What’s actually slowing this PC down?

They can replace parts of a business workflow, but neither n8n, Make nor an LLM agent automatically eliminates subscriptions or lowers total costs. Start by mapping one recurring process, then automate its predictable steps with rules and reserve AI reasoning for work that genuinely depends on interpreting context. Measure the result—including operating and oversight costs—before consolidating any existing tool.
What does replacing SaaS bloat actually mean?
It means testing whether a specific process now spread across applications can be handled more simply—not assuming that a new automation platform can replace an entire software stack. A workflow tool can connect services and coordinate actions; it does not necessarily replace the systems that store records, provide specialist features, or serve as the interface employees need.

For each candidate process, document what it does today: the applications involved, the people who perform each step, the data passed between them, exceptions, and the subscriptions or manual effort attached to it. Then define what a successful change would look like. That might be fewer handoffs, less repeated entry, faster routing, or retiring a particular subscription—but the last outcome is justified only if the replacement covers the product’s necessary functions.
There is no established universal figure for savings, time recovered, successful automations, or subscriptions eliminated by these platforms. Treat a reduction in cost or effort as a result to measure on your own process, not a property promised by the word “agentic.”

Which work belongs in an automation—and which needs an agent?
Deterministic automation follows explicit conditions, data mappings, and actions. An agentic step uses a language model to interpret context, choose among available tools, or formulate a response. A dependable workflow can combine the two: use fixed rules for known cases, and introduce model reasoning only where the input is ambiguous or unstructured.
| Work pattern | Good starting approach | Example | Control to consider |
|---|---|---|---|
| Known input, known outcome | Deterministic rules and mappings | When a form includes a valid account ID, route it to the matching queue. | Validate required fields and define what happens when a value is missing. |
| Unstructured content with a limited set of outcomes | Model interpretation followed by fixed routing | Classify an incoming message as a billing question, product issue, or other request. | Keep confidence or ambiguity checks; route uncertain cases to a person. |
| Drafting or summarising for a person | Agent-assisted draft, with human review | Summarise a document and propose a reply for an employee to approve. | Make clear that the output is a draft, and let the reviewer correct it. |
| Consequential or hard-to-reverse action | Rules and an approval checkpoint; use an agent only for bounded assistance | Propose a record change or external message, then wait for an authorised person. | Require explicit approval and preserve a way to inspect and recover the execution. |
Do not add an agent simply because a task involves AI. If a clear rule handles the inputs and exceptions, a fixed workflow is easier to inspect and maintain. Conversely, an agent’s ability to interpret text does not make its output reliable enough to skip validation or review.

Which business processes are worth mapping first?
Look for recurring work with identifiable inputs, outputs, an owner, and a meaningful amount of repeated handoffs. The examples below are patterns to assess, not verified implementations or promises that a particular integration is available.
| Process pattern | Potential workflow | Where an LLM may help | Where to keep a person involved |
|---|---|---|---|
| Intake and triage | Collect a submission, check required fields, create or update a record, and route it. | Interpret free-text descriptions or suggest a category. | Resolve incomplete, conflicting, or sensitive submissions. |
| Document handling | Receive a document, store it, and direct it to the appropriate queue. | Extract or summarise information in varied text. | Verify critical extracted values before they enter an authoritative record. |
| Internal reporting | Gather records on a schedule and prepare a report or notification. | Turn results into a short narrative for review. | Check unusual results and approve any consequential distribution. |
| Customer or employee messages | Classify incoming messages, find the relevant record, and assign a response task. | Identify intent or draft a response from approved context. | Review replies, especially when they make commitments or discuss sensitive matters. |
For every candidate, list normal cases separately from exceptions. If the process has no clear owner, depends on undocumented judgement, or frequently changes its rules, automate only a bounded portion until those conditions are understood.

How do n8n and Make differ for this decision?
Both products are workflow-automation options, but platform fit depends on the required applications, controls, deployment model, and operating capacity—not a headline integration count. Product pages and capabilities can change; verify the current offering and the exact connector or feature your workflow requires.
| Decision axis | n8n | Make | What to verify |
|---|---|---|---|
| Integration fit | n8n describes connections to API-enabled apps. | Make describes a visual automation product with integrations. | Check the exact trigger, action, authentication method, and required data for each app. A vendor-reported integration total does not establish that a needed operation is supported. |
| Customization | n8n describes flexible workflows and custom nodes. | Make lists custom apps and API access in its offering. | Test whether built-in actions are sufficient or whether the workflow needs custom code, API calls, or specialised handling. |
| Deployment | n8n offers cloud and self-hosted choices. | Assess the deployment choices available for the Make plan and product you intend to use. | Compare who will manage infrastructure, credentials, updates, backups, monitoring, and incident response. |
| Agent features | n8n’s agent materials describe combining AI with logic, integrations, and code. | Make describes AI Agents for work requiring judgement, including unstructured text, messages, or documents. | Confirm current availability, including any beta status, and test the precise behaviour and limits you need. |
| Usage billing | n8n’s pricing page describes hosted plans based on workflow executions; plan terms can change. | Make documents credits consumed by scenario runs and some AI-agent chat use. | Model representative usage, retries, branches, tool calls, and provider charges using current plan terms. |
Neither column is a universal recommendation. Select a shortlist only after confirming the required connectors and deployment constraints. n8n’s self-hosting option may provide more operational control, but that control comes with responsibility for running and maintaining the environment. A managed service may reduce infrastructure work while leaving its own plan, integration, and usage constraints to evaluate.

