What ACF adds to WordPress
Advanced Custom Fields is a WordPress plugin that adds extra content fields to post, page and other edit screens. WordPress already has a native custom-field interface, but it is basic and exposes implementation details that are easy for a client to misuse. ACF lets a developer decide which fields appear, their labels, their input types and the order in which they are presented.

A field group can include text, number, image, select, relationship, date, URL and other field types. A field is attached to a location such as a post, page, custom post type, user, taxonomy term, comment, media item or options page. Templates then read the saved values and render them in a controlled design.
The important distinction is that ACF is not a substitute for a content model. It is the editing layer for a model you have already designed. Before creating fields, list the content objects the site needs, how often each object repeats, which values are required, and where each value will be displayed.

Choose the right WordPress content model
Use a custom post type for repeatable records
Create a custom post type when the client will create and manage many records with the same structure. Typical examples include Projects, Team Members, Locations, Events, Products and Testimonials. Each record gets its own edit screen, URL rules and permissions, while one template can render every record consistently.
ACF’s post-type interface lets you define the post-type key and labels, choose whether it is hierarchical, configure capabilities and permalinks, and control block-editor support. Keep the post-type key stable after launch: templates, queries, imports and integrations may depend on it.

Regular pages are appropriate for an About page, a service description or another piece of content that is primarily one narrative. Posts remain useful for chronological publishing such as news or articles. Add ACF fields when the page needs structured values—an eyebrow, hero image, call-to-action URL or other data that should be edited separately from the body copy.
Use taxonomies for controlled classification
Use a taxonomy when an item can belong to one or more controlled groups, such as region, service, industry or event type. Taxonomies make filtering and archive pages predictable. Do not create a separate free-text field for a classification that needs consistent spelling, filtering or navigation.
Use relationships when records refer to one another
A relationship or post-object field can connect a Project to a Team Member, an Event to a Location, or a Testimonial to a Service. Decide whether the relationship is one-to-one, one-to-many or many-to-many, and document what happens when a referenced record is unpublished or deleted.
A practical ACF build process
- Inventory the content. List every repeatable object, editorial page, classification, global setting and integration. Mark each value as required, optional, repeatable or computed.
- Define stable keys. Choose post-type keys, taxonomy keys and field names before entering production content. Use descriptive, machine-friendly names such as
project_clientorevent_start_date; avoid names tied to a temporary campaign or visual styling. - Create post types and taxonomies. Configure labels, archive behavior, hierarchy, capabilities, permalinks and editor support. Confirm that the generated slugs match the URLs you intend to maintain.
- Build field groups. Set location rules so a field group appears only where it belongs. Use the field type that matches the data: an image field for an image, a URL field for a link, a select field for a controlled choice, and a relationship field for linked content.
- Set editorial rules. Mark genuinely mandatory fields as required, add instructions in client vocabulary, define image sizes and formats, and set minimum or maximum values for repeatable inputs. Avoid making a field required merely because a design currently shows it.
- Render the data. Create a single template for each repeatable object, archive and taxonomy templates where needed, and reusable blocks for constrained page sections. Check for empty values so optional content does not leave blank headings or broken links.
- Test the editing experience. Use a non-administrator account with the intended role. Enter short and long text, missing images, unusual characters, multiple relationships and unpublished references. Verify that the edit screen remains understandable and that the front end remains valid.
- Document and deploy. Keep field definitions, templates and migration instructions under version control or another repeatable deployment process. Treat those definitions separately from the content stored in the database.
Global settings with ACF PRO Options Pages
ACF PRO Options Pages are designed for values that are global rather than associated with one page. Suitable examples include a logo, contact details, social links, a header notice and footer content. Data saved on an options page is global, stored in WordPress’s wp_options table, and available for display from any page.

Create one clearly named options page, group related settings together, and scope each field group deliberately. Do not attach the same group to multiple options pages unless the values are intentionally shared; otherwise editors may see ambiguous copies of what appears to be the same setting.
Global settings should remain limited. A field that changes only one landing page belongs on that page, not in the options table. Keeping the options page small makes ownership clear and reduces the chance that an editor changes a site-wide value while expecting a local change.
Reusable layouts, repeaters and custom blocks
For structured page composition, ACF PRO adds Flexible Content, Repeater, Clone, Gallery and ACF Blocks capabilities. These features can be valuable when a site needs repeatable cards, image galleries, modular landing pages or constrained components that still fit a PHP-oriented theme workflow.
Repeaters
Use a Repeater for a list whose rows share the same fields, such as office locations, frequently asked questions or feature cards. Set sensible row limits and provide a clear row label so the editor can identify each item. A repeater should represent a real repeated data structure, not every paragraph on a page.
Flexible Content
Flexible Content allows an editor to select from predefined layouts. Offer a small set of well-named layouts with instructions that explain when to use each one. Too many layouts create a page-builder experience that is difficult to govern and test; too few can force editors to misuse a layout.
Clone and Gallery fields
Clone fields can reuse a carefully designed group without duplicating its definition. Gallery fields suit a genuine collection of images where order and captions matter. Define image return formats and size expectations so templates receive predictable values.

