Neither cloud storage nor an external hard drive is best for every backup need. Cloud backup gives you an off-site copy that you can reach online; a disconnected external drive gives you a local copy that does not depend on internet access. For important files, using both—with one copy kept offline and away from your computer—covers more risks than relying on either alone.
How cloud storage and external drives differ as backups
The key difference is where your copy lives and what you need to reach it. Cloud backup can protect against a local disaster such as fire or theft, while a drive stored near your computer may be lost in the same event. Choose cloud backup when off-site access matters
Cloud is useful when you need a copy beyond your home or office, particularly if a local event could affect both your computer and a nearby drive. It also makes recovery possible from another location, provided you have a reliable connection and can sign in to the service.

- Prioritize it if local fire, flood or theft is a concern and you do not have a secure off-site place for a drive.
- Check upload speed and data volume: an initial backup or a large restore can take time over an internet connection.
- Secure the account and make sure you can recover access to it; the copy is of limited use if you cannot reach the service.
Choose an external drive when offline or local recovery matters
A drive can be restored without downloading files, and a disconnected drive provides a copy that is not continuously exposed to network threats. It is a practical option where internet service is unreliable or where local recovery speed is important.
- Keep the drive disconnected except when backing up or restoring.
- Store it separately from the computer between backup sessions; an offline drive in the same room is still vulnerable to the same physical disaster.
- Use encryption for sensitive data, and keep the recovery key somewhere you can access if the drive is lost or your computer is unavailable.
Why a combination is usually more resilient
Cloud and local backups address different failure scenarios. A cloud copy can survive a local disaster that destroys a nearby drive; an offline drive can remain available if internet or account access is unavailable. The California Privacy Protection Agency’s April 2026 consumer guidance describes the 3-2-1 rule: keep three copies of important data, on two types of media, with one copy off-site. It is a planning heuristic, not a guarantee that data cannot be lost. A copy only helps if it is current, intact and recoverable. Both approaches need ongoing attention: cloud users should check backup status and service recovery features, while drive users need to connect the drive often enough to capture changes. Test restoring files periodically, rather than assuming that a successful-looking backup can be recovered.

- Choose the files or folders that matter most, including anything that would be difficult or impossible to replace.
- Set a regular backup schedule that matches how often those files change. Confirm that the latest run completed.
- Keep at least one copy disconnected or otherwise unavailable to ordinary network threats, and keep an off-site copy for local-disaster protection.
- Restore a sample of files to a safe location and open them. Confirm that you can access encrypted copies and their recovery keys.
- Revisit the plan when your data volume, computer, internet access or backup service changes.
What to check before choosing a cloud service
“Cloud storage” can mean file synchronization or a dedicated backup service, and syncing alone should not be assumed to create an independent backup. Deletion or unwanted changes may propagate, depending on the service. Before relying on a service, check its retention and deleted-file recovery, supported devices and operating systems, encryption, restore options, storage limits and current price. Make sure its behavior matches the recovery you need.

A practical decision
- Choose cloud first if off-site protection is your main gap and your internet connection and account access are dependable.
- Choose an external drive first if you need offline recovery, have limited internet, or want a local copy you control—then store it apart from your computer.
- Use both for important data when you can: maintain a cloud copy and an encrypted external-drive copy, disconnecting and storing the drive separately between backups.
There is no established head-to-head failure rate or universal recovery-time or price winner for these options. The better choice depends on data size, internet reliability and upload speed, sensitivity, how quickly you need to restore, and whether you can keep physical media off-site.
