A checklist app can make a workflow easier to manage by putting task intentions somewhere you can see them, instead of relying on memory alone. It may also help you track progress or coordinate work—but an app does not automatically make people more productive. The evidence supports external reminders as a useful aid, not a guaranteed productivity boost for every task or workplace.
How a checklist can help you follow through
People use external tools to reduce what they must keep in mind. Psychologists Evan F. Risko and Sam J. Gilbert describe this as cognitive offloading: “the use of physical action to alter the information processing requirements of a task so as to reduce cognitive demand.” A checklist is one such support: it stores an intention outside your working memory and lets you check its status later. Risko and Gilbert, 2016

Research supports the underlying strategy, but not a blanket claim that any checklist app improves workplace productivity. A 2025 meta-analysis found better performance on memory-based tasks when people offloaded information than when they relied on internal memory alone; it also found less variation between people’s performance. Effects differed across study designs and conditions, and the analysis was not a direct test of productivity apps at work. Burnett and Richmond, 2025
A separate study of 112 participants used two online surveys in 2022 to examine real-world plans and later fulfillment. Setting a reminder predicted greater fulfillment. That association is relevant to time-sensitive intentions, but it does not prove that a commercial checklist app causes better workplace output. Study record, 2024

What the workplace evidence does—and does not—show
The clearest app-versus-standard-practice comparison in the available evidence took place in one university-affiliated intensive care unit. In a 2020 quasi-experimental study, 25 physicians recorded 1,983 tasks. Completion was 99% with a smartphone task app and 95% with standard practice, a difference reported as statistically significant (p = 0.006). However, the study did not meet its prespecified 8% superiority margin. Its authors concluded that they had not demonstrated the app’s superiority over paper-based lists. ICURTASK study, 2020
This was a short, specialized clinical study—not a general workplace trial. It cannot establish a typical productivity gain for office teams, students, or other occupations. The evidence described here does not provide a reliable general percentage by which checklist apps increase workplace productivity.

A 2017 systematic review of electronic checklists in healthcare included 15 papers out of 23 retrieved. It found that expected benefits were not achieved in every context and called for stronger attention to human-computer interaction and behavioral-science principles. Because the review focused on clinical settings, its design caution is useful, but it is not a review of consumer checklist apps. Kramer and Drews, 2017

| What matters | Checklist app | Paper task list |
|---|---|---|
| Capturing a task | Useful if you can open it quickly on the device you already use. | Useful if a notebook is already at hand; capture depends on keeping it with you. |
| Time-sensitive intentions | Can support reminders if you configure and notice them. | Requires you to look at the list; it does not send a notification. |
| Recurring work and status | May suit repeated tasks or shared status if the app supports the workflow and people keep it current. | Can record repeated tasks and progress, but updates are manual and sharing may be less immediate. |
| Finding the list | Can be accessible across devices if the app supports that and you can reach it in your settings. | Easy to find when kept in a consistent, visible place; not automatically available on another device. |
| Setup and upkeep | Consider duplicate entry, configuration, and whether notifications become burdensome. | Requires handwriting and manual review, without app setup or notification management. |
| Changing tasks | A list can be edited, but a fixed sequence may become cumbersome when the work changes often. | Easy to revise informally, though old entries can become hard to distinguish from current ones. |
The ICU study’s standard-practice group included paper notepads, making paper a credible alternative rather than an inherently inferior method. The authors also reported positive perceptions related to awareness of progress and communication in their clinical setting; those perceptions should not be assumed to apply to every team. What to look for when choosing a checklist app
Start with the friction in your current workflow. A feature is useful only if it makes capturing, reviewing, or coordinating tasks easier than your existing method.

- Fast capture: You should be able to add a task at the moment it arises, without navigating a long setup process.
- Reminders you control: Look for reminders only if a prompt helps with deadlines or follow-up. Choose timing and frequency that will not create more distraction than value.
- Recurring tasks: For stable routines, check whether the app can reproduce the relevant checklist without making you rebuild it each time.
- Clear status: If progress matters, make sure it is easy to tell what is unfinished, completed, or waiting on someone else.
- Sharing that fits the team: Shared lists can make status visible, but only if people know who updates them and keep entries current.
- Practical access: The list needs to be easy to find in the devices and settings where you actually work.
- Low maintenance: Account for setup, duplicate entry, list cleanup, and notification burden. If upkeep exceeds the effort saved, the format is a poor fit.
- Room for changing work: A checklist is most useful when the steps are reasonably stable. If each task follows a different path, a rigid sequence can add friction.
Try a checklist without adding another burden
- Pick one repeatable workflow. Choose a small process with steps you often forget or need to verify, rather than moving every responsibility into a new system at once.
- Write only actionable steps. Use entries that tell you what to do or verify. Break down a step only when that makes it easier to act on or confirm.
- Capture new tasks when they arise. Choose one place for the list and use it consistently, rather than keeping competing copies in several tools.
- Review at a regular point in the day. Check what is due, completed, or blocked, and update the list so its status remains useful.
- Adjust based on friction. If reminders are ignored, tasks are entered twice, or the checklist no longer matches the work, simplify it or try paper instead.
For a team, decide who owns each item and when its status should be updated. A shared list is not a reliable picture of progress if people leave it stale. The clinical study’s observations about awareness and communication are specific to its ICU workflow, not a guarantee for other teams.

When a checklist is not the right tool
- The work changes too often: A fixed sequence may require constant rewriting or encourage people to follow steps that no longer fit.
- The list creates more administration than clarity: Duplicate entry, excessive alerts, or upkeep can erase the benefit of externalizing tasks.
- You need a judgment, not just a reminder: A checklist can prompt a decision or verification, but it cannot replace the knowledge needed to make that decision.
- The list is not maintained: Out-of-date items can obscure what actually needs attention, especially when multiple people share responsibility.
Evidence summarized here concerns immediate task or memory performance and selected clinical contexts. It does not establish whether checklist use changes long-term memory or learning independently of immediate performance.
