The result is a short-term schedule that can show when cash may get tight—not a guarantee that receipts or payments will land exactly as planned.
What a 13-week cash flow forecast shows
A 13-week forecast is a week-by-week view of expected cash movement over roughly one quarter. It answers a timing question: how much cash may be available at the end of each week? Cash flow and profit are related but different. A business can record a sale before the customer pays, so put the expected receipt in the week the cash is likely to arrive—not automatically in the week the invoice is issued or due. Build the forecast one week at a time

Set opening cash
Enter the cash currently available in the business accounts you intend to include. Reconcile the figure to the records you use and note which accounts are in scope. If accounts are excluded, keep that choice consistent in later weeks.

Estimate receipts by expected arrival date
Start with open customer invoices and realistic collection dates. Add recurring sales or contracts, point-of-sale receipts, refunds, proceeds from asset sales, or financing when they apply. An invoice date or due date is not proof that payment will arrive in that week.
Separate known amounts from estimates. If the exact date or amount is uncertain, record the assumption so it can be updated when better information arrives. Schedule payments in the weeks they are expected
Use the dates the business expects to pay, rather than spreading costs evenly by habit. Include the outflows that apply to your operation:

- Supplier invoices and inventory purchases
- Rent, utilities, insurance, and recurring software charges
- Taxes and debt installments
- Planned equipment or other capital spending
- Owner draws, where relevant
Tailor the rows to the business; a generic template is a starting structure, not a substitute for checking actual obligations and payment dates.

Calculate closing cash and roll it forward
For each week, use:
Opening cash + expected receipts − expected payments = closing cash
Carry that closing figure into the next week as its opening cash. Repeat the calculation through week 13. A spreadsheet can do the arithmetic, but make sure its formulas are visible and understandable enough to check.

Flag weeks that need attention
If management uses a minimum operating cash threshold, display it beside each week’s closing cash. Investigate any week that falls below the threshold and identify which assumptions or timing create the pressure. There is no universal buffer amount established here; the appropriate level depends on the business and its obligations.

Keep the forecast useful as the weeks pass
At a regular weekly review, replace the completed week’s estimates with actual receipts and payments. Note material differences, adjust assumptions for later weeks, and add a new week at the end so the schedule continues to cover 13 weeks. The SBA recommends comparing expected results with actuals and making course corrections. Tim Berry, identified by the SBA as Founder and Chairman of Palo Alto Software and bplans.com, wrote: “The goal of business forecasting is not what you might think. It isn’t about accurately guessing the future. It’s about running your business right.” Read his SBA article on financial forecasts.

Keep assumptions connected to observable business drivers—such as invoice collection patterns, sales activity, payroll dates, and supplier terms—rather than leaving old estimates untouched. If records are incomplete, label estimates clearly and refine them as actual information arrives.
Choose a tool that fits the work
A spreadsheet is enough for a basic 13-week schedule; no paid product is inherently required. The choice of approach depends on the effort involved, where the data already lives, how easy it is to inspect assumptions, and how complex the business’s accounts and financing are.

The SBA’s business management guidance discusses bookkeeping and accounting support, including receivables, payables, available cash, bank reconciliation, and payroll. For businesses with multiple entities, currencies, or financing arrangements, ask a qualified professional whether a single schedule is sufficient.
Use the forecast to make informed decisions
A low projected balance is a signal to investigate, not proof that a particular action will solve the problem. Check collection assumptions, payment timing, planned spending, and the underlying records. Do not treat a forecast as authority to delay legally due taxes or employee pay. For insolvency concerns, tax questions, debt covenants, or payroll obligations, seek advice specific to your jurisdiction and circumstances.
