Use Zapier when a defined event should repeatedly trigger one or more actions across services. Neither is universally better. Your choice depends on whether the work is conversational and supervised, or event-driven and repeatable.
The short answer: two different automation shapes
“Connectors” is the familiar term many people still use, but OpenAI’s current interface and documentation call them apps or connected apps. They bring services such as Gmail, Google Drive, Slack, or other supported providers into ChatGPT. Depending on the app, ChatGPT can search or reference information, use it in a conversation or deep-research session, and sometimes create or update information.

Zapier is built around a different shape: a trigger starts a Zap, and one or more action steps run afterward. For example, a new form submission can trigger a record in a spreadsheet, a notification in a chat channel, and a task in a project system. The workflow runs according to the integration’s trigger behavior and your plan settings.
- Choose ChatGPT first for ad hoc questions, summaries, drafting, and supported actions that benefit from natural-language reasoning over app context.
- Choose Zapier first when the same event should reliably move data or cause a sequence of actions without someone starting a chat each time.
- Use either with caution for consequential changes. Check permissions, approvals, timing, error handling, and current plan limits before switching on automation.
ChatGPT is not limited to one-off conversations. Eligible users can create scheduled tasks, and ChatGPT Work supports event-triggered tasks for selected Gmail, Slack, and GitHub activity. Those features are narrower than a general-purpose workflow builder, and availability is conditional.

What ChatGPT connected apps can actually do
Search and reference external information
A connected app can let ChatGPT find information in an authorized service and use that information in an answer. An illustrative request would be: “Summarize the messages from my project channel this week,” or “Find the latest document in my connected drive and list its open decisions.” The exact result depends on whether that provider exposes search, which account you connected, and what your account is allowed to read.
Take supported actions
Some apps expose write actions, such as creating or updating information. Others are read-only. An app’s presence in ChatGPT does not prove that it can send messages, edit records, or create files. ChatGPT may ask for approval before an action, particularly when the operation changes external data.
Use app context in deeper work
Supported apps can be used in ChatGPT’s research-oriented experiences as well as ordinary chats. Interactive experiences and synchronization are available for some integrations, not all. Treat every capability as app-specific rather than assuming that one connector behaves like another.
Permissions remain the limiting factor
Connecting a personal provider account does not grant access to records available only through a separate work account. The provider’s permissions, your ChatGPT plan and region, the selected model and interface, and workspace policy all affect what is available. Administrators can control whether apps are available and whether actions are allowed.
How to connect an app in ChatGPT
Labels can differ by account because OpenAI is changing the interface. OpenAI says the app directory moved to the Plugin directory on July 9, 2026, while apps remain the underlying integrations. Look for Apps or Plugins as presented in your account rather than relying on one permanent menu name.

- Open ChatGPT and go to the area labeled Apps or Plugins.
- Search for the provider you need, such as Gmail, Slack, Google Drive, or GitHub.
- Select the app and choose its connect or authorize option.
- Sign in to the correct provider account. If you have personal and work accounts, verify which identity is displayed before accepting access.
- Review the requested scopes and approve only the access you need. Your provider’s existing permissions and your organization’s policies still apply.
- Return to a chat and explicitly ask ChatGPT to search, summarize, or perform a supported action. If the app is not offered in that context, the selected model, workspace, region, or interface may not support it.
- When ChatGPT proposes a write action, review the target, fields, recipients, and content before approving. An approval prompt can pause the operation until you respond.
If an app is missing, first check the signed-in account, workspace administrator settings, plan and region eligibility, and whether the chosen model or interface supports it. Reconnecting the wrong provider account will not expose the work data you expected.
ChatGPT scheduling and event-triggered tasks
It is inaccurate to say that ChatGPT cannot automate anything. OpenAI’s scheduled-task documentation describes event-triggered tasks in ChatGPT Work for supported activity in Gmail, Slack, and GitHub. Eligible plans include Plus, Pro, Business, Enterprise, and Edu. Free and Go accounts cannot create event-triggered tasks. Enterprise and Edu administrators must enable the feature; Healthcare event-triggered tasks are off by default and are not covered under a BAA, so do not use this feature for protected health information.

Supported examples
- Gmail: respond to a new message, with filtering by sender or subject.
- Slack: respond to new messages in a channel.
- GitHub: respond to supported pull-request activity in an authorized
github.comrepository.
These tasks still operate through the connected account’s permissions. If a proposed action requires approval, the task can pause rather than silently making the change. The list of events, eligible plans, and administrative controls can change, so verify the controls shown in your workspace before designing a process around them.
How Zapier automation works
Trigger first, actions second
A Zap begins with a trigger event, such as a new form response, incoming email, new row, or updated record. Zapier then runs configured action steps. A multi-step Zap might find a customer, format the data, create a task, and notify a team channel. The available trigger and action choices are defined by each app integration.
Polling versus instant triggers
Trigger behavior depends on the connected app. With a polling trigger, Zapier checks periodically for new data. With an instant trigger, the app sends a webhook when the event occurs. Polling does not normally retrieve every old item when you turn a Zap on; it captures new items after activation unless that integration specifically supports an update event.

