Overview

Residents submit requests with issue details, photos, location information, and access notes. Managers can review and prioritize them, then assign work orders to staff or vendors; status updates, photos, and notes record completion. This gives teams a shared path from intake to follow-up, especially useful when maintenance involves outside providers.

Vendor activity connects with properties, buildings, units, requests, work orders, and service history. Dashboards and reports show open and aging work, response patterns, and operational history across a portfolio. The result is a coherent operational record, although teams should check that the plan’s monthly quotas and property limits fit their workload.

Key features

Repeatable inspection checklists, digital findings, and corrective-work follow-up support a consistent inspection process. Asset records retain equipment location, installation context, warranty information, notes, and repair history. Together, these features make TaskEstate more useful than a request inbox alone for teams that need inspection results and prior repairs tied to property operations.

Role-based access is designed for managers, maintenance staff, inspectors, vendors, and administrators. The platform is designed for desktop, tablet, and mobile use. TaskEstate says it does not sell or rent personal data and uses reasonable technical and organizational measures against unauthorized access, loss, misuse, disclosure, or alteration. Support is available at support@taskestate.com and +1 (619) 752-4422 during weekday business hours, 8:00 AM to 5:00 PM.

Pricing

The Free plan is free forever. It includes dashboard access for up to 1 user, 1 property, 1 building, and 25 units, with monthly caps of 20 resident requests, 20 work orders, 5 inspections, and 5 assets. It is a useful way for a very small operation to start, but the single-user cap and modest activity allowances leave little room for a team or busy maintenance schedule.

Starter costs 4.99 USD per month, with the first month free. It allows up to 3 users, 1 property, 10 buildings, and 100 units; monthly limits are 50 each for resident requests, work orders, inspections, and assets. Unlimited emails are included. This is the lowest paid tier and a reasonable fit for a small site needing more activity and staff capacity than Free, but its single-property limit and quotas still constrain growth.

Essential costs 14.99 USD per month, with the first month free. It raises capacity to 15 users, 5 properties, 50 buildings, and 500 units, with 500 monthly requests, work orders, inspections, and assets; it also adds charts and reports alongside unlimited emails. It is the more balanced choice for a growing multi-property team that needs reporting and higher monthly throughput.

Premium costs 29.99 USD per month, with the first month free. It covers up to 30 users, 10 properties, 100 buildings, and 1,000 units, and allows 1,000 monthly requests, work orders, inspections, and assets, plus unlimited emails, charts, and reports. Larger portfolios may find its ceilings restrictive; no higher fixed tier is given, so custom pricing may be the next step to explore.

Platforms

TaskEstate is web-based and designed to work across desktop, tablet, and mobile devices. It is a practical option for teams using different screen sizes, but it is not presented as a separate native mobile app.

Who it's for

Residential property managers, apartment operators, housing associations and HOAs, maintenance teams, and property owners are the intended users. It is best suited to operators that want resident intake, work assignment, inspections, vendors, and asset history connected in one operational flow. Teams with high request volumes, many users, or portfolios beyond the plan caps should compare capacity before committing.

Pros and cons

Connected maintenance workflow: Requests can move through prioritization, staff or vendor assignment, and completion records, preserving context across the repair.
Useful property records: Inspection findings, vendor history, and asset details such as warranty and repair history support ongoing operations.
Low-cost starting tiers: Free and Starter provide entry points for small operators, while Essential and Premium expand user, property, and activity capacity.
Meaningful caps: Free limits access to one user and one property, while every plan sets monthly activity ceilings; teams need to match their expected workload to the tier.
Reporting starts at Essential: Free and Starter include dashboard access, but charts and reports are only included with Essential and Premium.

Alternatives

FlowServIQ is worth considering for a team that prioritizes unlimited work orders and preventive maintenance on a free plan; its free tier includes a tenant request portal, asset tracking, a certification tracker, and one team member. Platuni Maintenance may suit a very small property starting with one unit: its free Starter tier includes maintenance requests, basic work orders, and email support.

Visitt is another paid alternative. Fentrica may fit operators seeking modular pricing, with a stated plan at 85.00 EUR per month and enterprise packages available. Latchel is a paid option with an Autopilot AI plan described as a flat monthly subscription per door, with portfolio pricing on demo and outbound voice in the full package. NetVendor is a paid alternative whose vendor enrollment fee typically ranges from $49 to $149 per property management company or contractor, if applicable. One by Lessen is another paid alternative. Prism Operations may suit buyers looking for pricing tailored to portfolio size, property type, workflows, use cases, rollout scope, and features.

Verdict

TaskEstate is a strong fit for small residential operators who want resident requests, work orders, inspections, vendor activity, and asset history tied to their properties. The Free and Starter plans make it accessible, and Essential adds reporting with substantially higher capacity. Choose it if those connected workflows match your operation; look elsewhere if your team needs more users, properties, or monthly activity than Premium allows.
