In provider prices listed on October 7, 2026, examples range from Zoho Mail Lite at US$1 per user per month billed annually to full collaboration plans at higher rates. These are vendor prices, not a market-wide average; your total depends on user count, billing term, location, taxes, and included features.
What does business email cost?
Most hosted business email plans charge for each licensed user. Estimate the recurring bill by multiplying the per-user price by the number of people who need accounts, then account for the billing term and any other required services. A mailbox for each of ten employees, for example, usually means ten licenses—not one shared subscription—unless the provider’s plan terms say otherwise.

What changes the total cost?
Number of user licenses
Per-user pricing scales with the number of individual accounts. Multiply the applicable rate by the number of licensed users for the relevant billing period. Google, Microsoft, and Zoho all present examples with per-user prices.
Monthly billing, annual commitments, and renewals
A lower annual-billing equivalent is not the same as a month-to-month price. For example, Google’s displayed US annual and monthly rates differ by plan, while Microsoft’s listed Business Basic rates require yearly payment and auto-renew. Check whether a discount is introductory or recurring, when the term renews, and what price applies then.
Email-only or a bundled office suite
Email-only tiers can cost less because they do not include the same range of collaboration or productivity services. Suite plans may bundle documents, meetings, chat, cloud storage, or administration tools. A higher subscription may be worthwhile if your team will use those extras; otherwise, compare email-focused plans rather than treating a suite price as the cost of email alone.
Storage and retention
Mailbox limits and pooled storage differ by plan. Check both the per-user mailbox allowance and any shared storage arrangement, especially if you need to move a large archive or keep mail for recordkeeping. The listed Zoho tiers show materially different mailbox capacities; Microsoft and Google also include storage as part of broader subscriptions.
Rank #3
Domain, DNS, and migration work
Custom-domain email requires a domain and configuration of its DNS records. Zoho’s setup documentation describes domain verification, user creation, MX records for incoming mail, and SPF and DKIM authentication records for outgoing mail, as well as migration tools. The cited sources do not establish a universal domain-registration, setup, or migration fee: check your domain registrar and provider for your actual costs.
DNS values depend on the provider and data center, so use the instructions for your specific service rather than copying generic record values. Zoho notes that users cannot receive mail until MX records are configured. See its domain verification guidance, email delivery and MX instructions, and migration guidance.
Security and administration requirements
Higher tiers may include additional security, retention, or administrative controls. Identify the controls your organization actually needs before comparing plan prices; paying for a feature set you will not use may not improve value.
How to compare plans fairly
- Set a common team size and time period. Count people who need individual accounts and compare the same number of users over a year.
- Calculate the real billing total. Separate monthly billing from annual commitments, and check renewal pricing, taxes, and any promotion’s end date.
- Compare like with like. Put email-only plans beside email-only plans. If you need a suite, compare the collaboration tools, storage, and administration each bundle actually includes.
- Check capacity and control needs. Review mailbox and pooled-storage limits, retention requirements, security features, and user-management tools.
- Include setup effort. Confirm domain ownership, DNS access, migration needs, and provider-specific instructions for mail delivery and authentication records.
- Verify local terms at checkout. Prices, plan availability, and promotions can differ by market; the Microsoft examples above are specifically from its US page.
There is no established market-wide average in the sources cited here. These prices support a plan comparison, not a claim that one provider is universally cheapest or best. Your existing tools and workflow matter: an integrated suite can be better value if its additional services replace tools you already pay for, while email-only can be the cleaner fit when mail is all you need.
