A reliable business backup plan starts by deciding what must be restored, then keeping protected copies in more than one place and testing that they work. For a small or medium-sized business, the practical sequence is: identify critical systems and acceptable data loss, create separated copies, protect them from compromise, and rehearse recovery.
1. Decide what the business must be able to recover
Start with an inventory of important data, devices, applications, and the services they depend on. A file backup may not be enough to resume operations if a system also needs its application, configuration, license, or a complete system image.

Rank systems by their effect on revenue and essential operations. For each priority, decide how much recent data the business can afford to lose and how quickly the system needs to be running again. Those choices determine backup frequency and the order in which systems should be restored. CISA recommends inventorying assets and prioritizing critical services and dependencies in its #StopRansomware Guide.
2. Keep multiple copies in different places
The 3-2-1 rule is a useful starting point: keep three copies of important data—the production copy and two backups—on two different types of media, with one copy off-site. CISA explains the approach in its Data Backup Options paper. A joint ransomware advisory hosted by CISA relays the Australian Cyber Security Centre’s recommendation to use the same three-copy, two-media, one-off-site arrangement for disaster recovery: LockBit advisory.

One possible small-business setup is an automated local backup, a removable external hard drive, and a separate off-site or cloud copy. That is an example, not a universal design: consider the systems being backed up, available bandwidth, recovery needs, and whether staff can restore the data. CISA identifies cloud backup and cloud-to-cloud copies as options in its #StopRansomware Guide.
A removable drive can provide a local copy that is disconnected between backup runs. Disconnect it when it is not actively backing up; a drive left connected is still exposed to threats that can reach the computer. A single external drive, by itself, does not meet the full 3-2-1 approach.

3. Protect backup copies from deletion, theft, and ransomware
Encrypt backup data and keep at least one copy offline or isolated from normal access. Backups that remain reachable through the same systems or accounts as production data may also be exposed to ransomware or administrative compromise. CISA recommends maintaining offline, encrypted backups and regularly testing their availability and integrity in a disaster-recovery scenario in its #StopRansomware Guide.
Crashes, No Sound, or Screen Glitches?

Object-lock or immutable-storage features may help prevent alteration or deletion, but they are not a substitute for understanding the service’s settings and responsibilities. CISA notes that immutable storage may not meet some compliance criteria and that misconfiguration can lead to significant costs. Confirm which protections the provider supplies, what the business must configure, and how storage growth and restoration fees affect total cost.

4. Test restoration and keep a recovery plan current
A successful backup job does not prove that the business can recover. Test that backup data is available, intact, and restorable, and practice recovery for priority systems in a clean environment. CISA advises prioritizing critical systems during recovery and taking care to avoid reinfection in its #StopRansomware Guide.
Document who is responsible for starting recovery, where the necessary instructions and access details are kept, and which systems come first. Update the plan when systems, dependencies, or business priorities change. A useful test should demonstrate that the business can restore the data and supporting components needed to resume its essential work—not simply that backup files exist.

How to choose a backup approach
Compare options against the business’s recovery requirements rather than choosing on storage capacity alone. The right schedule and combination of media depend on what can be lost, how quickly operations must resume, and what the business can reliably manage.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute- Recovery time and complexity: Consider how long a restore takes and whether staff can complete it with available tools and instructions.
- Data-loss window: Set backup frequency according to how much recent work the business can afford to lose.
- Isolation: Check whether ransomware or a compromised administrator account could reach, alter, or delete the backup.
- Separation: Use distinct media and an off-site copy; geographic separation matters if a local incident affects the business’s premises.
- Protection and retention: Review encryption, access controls, deletion safeguards, retention periods, and any immutability settings.
- Total cost: Account for storage growth and restore fees as well as the cost of keeping copies.
These checks reflect the considerations in CISA’s #StopRansomware Guide and Data Backup Options; they are decision criteria, not a vendor ranking. The guidance does not prescribe one schedule or configuration for every business, and it is not jurisdiction-specific compliance advice.
