If Outlook’s appearance was changed or reset, you can usually select the setting again. If a custom theme file was deleted, Microsoft’s guidance does not establish a supported Outlook-specific way to recover it. First identify what kind of “theme” disappeared and which Outlook version you use.
What do you mean by an Outlook theme?
“Theme” can refer to several separate things, and the right fix depends on which one changed:

- Office theme: The app-wide color scheme for Office. It is separate from a document theme, which is a set of colors, fonts, and effects. Microsoft describes it as: “A document theme is a unique set of colors, fonts, and effects.” Microsoft explains Office and document themes.
- Dark mode: A dark or black appearance setting, with controls that vary by Outlook client. Microsoft’s dark-mode steps cover new Outlook, classic Outlook, and Outlook on the web.
- Message theme or stationery: Formatting applied to outgoing HTML email, such as backgrounds and coordinated design elements. This is separate from the app’s colors. Microsoft’s stationery instructions apply to classic Outlook and require HTML message format.
- A custom theme file: A saved file that may be used as a document theme. Finding a surviving copy is different from restoring a setting that was merely changed.
Identify which Outlook version you have
On Windows, Microsoft says a Settings button in the upper-right indicates new Outlook; if that button is absent, the app is classic Outlook. In a browser, outlook.live.com is Outlook.com, while outlook.office.com or outlook.office365.com indicates Outlook on the web, subject to regional domains. The distinction matters: Microsoft’s feature comparison lists “Themes” as unavailable in classic Outlook and available in new Outlook. That listing does not mean classic Outlook lacks Office-wide color settings or message stationery; those are separate controls.

Restore a setting that changed or reset
Office-wide colors
In an Office app, open File > Account or File > Options > General, then select the Office Theme you want. Microsoft notes that with the Office visual refresh, a previously selected Colorful theme may have switched to Use system setting. Choose the desired theme again in the menu. Dark appearance in classic Outlook
Choose File > Office Account, then set Office Theme to Black. This choice applies to all Microsoft 365 desktop applications. If you want Outlook’s message area to remain white while the app uses Black, go to File > Options > General and select Never change the message background color. Microsoft provides the steps in its dark-mode guidance.

Dark appearance in new Outlook or Outlook on the web
Open Settings > General > Appearance, choose Dark, Light, or Use system settings as appropriate, and save. The exact controls are documented in Microsoft’s dark-mode instructions.

If the theme is still available but its colors were changed, Microsoft’s Outlook/Access instructions say to click Reset before Save to return to the original theme colors. This resets color choices; it does not recover a deleted theme file. See Microsoft’s theme instructions.

Message stationery
In classic Outlook, open File > Options > Mail > Stationery and Fonts > Personal Stationery > Theme and check whether the intended theme is selected. Confirm that the message format is HTML; Microsoft also lists (No Theme) as the option for turning stationery off. See Microsoft’s stationery guidance.

Microsoft describes custom Office themes saved from Word or Excel as .thmx files stored in the local Document Themes folder. If you can locate a copy there, in a backup, or on another device, it may be worth preserving. But the cited Word/Excel instructions do not promise that Outlook can re-import or recover a deleted theme, and Microsoft’s Outlook/Access theme guidance does not document a recovery procedure for a deleted custom theme file. Do not mistake Outlook stationery files for custom document-theme files. Microsoft lists stationery under Program Files Common Files Microsoft Shared Stationery, with different paths for 32-bit and 64-bit installations. Those are stationery locations, not confirmed locations for a user’s deleted custom document theme. See Microsoft’s Outlook file-location guidance.