ACF Blocks
ACF Blocks provide constrained, reusable editor components. They can be a good fit when the team wants block-editor placement with a PHP-based rendering workflow. Give each block a clear purpose, limit its controls to supported design options and handle empty or invalid values in the render code.

Choose the free plugin when structured fields on posts, pages or custom post types cover the brief. Choose PRO when the project requires Options Pages, Repeaters, Flexible Content, Galleries, Clones or ACF Blocks. Record the decision in the statement of work and identify who owns renewal. PRO licenses renew automatically each year unless the account holder selects manual renewal, so the client and agency should agree which account receives notices and who can renew it.

Yes. ACF documents REST API support for custom-field data since version 5.11. Fields attached to posts, custom post types, users and taxonomies can be exposed through the corresponding WordPress REST endpoints when REST visibility is enabled for the relevant post type.
A headless build still needs an explicit API contract. Document:
- the endpoint and post type for each content object;
- field names, data types and return shapes;
- whether the consumer receives raw values, IDs or rendered HTML;
- authentication and permissions for drafts, private content and mutations;
- validation rules, image sizes and relationship behavior; and
- what happens when a field is empty, renamed or removed.
This approach can support React, Vue, Next.js, mobile applications and other JavaScript clients, but exposing a field is not the same as designing a stable public API. Version or migrate the contract before changing keys that an external front end consumes.
Storage, validation and security
ACF stores field data in the associated WordPress metadata tables or in the options table, depending on where the field group is displayed. The storage location does not remove the need for application controls.

- Validate on input: enforce field types, ranges, required values and permitted choices before saving.
- Escape on output: escape text, URLs, attributes and HTML according to the context in which they are printed.
- Restrict capabilities: give editors access to the content they manage, not to field definitions or site-wide settings they should not change.
- Protect relationships: verify that referenced records are allowed and handle deleted or unpublished targets gracefully.
- Test roles: preview the complete workflow with the same roles the client will use, including media uploads and revisions.
- Back up and migrate: include database backups, rollback steps and a repeatable way to move field definitions between staging and production.
Keep field definitions, templates, migrations and content as separate deployment concerns. A template update should not silently overwrite client content, and moving content should not depend on manually recreating field groups.

A technically correct build can still fail if the handoff uses developer terminology. Give the client an editing guide that uses the labels visible in their dashboard and shows the complete path to each task.
- A content-model diagram showing post types, taxonomies, relationships and global settings.
- A field list identifying required, optional, global and translatable values.
- Rules for image dimensions, link formats, publishing, revisions and archiving.
- A description of which blocks and layouts are safe to combine.
- Backup, restore and rollback instructions.
- License ownership, renewal responsibility and the account used for PRO licensing.
- A migration note listing field names that must not be renamed without updating templates and integrations.
Train editors with realistic examples rather than empty screens. Explain which content belongs in a reusable record and which belongs in a one-off page, because that distinction determines whether future searches, filters and redesigns remain manageable.
How ACF compares with other implementation choices

Native blocks may be preferable when editors need free-form composition and the team is committed to block APIs. Another custom-fields plugin may fit a different licensing or workflow requirement. A visual builder may reduce initial development time but can introduce more layout choices and dependencies. Compare these options against the six axes above instead of choosing by feature count alone.

Common failure modes and fixes
Everything is a page
If dozens of similar locations, projects or testimonials are stored as unrelated pages, filtering and consistent templates become difficult. Move the repeatable object to a custom post type and migrate the existing values into fields and taxonomies.
The options page becomes a dumping ground
When local campaign copy is stored with global settings, editors cannot tell where a change will appear. Move page-specific values back to the relevant page or post and reserve options for genuinely site-wide data.
Editors receive too many choices
An unrestricted collection of layouts is hard to govern. Remove experimental layouts, rename the remaining choices in business language and add instructions that describe the intended content, not the underlying code.
Field names change after launch
Renaming a field can break templates, REST consumers, imports and analytics. Treat keys as an API: preserve them, or create a migration that updates every dependent system before removing the old key.
The front end assumes every value exists
Optional fields, unpublished relationships and old content will eventually produce empty values. Add fallbacks and conditional rendering, then test records created before the latest field-group change.
A launch checklist
- Every content object has a documented owner and purpose.
- Post types, taxonomies and field names are stable and recorded.
- Required and optional fields behave correctly for the intended roles.
- Templates handle empty, long, invalid and unpublished values.
- Global settings are limited to genuinely global content.
- REST visibility and API return shapes are tested if a headless client is involved.
- Input validation, output escaping, capability checks and backups are in place.
- Free-versus-PRO requirements and renewal ownership are written into the project handoff.
- The client has an editing guide, content-model diagram and rollback procedure.
Frequently Asked Questions
Can I start with regular pages and introduce a custom post type later?
Yes, but plan a migration rather than simply changing the field location. Export the existing values, map them to the new post type and verify URLs, relationships, templates and redirects before deleting the old content.
Should every ACF field be required?
No. Require only values that the template or business process cannot function without. Optional fields should have a deliberate empty-state design so missing content does not create broken markup or awkward gaps.
Is ACF suitable when several applications consume the same content?
It can be, provided you define and maintain a REST contract covering field names, return shapes, permissions, validation and empty values. Treat those keys as integration interfaces rather than private implementation details.
