Build a Better B2B Prospect List: Find and Qualify the Right Leads

A practical workflow for finding B2B prospects: define account fit, locate relevant buying roles, use signals carefully, verify records, and handle sourced information transparently.

To find qualified B2B prospects, first identify companies that fit your offer, then find the people connected to the problem or buying decision, and prioritize them using timely signals. Keep account fit separate from purchase intent: a strong match may not be buying now, and activity is a reason to investigate—not proof of budget or approval. There is no universal qualification formula; your criteria should reflect the customers your business can serve well.

What makes a B2B prospect qualified?

A prospect is qualified when the available evidence meets your business’s own criteria for fit and relevance. Qualification is not a universal score or a guarantee that someone will buy. It is a practical judgment about whether an account is worth researching or contacting, based on what you sell, whom you can serve, and what you can verify.

Separate two questions:

  • Fit: Does the organization resemble the customers your offer is built for?
  • Timing: Is there a current reason to research or contact the account?

A good-fit company may have no active project. A recent signal may warrant a closer look, but it does not establish budget, authority, or a purchase decision.

How do you define your ideal customer profile?

Use evidence from customers who achieved meaningful outcomes with your product or service. Look for patterns in successful sales, retention, and the operating conditions that made the offer useful. Turn those patterns into observable criteria rather than relying on a vague description such as “mid-sized businesses.”

Choose account criteria you can check

Depending on the offer, useful criteria may include:

  • Industry or business model
  • Country, region, or markets served
  • Employee or revenue range
  • Relevant technologies or infrastructure
  • Operational conditions connected to the problem you solve

Set ranges based on your own customer evidence; there are no universal size or revenue thresholds. HubSpot lists company location, revenue range, employee range, and company tags as examples of enrichment fields in its B2B marketing product material.

Make the criteria usable

For each criterion, decide what counts as a match and what evidence is acceptable. For example, “uses a particular technology” is more useful if you specify whether a current company page, a verified profile, or another source is enough to mark it as present. Distinguish “unknown” from “does not fit”; missing information is not evidence that an account fails the profile.

How do you build an account list?

Start with organizations, not a pile of individual names. Identify accounts that match the ICP, then record why each one belongs on the list. This makes it easier to screen out weak matches and find the right roles inside companies that merit attention.

  1. Apply your ICP filters. Search or review organizations using the industry, geography, scale, technology, and operating criteria you defined.
  2. Record the evidence. Note which criteria are confirmed, which are unknown, where the information came from, and when you checked it.
  3. Remove or hold weak matches. Exclude accounts that conflict with a required criterion; put accounts with important unknowns into a research queue rather than treating them as confirmed fits.
  4. Find relevant people within each account. Look for roles that touch the problem, the decision, or implementation.

Company websites and other current company materials can help verify business context and roles. Treat job titles and employer details as changeable: a contact record may be out of date even if the company remains a good fit.

How do you identify decision-makers and buying roles?

Do not assume that one title always owns a purchase. Map people to the work involved: who experiences the problem, who evaluates options, who can authorize a decision, and who would implement or operate the solution. Depending on the sale, one person may fill several roles or several people may share them.

Use role and company information as a starting point, not as proof of authority. Verify current employment and responsibilities against current public company information or trusted data before investing in a high-effort outreach sequence. LinkedIn describes account- and person-level activity in Sales Navigator buyer-intent material; HubSpot describes role categorization and contact context in its B2B marketing product material.

How should you use signals to prioritize prospects?

Use signals to order research and tailor relevant outreach, not to declare that an account is ready to buy. Keep a fit assessment and a timing assessment separate so a burst of activity does not turn a poor-fit account into a qualified one.

Assessment Question Examples of evidence
Account fit Does the company match the ICP? Industry, location, company scale, technology, and operating context
Timing or activity Is there a reason to investigate now? Relevant website activity, research activity, company news, or a contact change

This two-part view is a practical internal framework, not a validated scoring formula. You can use simple categories such as “strong,” “possible,” and “weak” for fit, and “recent signal,” “no signal,” or “unknown” for timing. Define what each category means for your team; do not imply that a numerical score predicts conversion unless you have evidence for that claim.

Signals worth checking

LinkedIn’s vendor material lists company follows and visits, ad lead-form completions, website visits, ad engagement, and responses to outreach among the signals available in Sales Navigator. HubSpot’s product material describes website visits, research activity, company news, and contact-level changes as potential context. These are vendor descriptions of product features, not independent evidence that a signal reliably predicts a sale.

For each signal, ask what happened, when it happened, and whether it relates to the problem your offer addresses. A page visit, funding announcement, or research signal may justify checking the account more closely; none by itself proves that a particular person has approved a purchase or has budget.

What should a useful prospect record contain?

A useful record helps a teammate understand why an account or contact is on the list and whether the information is current enough to act on. Keep facts distinct from assumptions and make the source of important details visible.

  • Account: company name and relevant ICP fields, such as location, industry, scale, technology, or operating context
  • Contact: name, current company, role, and the buying or implementation responsibility you believe is relevant
  • Evidence: source, date checked, confidence, and verification status for important fields
  • Activity: the signal observed, when it occurred, and why it may matter to your offer
  • Next action: research, verify, route, contact, or hold—plus the reason

Recheck critical details such as employer, role, and contact information before a high-effort sequence. HubSpot describes enrichment and data-refresh functions in its product material; those vendor descriptions do not establish that every field in an enriched record is accurate. Treat enrichment as context to verify, not a substitute for judgment.

How do you source prospect information responsibly?

Prospect information may come from existing business relationships, third-party data providers, or public material. The source does not remove your responsibility to use the information appropriately. For UK guidance, the Information Commissioner’s Office says collection and use for direct marketing must be fair, lawful, and transparent. It also warns that information being publicly available does not necessarily mean a person would reasonably expect it to be used for marketing.

When information comes from another source, the ICO says organizations generally need to tell people what categories of information they hold and where it came from. Its guidance says privacy information should be provided within a reasonable period and no later than one month, subject to exceptions. See the ICO’s guidance on collecting information and generating leads and the right to be informed.

For purchased or rented lists, the organization using the data remains responsible for its compliance; a supplier’s assurances alone are not enough. Check the list’s provenance and suitability for the communication channel and circumstances, and make source, retention, and opt-out handling clear in your process. ICO guidance is UK-specific. Teams must assess the laws and requirements that apply to their own locations, audiences, data sources, and channels.

How do you choose prospecting or enrichment tools?

Choose tools against the work your process actually requires rather than treating a large database or a signal feed as proof of quality. Compare:

  • ICP coverage: Can it find the industries, regions, company sizes, and technologies that define your target accounts?
  • Role relevance: Are account and contact matches reviewable and current enough for your use?
  • Signal context: Can you see what triggered a signal and how recent it is?
  • Data hygiene: Can records be corrected, updated, and removed?
  • Privacy controls: Can you track sources, handle rights and opt-outs, set retention practices, and assess channel and geography suitability?
  • Workflow and cost: Does the tool fit your CRM, routing, and team workflow, and are usage charges clear?

HubSpot notes that many buyer-intent functions require HubSpot Credits; requirements and prices can change, so verify current product terms directly before adopting a workflow. LinkedIn and HubSpot describe features and data coverage in their own product materials, not independent head-to-head tests. No tool can be named as universally best on the evidence available here.