How should you estimate the real cost?
Compare the cost of the complete process before and after a pilot, not just the listed subscription. An automation may add platform, model-provider, hosting, and maintenance expenses even if it reduces another tool’s usage. Conversely, consolidation is possible only when the workflow actually replaces functions people relied on.

Make says credit use can depend on operations, tokens, provider connection, and feature.
- Model usage: include token or other provider charges where applicable. Make says a custom AI provider connection can mean separate platform-credit and model-provider charges.
- Build and maintenance: account for implementation, testing, changes when upstream apps change, monitoring, and incident handling.
- Self-hosting: include infrastructure and the time required to manage updates, credentials, backups, monitoring, and recovery.
- Human oversight: count review and exception-handling effort. A workflow that removes data entry but creates a large queue of corrections may not improve the process.
- Retained software: identify which current subscriptions remain necessary because they provide records, interfaces, or other functions the workflow does not replace.
Run a representative pilot rather than projecting from a simple successful case. Include ordinary volume, likely exception paths, retries, and any agent or tool calls. Compare the measured operating effort and all relevant charges over the same period. Do not cancel an existing subscription until you have confirmed what work it still performs and tested the replacement against that work.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do you implement a pilot without handing control to an agent?
- Choose one bounded process. Pick a recurring task with a named owner and a clear starting event and outcome. Record its current steps, systems, exceptions, and baseline effort or cost.
- Confirm the integration path. For each system, verify the exact trigger and action, available fields, authentication requirements, and expected behaviour when the service is unavailable. A broad connector listing is not proof that the required operation is supported.
- Separate rules from interpretation. Write down conditions that can be expressed explicitly. Keep those as rules. Identify only the inputs that need contextual interpretation, and define what the model is allowed to return or act on.
- Set boundaries and approvals. Decide what data may be sent to a model, which actions are read-only or reversible, and which require a person to approve them. Start with drafts, recommendations, or routing rather than unrestricted external actions.
- Build failure handling. Define what happens when data is missing, an app call fails, the model returns an unusable answer, or an exception occurs. Provide a route to a responsible person rather than silently dropping work.
- Test ordinary and difficult cases. Use representative inputs, including incomplete, unusual, and ambiguous examples. Check the resulting records and actions against the intended outcome before increasing volume.
- Monitor and review executions. Keep a way to inspect what ran, what failed, and what the model contributed. n8n’s materials describe human approval, error handling, fallback logic, and monitoring as controls for agent workflows; these are vendor-described capabilities, not independent proof of performance or safety.
- Decide whether to expand. Compare the pilot’s measured results with the baseline, including exceptions, review time, usage charges, and maintenance. Expand only if the change improves the process without unacceptable risk or hidden operating work.
What changes when you self-host n8n?
Self-hosting shifts operational responsibility toward the organisation running the instance. n8n documents both cloud and self-hosted deployment. Its documentation uses the phrase “Privacy-focused: self-host n8n for privacy and security,” which is the vendor’s positioning, not evidence that a self-hosted installation is automatically private or secure. Security depends on how the instance, data, access, and infrastructure are configured and maintained.
Before choosing self-hosting, name who will handle infrastructure, updates, access controls, credentials, backups, monitoring, and incident response. If no one owns those duties, the additional control may not be worth the operational burden. Managed cloud and self-hosted deployments should be compared on responsibilities and requirements, not treated as interchangeable labels for the same workload.
Can you build workflows for customers or offer n8n as a service?
Check the current license terms against the exact business model before building a customer-facing product. n8n’s current license FAQ says its self-hosted Community edition runs under the Sustainable Use License. It says an operator can build and run client workflows on their own instance if clients cannot access or change workflow logic; a product that lets customers configure workflows, hosting n8n as a service, or white-labeling requires commercial licensing. The FAQ directs users with specific cases to contact n8n. Terms can change, so obtain a decision for the intended use rather than assuming an internal automation arrangement covers a product or service offering.

When should you keep the existing SaaS tool?
Keep it when the workflow platform cannot cover a required function, the integration path is too fragile, the new arrangement costs more to operate, or the people responsible cannot support the added infrastructure and oversight. Also keep a human decision-maker where a wrong action would have significant consequences and the workflow cannot reliably catch or reverse it.
A tool is not “bloat” merely because it is one more subscription. The relevant question is whether the complete process can meet its requirements with fewer handoffs, acceptable risk, and a defensible total cost. Make that decision using a specific process and observed results, not the promise of agentic automation.
