable document. Open the PDF in Word, accept the conversion prompt, then save the result as a Word document. Word tries to reproduce the PDF’s layout; it does not guarantee an exact match. This is a PDF workflow, not a direct PNG-to-Word conversion. Microsoft’s details are in Opening PDFs in Word.

Conversion works best when the PDF is mostly text. A PDF made mostly of charts or other graphics may appear as a page image, leaving its text uneditable. Tables with cell spacing, page colors and borders, tracked changes, frames, certain notes, and other PDF features can convert poorly.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What affects OCR results, and what should you check?
Clear, sharp, straight, high-contrast printed text gives OCR a better chance of recognizing the characters than blurry, skewed, or low-resolution text. Microsoft says handwritten text is seldom recognized in its documented Word scanning path. No OCR method should be treated as a guarantee of accurate text or preserved layout.
