Choose a traditional electronic cash register if you need straightforward checkout and cash handling. Choose a POS system when you also need software-supported inventory, sales reports, customer information, or integrated payment options. Consider tablet or mobile mPOS when checkout needs to move away from a fixed counter. Before buying, verify payment support and hardware compatibility, then compare hardware, software or service charges, and transaction fees together.
Cash register vs. POS system vs. tablet mPOS: what changes?
A cash register handles checkout; a POS system combines hardware with software that may also support inventory, customer information, and reporting. A tablet or mobile mPOS setup is a way to run POS checkout where the seller or customer is not tied to one counter. These are typical configurations, not guarantees about every product; confirm features and terms with the provider. Business.com’s cash register guide and Salesforce’s POS overview describe the distinction between a basic register and software-enabled POS capabilities.

| Checkout workflow | Fixed, straightforward checkout | Fixed or multi-function checkout linked to POS software | Checkout can move with the seller |
| Business tools | Basic transaction functions | May include inventory, reporting, and customer information | Depends on the provider’s software and supported devices |
| Typical hardware | Register; a separate card terminal may be needed | Terminal or tablet plus compatible peripherals | Phone or tablet plus payment hardware; a cash drawer may be optional |
| Payments | Check whether card acceptance needs a separate terminal | Verify supported cards, contactless payments, and digital wallets | Verify reader, connectivity, and supported payment methods |
| Cost components | Hardware; card acceptance may add costs | Hardware, software or service, and payment processing | Device and reader, plus any service and transaction fees |
| Key question | Are simple checkout and cash handling enough? | Will inventory, reports, or integrated payments justify the added system? | Do sales happen away from a fixed counter? |
Which setup fits your business?
Choose a traditional cash register for simple checkout
A basic electronic register is a reasonable fit when sales are straightforward, often cash-based, and you do not need advanced inventory or reporting tools. Its appeal is simplicity; if you need card acceptance, verify whether a separate terminal is required. See Business.com’s comparison for the general distinction.

A POS system is more than a screen or card reader: it combines hardware and software. Depending on the product, it can process sales and help track stock, customer information, and sales activity. Consider this route if those functions support everyday decisions or reduce manual record-keeping. Oklahoma State University Extension discusses POS functions and selection considerations in its POS selection fact sheet.

Choose tablet or mobile mPOS for checkout away from the counter
A mobile setup can suit pop-ups, temporary locations, or businesses that need to take checkout to the customer. It typically uses a phone or tablet with compatible payment hardware; a cash drawer may not be necessary if cash is not accepted or is handled elsewhere. Confirm supported operating systems, reader requirements, and connectivity with the POS provider before purchasing. Business.com’s guide to choosing a POS cash register covers mobile and tablet considerations.
What to check before buying
Map the actual checkout workflow
Decide whether sales happen at one fixed counter, at several checkout points, or at changing locations. Consider where staff and customers stand, how transactions reach the payment device, and whether cash handling needs a fixed station. The hardware should fit the way checkout works, not just the way a product is pictured. Business.com’s POS hardware guide explains common components and setup considerations.

List the inventory and reporting you truly need
If you need to track stock or review sales by item, category, employee, or time period, confirm that the POS software offers those functions and that they are available in the plan you are considering. If those tasks are not important to your operation, a simpler register may avoid paying for complexity you will not use. POS capabilities differ by provider, so check the feature list rather than relying on the label “POS.”

Verify payment methods and equipment compatibility
Ask the provider which card types and payment methods are supported, including chip cards, contactless cards, and digital wallets if your customers use them. Check whether card acceptance requires a separate terminal or reader. Before buying a tablet, printer, barcode scanner, cash drawer, or stand, confirm the exact device model, operating system, connection requirements, and supported-device list. A peripheral that works with one POS platform may not work with another. Business.com’s hardware guide outlines common POS equipment; the provider’s current compatibility documentation should determine your purchase.

Account for cash handling
If you accept cash, decide whether staff need a cash drawer and fixed checkout station, and make sure the selected configuration supports that workflow. Some mobile arrangements can omit a drawer, but that is a choice about how the business handles cash—not a feature to assume every mPOS setup includes. The POS cash-register guide discusses cash registers and mobile arrangements.
Compare total cost, not only the device price
Build a cost list covering required hardware, software or service charges, payment-processing fees, and any additional equipment. A low upfront hardware cost does not establish the lowest overall cost if recurring fees or transaction charges differ. There is no universal market price established here: costs and processing terms vary by product, provider, and agreement. For example, Square’s feature guide identifies hardware and transaction fees as cost components, but its terms are vendor-specific, not a market-wide benchmark.

A practical buying sequence
- Describe your checkout: Write down where sales happen, whether checkout is fixed or mobile, and whether you accept cash.
- Separate must-haves from nice-to-haves: Identify required payment methods, inventory tracking, sales reports, and customer information.
- Choose the category: Start with a register for simple checkout, a POS for software-supported business functions, or mobile mPOS when checkout must travel.
- Confirm the configuration: Ask the provider to confirm the exact terminal or tablet, reader, printer, scanner, drawer, operating-system, and connectivity compatibility you need.
- Calculate the full cost: Compare hardware, recurring software or service charges, transaction fees, and required peripherals under the provider’s current terms.
Common buying mistakes to avoid
- Assuming every POS is the same: Software functions, payment support, and device compatibility vary; verify each item with the provider.
- Treating a card reader as a complete POS: A reader alone does not establish that inventory, reports, or customer features are included.
- Buying accessories before checking compatibility: Confirm supported models and connections before ordering peripherals.
- Comparing only upfront prices: Include recurring service and processing charges to understand ongoing cost.
- Choosing mobile hardware without checking connectivity: Confirm the required connection and payment method work where transactions will take place.
