Gmail’s offline mode works only in Chrome, while Calendar’s offline mode is for viewing. Google Drive for desktop can keep files locally or let you choose which streamed files to store offline.
What works offline on Windows
| Service | Offline use | Important limits |
|---|---|---|
| Google Docs, Sheets and Slides | Create, view and edit files after enabling offline access. | Set up while online in Chrome or Microsoft Edge; use a regular browser window, the Google Docs Offline extension and enough local storage. Prepare and verify the files you need. |
| Gmail | Read, search and reply to mail. Messages sent offline wait in the Outbox and send after reconnection. | Chrome only, not Incognito. Storage is limited by browser space, and Chrome must remain open for syncing. |
| Google Calendar | View synced calendar data in day, week or month view. | Chrome only. You cannot create or edit events, email guests or access Tasks offline. |
| Google Drive in a browser | Make supported Docs, Sheets and Slides files available offline using Drive’s browser setup. | Requires online setup, a supported browser, the extension and local space. |
| Google Drive for desktop | Use Windows File Explorer to access Drive files. Mirrored files are local; streamed files can be selected for offline use. | Streaming is cloud-first and selected files must be prepared for offline access. Mirroring uses local disk space. Set up offline editing of Docs, Sheets and Slides through Drive on the web. |
Google’s offline instructions for Docs, Sheets and Slides list Chrome and Microsoft Edge as supported browsers. The exact browser choice matters: Gmail and Calendar offline features are Chrome-only.

Prepare Docs, Sheets and Slides before going offline
- Connect to the internet. Open Chrome or Microsoft Edge in a regular window, not Incognito or another private-browsing mode.
- Enable the Google Docs Offline extension. In Edge, Google may direct you to the Chrome Web Store to install it; editing can still take place in Edge.
- Turn on offline access. In Google Drive, open Settings and enable the offline setting. Google says enabling offline access for Docs, Sheets, Slides or Drive also enables it for the others.
- Prepare the files you need. Open expected files while online. For an individual file, use its menu or open it and choose File → Make available offline.
- Check readiness. Look for the file’s offline status indicator. Do not assume that switching on offline access has made every file available; Google displays an explanation if a file is not ready.
Offline setup can fail if the browser is unsupported, site-data settings prevent storage, or the device lacks space. Google also notes that an oversized file may fail to sync; trying a smaller file can help. If an administrator has disabled offline access for a work or school account, only the administrator can remove that restriction. Only one account per browser profile can have Docs offline enabled; use separate browser profiles for separate accounts if needed. See Google’s instructions for using Drive files offline and its Drive for desktop guidance.

Gmail offline: read and reply, then send after reconnecting
While online, open Gmail settings, enable offline mail, choose how many days of messages to sync and save the settings. Later, use Gmail in a regular Chrome window. You can read, search and reply; messages sent without a connection remain in the Outbox until the connection returns. Attachments can be downloaded and opened with a local application, but Gmail’s offline mode cannot preview them.

Setup applies only to the account used to configure offline mail. To use another account offline, sign in to it and complete setup separately. If browser storage runs short, reduce the synced period or disable attachment downloads. Syncing can also stop if Chrome is closed or cookies and site data are removed when the browser exits. Google documents these requirements in Set up & use Gmail offline.
Calendar offline: view events, but don’t plan changes
Enable offline Calendar in Chrome’s settings while online, reload Calendar and wait until its status says syncing is complete. Its offline view includes data from the last time the computer was online, events from the previous four weeks and future events. You can switch between day, week and month views, but offline you cannot create or edit events, email guests or access Tasks.

Clearing cached images and files removes Calendar’s offline support, so it must be enabled and synced again. See Google’s Calendar offline instructions.
Drive for desktop: choose streaming or mirroring
Google Drive for desktop integrates Drive with Windows File Explorer. Its two modes make different trade-offs between disk use and offline availability:

| Mode | Where files are stored | Offline behavior | Disk use |
|---|---|---|---|
| Stream | Primarily in the cloud. | Files are online-only unless you specifically make them available offline. Access to streamed files generally depends on Drive for desktop running. | Uses less local storage. |
| Mirror | In the cloud and on the computer. | My Drive files are available offline as local files, even if Drive for desktop is not running. | Uses local disk space for the files. |
Streaming suits a computer where disk space matters and you can choose files in advance; mirroring suits a computer where keeping a local copy is more important. Changes sync between devices when connectivity permits. For editing Docs, Sheets and Slides offline, use the web-based Drive setup described above rather than assuming the desktop app alone prepares them. Work and school accounts may require an administrator to install Drive for desktop or may have its use restricted. Google explains the options in Stream & mirror files with Drive for desktop.
Quick Recap
Before you disconnect
- Choose the specific app and files you will need; offline capabilities are not the same across Google services.
- Do the setup while online and use the supported browser for that service.
- Confirm individual Docs, Sheets and Slides files are marked available offline, and wait for Calendar’s sync status if you need it.
- Make sure the browser or Drive storage has room, and avoid clearing cached data that an offline feature depends on.
- For Drive desktop, decide whether to stream selected files or mirror My Drive, based on your available disk space and need for local access.