Zapier’s help documentation listed these polling intervals in an update dated May 29, 2026: Free, 15 minutes; Professional, 2 minutes; Team, 1 minute; Enterprise, 1 minute. These are volatile plan details, not a permanent guarantee. Check the live documentation for your account and app before promising a response time.

Filters, paths, formatting, loops, and delays can keep a workflow from acting on every event. You still need to decide what happens when a field is empty, a destination rejects data, an API is unavailable, or a duplicate event arrives. Test with non-critical records, inspect task history, and design a recovery path before enabling a Zap for production work.

Everyday examples: which tool fits?
Summarizing mail or files on request
Suppose you want a morning brief from authorized messages and documents. Asking ChatGPT to summarize connected mail or files is the more natural starting point because the request is conversational and the output can reflect your follow-up questions. This is an illustrative workflow, not a guarantee that every mail or storage integration supports the same search scope.
If the brief must be delivered automatically at a fixed time, check whether your account supports a scheduled task and whether the relevant app can be used by that task. If it cannot, a Zapier workflow may be a better fit if the source app exposes the necessary trigger and the destination can receive the result.
Routing a new form or email record
Imagine that every new form submission should be classified, written to a destination table, and sent to the appropriate team channel. This is Zapier’s natural shape: the new submission is the trigger, and the classification, record creation, and notification are action steps. Add filters or paths for different categories and test duplicate or incomplete submissions.

Responding to selected activity
A supported Gmail, Slack, or GitHub event-triggered task can be useful when the response is narrow and your plan and workspace permit it. For example, a Slack channel message could invoke a response process, or a pull-request event could start a supported action. Confirm the exact event, repository or channel scope, and approval behavior; do not assume that any event in any connected app can start a task.

ChatGPT connected-app access is bundled according to ChatGPT plan and eligibility rather than priced as one universal connector fee. Availability can differ by region, account type, workspace role, model, and interface. An organization may also disable an app or its actions even when an individual plan would otherwise qualify.
Zapier’s pricing page showed the following starting configurations at the time of the October 13, 2026 comparison:

Those are starting prices, not a complete quote for your workload. Zapier counts successful action steps as tasks. Built-in tools such as filters, paths, formatting, loops, and delays may use zero tasks, while AI model tiers and tool calls have different rates. Estimate the number of events, successful steps per event, retries, and AI or tool calls over a month. A workflow that appears to be one automation can consume several tasks per run.

- Identify the account: connect the personal or work identity that actually owns the data.
- Read the scopes: distinguish read access from permission to create, edit, send, or delete.
- Check workspace policy: an administrator can restrict apps, actions, event-triggered tasks, or model access.
- Plan for approval: ChatGPT may pause for confirmation; Zapier generally follows the workflow you configured, so put safeguards before irreversible actions.
- Limit sensitive data: Healthcare event-triggered tasks are off by default and not covered under a BAA. Do not position them for PHI.
- Review logs and destinations: verify where outputs are written, who receives notifications, and how failures are surfaced.
Common failure modes and fixes
The app is not visible
Check whether your account has the required plan, region, workspace role, model, and interface. Look under both Apps and Plugins because labels vary. Ask an administrator whether the integration is disabled.
ChatGPT can read but not change data
The integration may be read-only, or the provider scope may not include write access. Revisit the app’s documented capabilities and authorization scopes. If the action is supported, expect an approval prompt in some contexts.
A Zap does not run immediately
Determine whether the trigger polls or uses a webhook. For polling, check the current interval for your plan. Confirm that the event happened after activation and that the integration supports that event rather than only new records of another type.
The wrong records are being processed
Inspect filters, sender or subject criteria, channel or repository scope, and field mappings. Test with a deliberately labeled record, then remove broad matching rules that could capture unrelated data.
The workflow costs more than expected
Count successful steps, not just the number of Zaps. Include retries and AI or tool calls, and check whether a logic step is task-free under the current plan. Recalculate after adding branches or loops.
A practical decision checklist
- Write the event or request in one sentence: “When X happens, do Y,” or “When I ask, summarize Z.”
- List the exact source and destination apps, including the account or workspace for each.
- Confirm that the required trigger, search function, and action are supported—not merely that the app appears in a directory.
- Check plan, region, model, role, administrator settings, and provider permissions.
- Decide whether a person must approve the result before it changes external data.
- Measure acceptable delay: conversational response, scheduled run, polling interval, or instant webhook.
- Estimate monthly Zapier tasks or ChatGPT plan eligibility using your actual event volume.
- Test with harmless data, inspect logs or task history, and define what someone should do after a failure.
Verdict
For conversational work—finding information, asking follow-up questions, summarizing authorized mail or files, or taking a supported action inside ChatGPT—start with ChatGPT connected apps. For a repeatable pipeline that begins with an event and runs several cross-app steps, start with Zapier. ChatGPT’s scheduled and selected event-triggered tasks narrow the gap, but they do not turn every connected app into a general workflow engine. Verify the exact capabilities, controls, timing, approvals, and current costs for your task before committing to either approach.
