The key is to start with that scheduler’s own template: headers, date formats, media rules, limits, and review steps vary by product. Uploading may take seconds, but validation, approvals, and processing can take longer.
How do I bulk upload posts from a CSV or Google Sheet?
Use this workflow for a typical bulk scheduler. The exact interface and accepted file types depend on the service, so download its current template rather than reusing a sheet made for another product.

- Choose a scheduler and confirm compatibility. Check that it supports the social accounts, post types, and media you intend to use, and that your subscription includes bulk uploading.
- Download the scheduler’s template. Keep its headers and required columns intact. HubSpot’s documented template, for example, includes account, date, message, link, photo URL, and campaign fields; other schedulers use different names and structures. HubSpot’s bulk-upload instructions explain its format.
- Enter one post per row. Fill in the intended account or channel, post text, scheduled date and time, and any supported links, tags, or media. Follow the template’s instructions for optional fields as well as required ones.
- Save or export in an accepted format. Some services accept CSV; others also accept XLSX. Verify the required date format and the timezone the scheduler will apply before exporting.
- Upload and review validation. Read the import results, correct failed rows, and preview posts where the scheduler allows it. A file transfer alone does not establish that every row is ready to publish.
- Approve or schedule valid rows. Confirm the import, complete any required approval, and check the scheduled calendar or import-status page to verify the posts appear as expected.
Google Sheets can be used to prepare the data, but the upload step usually depends on exporting or downloading a file in the scheduler’s accepted format. Do not assume a Google Sheet can be imported directly unless the selected tool says it can.
Why does the scheduler’s template matter?
A bulk uploader reads a defined file structure; it does not infer that one product’s column names mean the same thing in another product. PostDaily’s Help Center says, “Filling in your own spreadsheet from scratch is the most common reason an import fails.” Its documented template uses text, image_url, tags, and posting_time fields, while HubSpot’s template uses different columns. Use the downloadable template from the service you selected, not a copied header row from another scheduler.

The import may also be specific to each channel. PostDaily describes importing per channel, so a file prepared for one channel should not be assumed to work for another. How should you format dates, times, and timezones?
Match the exact format in the selected scheduler’s template and verify which timezone its importer uses. A syntactically valid date can still schedule at the wrong local time if the file’s timezone assumptions differ from the scheduler’s setting.

What can cause a media link or row to fail?
Media access
Check that the media field follows the service’s rules. PostDaily requires publicly reachable, direct HTTPS image links; a shared Google Drive or Dropbox page may not be a direct image URL and may fail. This requirement is specific to PostDaily, so consult the selected scheduler’s own instructions for other media types and hosting rules.

Headers and field values
Preserve the template’s exact column names and put each value in the intended column. Confirm that account or channel names match what the scheduler expects, and that optional fields are supported for the selected network and post type.
Validation and approvals
Some tools validate rows individually and allow invalid rows to be fixed and reuploaded. PostFast documents per-row validation and approval permissions that can leave an import pending review. How do you choose a bulk scheduler?
Compare the capabilities that affect your actual workflow, rather than relying on a general claim that one uploader is fastest:
- Networks and post types: confirm support for every account, format, and publishing option you need.
- Import format and schema: check whether the service accepts CSV, XLSX, or both, and whether it offers a current downloadable template.
- Media rules: verify supported file types, URL accessibility, and any channel-specific requirements.
- Capacity and access: check per-import limits, account limits, and which subscription tier includes the feature.
- Dates and timezone: confirm the accepted date format and how the importer determines the publishing timezone.
- Error handling and approvals: look for row-level validation, a way to correct failed entries, approval controls, and import-status tracking.
- Processing expectations: determine how much lead time the service recommends, especially if posts have fixed deadlines.
Vendor documentation establishes product-specific behavior, not hands-on performance across competing schedulers. Feature availability, limits, and file schemas can change, so use the current instructions for the service and account you will actually use.
