To set up Clockify Activity Monitoring, enable it in Workspace settings, configure monitoring and screenshot preferences, install the desktop agent, assign each agent to a workspace member, and classify detected apps and websites. The feature requires a Pro plan or above, and its setup interface is for desktop or laptop use.
Before you start: check the plan, device, and permissions
Clockify’s Activity Monitoring setup guide requires a Pro plan or above. Use a desktop or laptop; the interface is not currently supported on mobile.

A workspace owner or administrator must enable Activity Monitoring and decide which roles can access it. Team managers can use the feature only if an administrator grants them access.

- Open Workspace settings and enable Activity Monitoring.
- Open the Permissions tab and choose either admins only or admins and team managers.
Configure monitoring preferences
Go to Monitoring > General settings to set the workspace’s monitoring options.

Set the inactivity threshold
Choose a threshold from 1 to 30 minutes. The guide identifies the available range but does not recommend a particular setting; select one that fits your team’s needs.
Decide whether to capture screenshots
Screenshots are optional. If you enable them, set an interval from 30 seconds to 30 minutes. Blur is enabled by default; turning blur off makes captures clear. Clockify documents these controls but does not prescribe a privacy policy or a capture interval, so make this an explicit workspace decision.
Choose what counts as productive
Select the types of apps and websites that should count as productive time. You can refine the classifications after agents begin detecting activity.

Install the desktop agent
Make sure each team member is already in the workspace before sending an installation link. Choose the installation route that matches who is setting up the agent:

Assign each installed agent to a member
Newly installed agents initially appear as Unassigned. In Monitoring > Agent apps, find the agent and select the correct person in the Member column.
Assign agents promptly: Clockify says activity gathered while an agent is Unassigned remains in the database, but is not retroactively linked to the user upon initial assignment. Do not assume that assigning an agent later will attribute its earlier activity to that member.

Classify detected apps and websites
Newly detected activity starts as Undefined. In Monitoring > Productivity, review the listed apps and websites and classify each as Productive, Neutral, or Unproductive. These classifications determine how activity is treated for utilization scoring.
For a broad domain rule, Clockify suggests using a wildcard, such as *.google.com, to apply a catch-all classification. Review rules against your team’s actual use before relying on them, since the same service may be used for different kinds of work.
