CoConstruct Client Communication: Which Tools to Use and How

Use Messages for project-wide questions, item-level Comments for selections and scope, and the Job Log for site updates. Set notifications deliberately and document choices entered on a client’s behalf.

Use Messages for project-wide conversations, Comments on a Specs & Selections item for a specific choice or scope question, and the Job Log for site updates. Send alerts to the people who need to act, choose client visibility deliberately, and document any selection instruction you enter on a client’s behalf.

Choose the communication area that fits the subject

A specific selection, specification, or scope question Comments on the relevant Specs & Selections item Keep the discussion attached to the item so clients, trade partners, and the project team can refer to the same context. Progress, deliveries, site visits, work, or an issue at the jobsite Job Log Record the update and check whether its notes and photos should be visible to clients before sharing. CoConstruct’s Job Log client-view article describes client access to shared information.
A person needs to notice or act on an update Alert, summary email, or @mention Use the notification approach suited to the urgency and recipient. Confirm the current settings in the account; the vendor’s notification guidance describes the options.
A team member enters a choice after the client gave the instruction Selection choice plus a comment Record who gave the instruction and when. The change log identifies the logged-in user who made the selection entry, as CoConstruct explains in its selection-choice guidance.

Use Messages for project-wide conversation

Put general questions in the project’s Messages area rather than attaching them to an unrelated selection. Examples include coordinating a meeting or following up on a proposal decision. Add relevant files or photos to the conversation, then use an alert or @mention to draw the intended recipients’ attention. CoConstruct’s September 29, 2020 guidance says clients can reply to a notification email and have the response recorded in the system; because that article is dated, verify the behavior in your current account.

Keep selection and scope discussions with the item

When a question concerns a particular choice or specification, open the corresponding Specs & Selections item and use its Comments thread. That keeps the exchange beside the decision it affects and can include the appropriate client or trade partner. Attach a photo, document, or other context when it helps clarify the question. Check the item’s sharing and notification settings so the intended participants can see the comment and are prompted to respond.

Record site updates in the Job Log

Use the Job Log for routine project-site information such as progress, deliveries, work, visits, and issues. Before posting, decide which notes and photos are appropriate for client visibility. CoConstruct’s November 30, 2020 article says clients can view shared Job Log notes and weather, but cannot enter Job Log notes or data. The same article describes login access as necessary to view shared Job Log information. These are descriptions in dated vendor help, not confirmation of current account entitlements; check the live product before relying on them.

Set notifications to match the work

Notifications help make sure a message or decision request reaches the right person without assuming everyone needs every alert. CoConstruct’s November 2020 help describes instant alerts for new comments, messages, questions, change orders, selection choices, and file or photo uploads, along with summary emails that could be set to daily Monday through Saturday, weekly, or disabled. The same help material includes historical plan-specific information. Current settings, labels, and plan access may differ, so use the options shown in your account rather than relying on old plan names or schedules.

  • Use an immediate alert or mention when a specific person needs to respond or act.
  • Use summary delivery for people who need a regular digest rather than each event in real time.
  • Review the recipient and sharing settings on the message, comment, or file; the existence of a notification feature does not ensure every participant receives every update.

Document choices entered on a client’s behalf

If a client gives a selection instruction by phone or in person and a team member enters the choice, add a comment to the selection item recording the instruction and when it was given. The software’s change log attributes the entry to the logged-in user, not the client. The comment preserves the source and timing of the direction without misrepresenting who performed the system action.

Review activity and follow up directly

CoConstruct’s Performance View guidance describes reviewing selection status, Job Log activity, and client messages or comments to spot items that may need follow-up. Use those signals to identify unanswered questions or decisions that are holding up work, then contact the client directly when needed. Activity indicators can guide follow-up, but they do not replace a clear conversation about what is outstanding. See CoConstruct’s Performance View guidance.

Check current access before setting expectations

Several CoConstruct help articles about client login access, Job Log sharing, notifications, and plan availability were published in 2020. Their plan names and entitlement details may not describe current products. Confirm what your team and clients can access in the live account, and then explain to clients where updates appear, how to reply, and how to surface time-sensitive decisions.
