Use a ChatGPT Space when your team needs to create and organize shared pages, such as meeting notes or a project brief. Use a Project when the team needs a continuing hub of related chats, files, and instructions that ChatGPT can draw on. They serve different purposes, and OpenAI says using a Space does not replace existing Projects—so a team may use both.
How Spaces and Projects differ
The simplest distinction is the work the team is organizing: Spaces are centered on editable pages; Projects are centered on conversations and the context around an ongoing effort. That is a practical summary of OpenAI’s descriptions, not a rule that either feature can only be used for one kind of work.

OpenAI’s Projects guide describes Projects as a way to keep related work together; its Space guide describes Spaces as a home for pages and other work.
When should a team use a Space?
Choose a Space when the team’s main output is a set of shared, editable documents that should live together. A Space can group related content in folders and pages, and pages can include subpages.

- Project brief: keep the working brief in a page teammates can edit.
- Meeting notes: collect notes as organized pages, with subpages where useful.
- Research summary or team update: create a shared document collaborators can refine with help from their own ChatGPT.
These are examples in OpenAI’s Space guidance, not limits on what a team can put in a Space.
When should a team use a Project?
Choose a Project when the work is ongoing and teammates need related conversations, reference files, and instructions kept together so ChatGPT can use that context. This fits recurring or evolving work such as writing, research, and planning. Shared Projects let collaborators see and build on project chats, files, and custom instructions.

For example, a team doing continuing research can keep its related discussions and reference material in a Project rather than treating each conversation as isolated. The value is shared context for the work, not a guarantee of a particular productivity gain.
Can a team use Spaces and Projects together?
Yes. A team can use a Project to maintain the continuing context for an effort and a Space to organize the documents produced along the way. OpenAI explicitly says creating or using a Space does not replace existing Projects.

How sharing and access work
Space permissions
Space page owners can grant collaborators view or edit access, review who has access, change permissions, and remove collaborators or revoke access. Managed-workspace administrators may also control sharing. See OpenAI’s Space sharing, data, and controls guide.
Project access and memory
For shared Projects, OpenAI documents chat and edit access, invitations to individuals or groups depending on the plan and workspace, and owner controls over membership. Workspace administrators can control whether people may create or share Projects. Shared Projects use project-only memory: they cannot access a member’s context or memories outside that Project. In either feature, shared content is visible to people who have been granted access. Workspace settings can add restrictions, but sharing does not make content private from authorized collaborators.
Check plan and workspace availability before rollout
Availability depends on the feature, plan, workspace settings, and potentially the account’s region; these details can change as features roll out. The current Space guidance says creation and editing are available on Pro, Business, or Enterprise, and managed-workspace administrators may need to enable sharing. The Projects guidance lists sharing across Free, Go, Plus, Pro, Business, Enterprise, and Edu, subject to workspace settings. Check OpenAI’s current Space guidance and Projects guidance for the account you intend to use.
When a GPT is a better fit
A GPT is a separate option if the goal is a reusable custom assistant rather than a shared working area. OpenAI characterizes Projects as collaborative, evolving context hubs, and GPTs as custom versions of ChatGPT intended to scale reusable knowledge across functions and contexts. Its Projects FAQ discusses the distinction between a shared Project and a GPT.
