For a narrated slide deck you plan to share as a video, start with PowerPoint’s built-in Record workflow. It captures narration and other presentation elements slide by slide, lets you preview and redo individual slides, and can export the presentation as a video. Use PowerPoint’s separate Screen Recording command for a software demo or desktop capture; use Zoom when you need a recording of the live meeting, not just the slides.
Which software should you use?

These are different workflows, not interchangeable versions of one recorder: PowerPoint Record is slide-aware, Screen Recording captures screen activity, and Zoom preserves meeting context.
Record a narrated presentation in PowerPoint
Check your version and setup
PowerPoint’s interface and the availability of particular buttons vary by release and platform. Before following a specific screen path, check the applicability information in Microsoft’s documentation against your installed version. A microphone and webcam are optional; PowerPoint can use external devices of either type. No specific model is established as best.
Record, review and redo slides
- Open the presentation in PowerPoint and open its Record workflow. Choose whether to record the full presentation or a single slide; the exact labels can differ between versions.
- Make a brief test recording. Preview it to confirm the microphone and camera are working and that your narration is clear before recording the full deck.
- Record your narration and, if useful, presenter video or ink gestures. PowerPoint applies recordings to individual slides, so you can redo a slide without re-recording the whole presentation.
- Pause between slides. PowerPoint does not record audio or video during slide transitions, so avoid speaking while advancing to the next slide.
- Preview the presentation, check the timing and media, and re-record any slides that need correction.
Recorded elements are attached per slide, and you can rearrange slides without having to re-record them.

Export the presentation as a video
PowerPoint’s newer Record window includes an Export screen for creating a shareable video. Microsoft describes Full HD 1080p MP4 as the default there; slides without recorded timings display for five seconds by default. The export can include recorded timings, narration, animations, transitions, media, ink and laser-pointer gestures. Verify that this screen and its defaults apply to your release and platform.

Higher video quality produces a larger file. The available formats and resolutions depend on the PowerPoint version and platform; consult Microsoft’s presentation-to-video guidance for the export instructions that apply to your setup.
Some content may not carry into the generated video. Microsoft’s guide flags certain older linked media, QuickTime media under specified conditions, macros, and OLE/ActiveX controls as items that will not be included. Check the finished video rather than assuming every element in the slide deck has been rendered.

Capture a screen demonstration in PowerPoint
Use Screen Recording when the important content is software activity or another part of your desktop, rather than slide-by-slide narration. This command captures either a selected area or the whole screen. Audio and pointer capture are selected by default on the control dock; review those controls before recording.
- In PowerPoint, open the Insert tab and choose Screen Recording (the exact location or label can vary by version).
- Select the area to capture, or choose the full screen. Confirm whether audio and the pointer should be recorded.
- Start the capture and demonstrate the steps you want viewers to see.
- Stop the recording. PowerPoint inserts the clip into the current slide. Use the option to save it as a separate file if you need a standalone clip, or trim it in PowerPoint.
This produces an embedded screen-capture clip; it is separate from the slide-aware Record workflow.

When Zoom is the better fit
Choose Zoom’s computer recording when the presentation is happening in a meeting and you want the recording to retain the shared-screen and meeting context. Zoom documents local recording of meeting audio and video on a computer. Shared-screen layouts include the screen with an active-speaker thumbnail or without thumbnails; computer recordings also have a thumbnail gallery layout.
Check current account, client and host settings before relying on a particular recording option or layout. If you only need a polished video of the deck, PowerPoint’s slide-aware workflow avoids recording the meeting interface.

Before you share the recording
- Play the exported video from beginning to end, checking narration, slide timing, transitions and any embedded media.
- Confirm that the export format and resolution suit the audience and destination, and allow for larger files at higher quality.
- Review rights to any music, images, video or other material in the slides before distributing the recording. A video export does not grant permission to use third-party content.
- Check that the final file contains the content you expect, especially if the deck relies on linked media, macros or interactive controls.
