BOM synchronization fails when ECAD, PLM, and ERP are treated as if they share one product structure, one set of identifiers, and one change process. In practice, each system may own different data and represent revisions, effectivity, or approvals differently. A file can transfer successfully and still leave procurement or manufacturing with the wrong structure. Reliable synchronization therefore needs defined ownership, explicit mappings, controlled change handling, reconciliation, and monitoring—not just a transfer job.
Why the three systems do not automatically agree
An electronic component bill of materials (ECAD BOM or EBOM) describes the design structure. PLM manages broader product information and change processes. ERP uses product structures and related data for operational work such as procurement and manufacturing. The same component can have different identifiers, attributes, or context in each system, and an ERP or manufacturing structure may intentionally differ from the engineering design.

| System | Typical role in the handoff | Question to settle |
|---|---|---|
| ECAD | Authors the electronic design and its engineering structure. | Which design data and identifiers are authoritative at the source? |
| PLM | Manages product information, revisions, and engineering change governance. | Which changes and structure versions are approved for downstream use? |
| ERP | Supports operational structures used in procurement and manufacturing. | Which engineering data is transferred, transformed, or deliberately kept different? |
The handoff can fail even when every application is functioning: teams may disagree about which system owns an attribute, what a revision means, or when a change becomes effective. The on-topic Engineering.com overview of ECAD, PLM, and ERP synchronization describes the stale-file risk: purchasing may act on an old export after the source has changed. That is a plausible timing failure, not a measured industry-wide failure rate.

Common causes of a BOM mismatch
Unclear ownership and unlike structures
If no one has defined which application owns each field or structure segment, a downstream edit can be overwritten, ignored, or treated as a conflict. Establish whether ECAD, PLM, or ERP is authoritative for each item, attribute, and approval state. Also define which system is allowed to author changes and where downstream structures may intentionally diverge.

Static exports and timing gaps
A manual file drop or scheduled batch leaves a window between a source change and the next transfer. During that window, a buyer or manufacturer may rely on an earlier BOM. The risk is not limited to a missing component: an export may be internally consistent but no longer represent the approved source revision or lifecycle state.
Identifier and mapping mismatches
Systems may identify the same part differently, or map attributes, units, and code-list values inconsistently. A connector can also support one object type or transfer direction without supporting another. Check the part-to-material identity, required attributes, units, code lists, and direction of transfer rather than assuming a successful connection implies complete semantic coverage.
SAP’s Administration Guide for PLM System Integration for SAP ERP, Release 2.0 FP04 (Q3 2023) describes a domain model, standard and configurable mappings, and mapping of differing business IDs. Those implementation details apply to that SAP integration context; other product pairings may expose different objects and mapping controls.

Revision, change state, and effectivity do not line up
A change may exist in the source but be in the wrong state for transfer, carry a change number the target cannot resolve, or take effect on a date that does not match the target BOM or routing. SAP’s integration guide documents a validity-date error when transmitted change dates do not align with BOM or routing valid-from dates; it also identifies engineering change numbers as required for applicable object types. For an affected SAP workflow, compare the transmitted date with source and target validity, verify change-number mapping and status, and confirm that the object is valid at the relevant key date.
SAP’s Guided Structure Synchronization process flow describes change states and mapping source change numbers to target numbers. Equivalent concepts and labels vary by connector and release.
Legitimate EBOM-to-manufacturing differences are treated as errors
Engineering and manufacturing structures can differ for valid process reasons. Forcing identical structures can erase an approved manufacturing transformation; accepting every difference without review can leave a real design change unresolved. Define which differences are permitted, who approves them, and how the target-side decision is retained through later synchronization.

SAP’s Guided Structure Synchronization documentation labeled 2025 FPS01 (February 2026) describes source-to-target mapping, repeated synchronization, and conflict reconciliation. It says, “Any differences between the source and target structure are displayed as conflicts with varying degrees of severity.” This is a SAP-specific example of a governed workflow, not a promise that all platforms detect or resolve differences the same way.
Windows Errors? Fix Them Before They Spread

Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteMissing relationships, permissions, or interface operations
An item may appear absent because a required relationship or primary-object link was not transferred, not because the BOM line itself failed. Other possibilities include an unassigned technical user, insufficient authorization, incompatible components, or an interface error that was not surfaced to the user. The SAP administration guide includes relationship-dependent document transfer, user assignments for data federation, and technical logging and monitoring; check the deployed integration’s own documentation for its equivalent controls.

- Locate the first mismatch. Record the source and target revisions, timestamps, affected BOM lines, and relevant integration message or payload. Identify the first system in which the structure differs from the preceding system.
- Verify scope and identity. Confirm the integration direction, object type, part/material identity, and whether the connector supports the structure and attributes involved.
- Compare change context. Check revision, change number and state, valid-from date, plant or organizational context, and target validity at the applicable key date.
- Classify the difference. Decide whether it is an intended engineering-to-manufacturing transformation or an actual conflict. Route it to a named owner for controlled reconciliation.
- Inspect the integration path. Review interface logs, mappings, permissions and technical-user setup, object relationships, and software or connector compatibility before retrying.
- Close the process gap. Define synchronization triggers, monitoring, exception ownership, and a record of approved target-side deviations.
The exact fields and sequence depend on the ECAD, PLM, ERP, connector, and releases in use. The SAP examples above are implementation guidance for particular SAP products, not a universal configuration manual.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. What a governed synchronization process should include
A robust process treats synchronization as a controlled lifecycle rather than a one-time export. SAP Guided Structure Synchronization provides one concrete example: plan the synchronization, map source and target structures, perform an initial synchronization, continue synchronization as changes occur, and reconcile conflicts through a workbench. Its documented behavior is specific to SAP and should not be assumed for another stack.

How to evaluate an integration before relying on it
Compare the behavior that matters to your workflow, not just whether a connector advertises BOM transfer. Ask vendors or implementation teams to demonstrate these cases using your object types and change rules:
- Which BOM and related object types can move in each direction?
- How are identifiers, attributes, units, and code lists mapped?
- How do revisions, change numbers, statuses, and effectivity dates map?
- How are differences detected, classified, reconciled, and retained on the next synchronization?
- What logs, monitoring, permissions, and recovery paths are available to an operator?
- Which software and connector versions are supported together?
The cited SAP and Microsoft documentation describes relevant capabilities in their respective products, but it does not provide a controlled cross-vendor benchmark. No representative industry-wide failure rate is established by these sources.
