Choose computer inventory software by first deciding whether you need a technical device list, lifecycle and assignment management, or both. Then check whether its discovery methods cover your on-network, remote, cloud, and intermittently connected devices; whether its records are accurate and deduplicated; and whether its integrations, security controls, and total operating cost fit your organization. Pilot shortlisted tools against a known sample of your fleet before committing.
What does “computer inventory” need to mean for your organization?
Inventory software can do very different jobs. A discovery-focused tool builds a technical record of devices and installed software. A broader asset-management system may also track who has each computer, purchasing and warranty details, lifecycle status, service requests, or compliance workflows. Decide which of these outcomes matter before comparing products or plans.

- Technical inventory: Identify computers and capture useful hardware, operating-system, network, and installed-software details.
- Assignment and lifecycle: Track ownership, location, acquisition, warranty, status, and retirement.
- Connected workflows: Feed asset information into service-desk, IT service management, or security processes.
For example, GLPI presents inventory alongside asset lifecycle management, reporting, and help-desk functions (GLPI product overview). Lansweeper describes asset discovery and enrichment for IT service management and security use cases (Lansweeper overview). These are vendor-described capabilities, not independent confirmation that a specific workflow will meet your needs; validate them in the product.
Will it find computers wherever they are?
Collection method determines what your inventory can see. Network discovery is useful for devices reachable on the networks you scan. An endpoint agent can report directly from laptops and other computers that are remote or not continuously connected to the corporate network. Cloud discovery may be needed for virtual machines and cloud infrastructure. Many organizations need more than one method.

Lansweeper documents network, IT-agent, and cloud discovery, plus a reconciliation process for records found by multiple discovery systems (Lansweeper Discovery documentation). Its IT Agent documentation says data can be collected regardless of device location, stored while a device is offline, and synced later (IT Agent Discovery documentation). Treat these as descriptions of the vendor’s platform; test coverage and sync behavior on your own network and devices.
For GLPI, the Help Center says the GLPI Agent is installed on workstations for automatic inventory. It also notes that inventory is native since GLPI 10, while some discovery, collection, and deployment tasks are handled by the GLPI Inventory plugin (GLPI inventory FAQ). Check the current documentation for the version and deployment model you plan to use.
Does it capture the details your team will use?
Start with the fields needed for actual decisions and workflows. Typical requirements include reliable device identifiers, hardware configuration, operating-system version, installed software, assigned user, and lifecycle status. Add location, warranty, or purchasing information if teams will maintain and use those records. Confirm supported operating systems and device types against your real fleet before rollout.

Verify compatibility and exact fields in current product documentation, especially for less common systems or device types.
How does it prevent messy or duplicate records?
Discovery may encounter the same device through several methods, or find incomplete and conflicting identifiers. Ask how the product handles duplicate records, missing serial numbers, cloned computers, virtual devices, stale assets, and devices that disappear from scans. Find out whether a person must resolve conflicts and whether changes are auditable.
Lansweeper says its reconciliation engine matches assets found by more than one discovery system and merges them into a single asset record (discovery documentation). GLPI Inventory documentation describes configurable import rules, blacklists, and discovery IP ranges (GLPI Inventory documentation). Neither feature description establishes how well records will reconcile in your environment; include known duplicates and incomplete records in a pilot.

Do you need asset management or just discovery?
If the job is to answer “Which devices do we have, and where are they?”, a discovery-focused system may be enough. If staff also need assignment records, acquisition-to-retirement tracking, service requests, license management, or compliance reporting, treat those as separate requirements. Check whether the platform provides them directly, connects to another system, or requires an add-on.
GLPI positions inventory alongside lifecycle management and help-desk functions (GLPI product overview). Lansweeper describes integrations that can enrich ITSM and security tools with asset data (Lansweeper overview). Map each required workflow to a demonstrable feature or integration, and confirm who will maintain it.
What security and deployment conditions must it meet?
Review the product against your organization’s policies before connecting it to endpoints or networks. Check access controls, authentication, encryption, data location, and the permissions needed for collection. Also estimate the operational work: who will deploy agents or configure scans, maintain connectors, investigate exceptions, and keep inventory rules current.

Lansweeper’s feature page lists granular permissions, single sign-on, multifactor authentication, and EU or US data-residency options (Lansweeper features). Confirm that the needed controls are included in the specific plan and available for the tenant region and configuration you would use; a general feature listing does not establish those details for every customer.

Compare like with like: the computers and servers to cover, required discovery methods, management features, integrations, support, hosting, and implementation and maintenance effort. A low-cost or free entry option may not cover the scale or features you require. Ask vendors for current limits and terms rather than assuming a plan label tells you what is included.

How to run a useful pilot
- Choose a representative sample. Include laptops, desktops, relevant operating systems, different network locations, remote users, and any unusual device types that matter to your organization.
- Establish a trusted comparison list. Use a known sample of devices and expected attributes so you can check what the tool discovers and misses.
- Test each collection path. Try network scans, agents, and cloud discovery where relevant. Observe credential and deployment requirements, offline behavior, and how quickly changes appear.
- Check record quality. Test duplicate discoveries, missing identifiers, stale devices, and conflicts. Confirm whether your team can understand and correct the results.
- Exercise real workflows. Verify reports, exports, integrations, assignment or lifecycle processes, and access controls that are requirements for the purchase.
- Estimate ongoing effort. Record the work needed to maintain agents, scans, integrations, and exceptions, alongside licensing and support costs.
A vendor capability page is evidence of stated features, not an independent accuracy or ease-of-deployment benchmark. The useful result of a pilot is whether the product’s coverage, records, and operating demands meet your defined requirements.
Which products belong on a shortlist?
There is no universal best choice: the right shortlist depends on whether you need discovery alone or a broader management layer, and on where your computers operate.
