The most useful iPhone apps are the ones that solve a job you do often: planning your day, capturing notes, working with other people, managing focus, or keeping track of passwords. Apple’s App Store collections surface options in these categories, but a featured listing is not a comparative test or proof that an app is right for every person.
Choose apps by the job you need done
There is no universal set of “essential apps.” Start with a recurring friction point, then look for an app that fits how you work and the devices you need to use. Apple’s US, Canadian, and UK App Store collections include examples across planning, notes and documents, collaboration, file access, focus, and password management. The collections vary by region and can change.

If you want help keeping appointments and tasks in view, Apple’s collections include Fantastical, GoodTask, Structured, and Things 3. Consider whether you need a calendar, a task list, or a way to see both together; then check the app’s current listing for the features and devices you require.

These descriptions identify the broad planning category, not a feature-by-feature comparison. Before choosing, check whether the functions you need are free, require a subscription, or involve a paid download, and whether syncing works across your devices.
Notes, documents, and PDFs
For writing, handwritten notes, or document work, Apple’s collections surface Craft, Goodnotes, Notability, Bear, PDF Expert, and Adobe Acrobat Reader. Choose based on what you actually handle: quick notes, longer documents, handwriting, or PDFs. The collection pages do not establish which app is best for a particular workflow.

Collaboration, work, and file access
When your iPhone is part of a work routine, Apple’s collections include Slack, Microsoft Outlook, and Box for collaboration, communications, and file access. Their presence in a collection is not evidence that they meet a particular workplace’s security, administrative, or compatibility requirements.

Focus and organizing ideas
For focus or turning thoughts into a visual plan, Apple’s collections include Forest, MindNode, and Structured. These are different kinds of candidates rather than interchangeable recommendations: identify whether you want a focus aid, a way to map ideas, or help organizing your schedule, then check the current listing for relevant details.
Rank #4

- This product is eligible for a replacement or refund within 90 days of receipt if you are not satisfied.

Structured also appears among the planning options above; evaluate it according to the job you want it to do rather than installing it simply because it appears in more than one category.
Password management
Apple’s collections include 1Password as a password-management candidate. Before using any password manager, verify its current pricing, supported devices, sign-in and recovery process, and privacy information. If you need to use passwords across Apple and non-Apple devices, confirm that the current app supports your setup.

Check an app before you install it
- Search your local App Store. Apple’s US, Canadian, and UK collections can differ, so confirm that the app is available in your storefront and that its current name and description match what you want.
- Check compatibility. Read the listing for iPhone and iOS requirements, and confirm support for any other devices you rely on.
- Understand the cost. Check whether the required feature is free, subscription-based, or a paid download, along with the current terms.
- Review privacy and permissions. Read the app’s current privacy disclosures and consider whether its data practices suit the information you plan to enter.
- Test the everyday workflow. Make sure capture, access, and syncing work the way you need before moving important information into the app.
Apple Support says getting apps from the App Store on iPhone requires an internet connection and an Apple Account.
