If Find and Replace misses text, numbers, or cells—or changes fewer items than expected—check the search scope and criteria before suspecting a damaged file. Excel may be searching only a selection or sheet, while Word can retain formatting, case, special-character, or wildcard criteria that narrow matches.
Fix Find and Replace in Excel
Excel’s search can be restricted by where it looks, what content it searches, and how closely the result must match. Open Replace with Ctrl+H or choose Home > Editing > Find & Select > Replace. Expand Options if the controls are hidden.

- Set the search scope. Under Within, choose Selection, Sheet, or Workbook as appropriate. If only a range or the active sheet is selected, a match elsewhere will not appear.
- Choose what to search. The Find tab’s Look in setting can target formulas, values, notes, or comments. On the Replace tab, the documented choice is formulas only; switch to Find when you need to inspect other content types.
- Review match restrictions. Clear Match case and Match entire cell contents unless you need those limits. Check Format too: a format filter can restrict results to cells with particular formatting.
- Check wildcard characters. In Excel,
?matches one character and*matches a sequence. To find a literal question mark, asterisk, or tilde, prefix it with a tilde—for example,~?searches for a question mark. - Verify before replacing broadly. Use Find Next or Find All to confirm the matches. Find All lists occurrences and lets you select their corresponding cells; use that check before Replace All.

Open Replace with Ctrl+H or Home > Editing > Replace. Expand the advanced options if the controls are not visible.

- Check case and formatting. Turn off Match case if capitalization should not matter. Look for any active formatting criteria; Word can restrict results to text with specified formatting even when the visible words look right.
- Check special-character searches. If you are looking for paragraph marks, page breaks, or another special character, choose the relevant item from the advanced Special menu rather than treating it as ordinary text.
- Check wildcard mode. Use wildcards changes how Word interprets the search pattern. Word’s wildcard system includes syntax such as
?,*, character ranges, repetition counts, and word-boundary markers. If the search is behaving unexpectedly, disable wildcard mode unless the query is intentionally written as a pattern. - Replace one match at a time first. Use Replace to inspect occurrences before choosing Replace All. Microsoft recommends reviewing each item this way when replacing text.
Microsoft’s Find and replace text instructions cover Word’s advanced search options. Word for the web offers fewer options than desktop Word: its documented controls include basic text finding, case matching, and whole-word matching. Open the document in desktop Word when you need more varied search behavior.
Why the Excel and Word checks differ
The applications share the same basic task, but their controls are not interchangeable.

If scope, target, and criteria do not explain the result, identify the app edition and platform, then note the exact search text, replacement text, and behavior: no match, too few matches, or an unexpected replacement. Microsoft’s documented settings explain common causes, but do not establish one universal cause for every Find and Replace problem.
