It is free, open source, works on Windows, macOS, and Linux, and captures screen, window, webcam, and other sources. Choose Camtasia if you need recording and editing in one paid workflow; consider Zoom when the main job is capturing meetings or webinars.
How to choose screen recording software for a nonprofit
Start with the work you need to do: staff onboarding, volunteer instructions, software walkthroughs, training, program explainers, fundraising videos, or meeting capture. Then compare the total cost, ease of setup, editing and sharing workflow, operating-system fit, and who on your team can manage the recordings.

- Budget: Confirm the price and any organization-specific eligibility directly with the vendor before budgeting.
- Workflow: Decide whether you need only to capture a screen or also want editing and sharing in the same product.
- Accessibility: Plan for accurate captions or transcripts, and explain important on-screen actions aloud.
- Privacy: Before recording, check whether the video or desktop could reveal personal, health, donor, client, or confidential staff information. Follow your organization’s policies and review the vendor’s terms; the options below have not been compared through a privacy or security audit.
1. OBS Studio: best no-cost desktop recorder
OBS Studio is the strongest default when keeping software cost at zero matters and someone can handle an initially configurable setup. OBS Project describes it as “Free and open source software for video recording and live streaming.” It captures and mixes video and audio in real time, with sources that include windows, images, browser windows, webcams, and capture cards. The OBS Help Portal says the GPLv2 application is free for anyone to use for any reason, with no watermark or usage restrictions. See the OBS Project and its Help Portal.

The official download page lists version 32.2.2 and identifies Windows 10 and 11 support, macOS 13.0 or newer, and Linux downloads. These release and compatibility details can change, so check the OBS download page before installing. OBS is desktop software; the official materials cited here do not establish a cloud collaboration or built-in editing and sharing workflow equivalent to an integrated paid suite.

When OBS fits
- You need to record a screen, application window, or presenter webcam without a software license charge.
- Your team can spend time choosing sources and configuring scenes.
- You are comfortable handling editing or distribution separately if the recording needs more than basic capture.
What to account for
OBS gives you control over capture sources, but that configurability can mean more setup than a dedicated recorder with an integrated editing workflow. Test a short recording before using it for a training session, and check both the captured picture and audio.
2. Camtasia: recording and editing in one workflow
TechSmith markets Camtasia as “AI-powered screen recording and video editing.” Its product page describes screen capture up to 4K and offers multiple plans with different features. At the time reflected by the vendor pricing information, Starter was listed at $39 per year billed annually and Essentials at $179.88 per year billed annually. Prices and plan presentation may vary by market or change; compare the current options on TechSmith’s Camtasia pricing page before purchase.

Check the plan details before committing
The Starter Camtasia Editor is watermarked, while higher paid tiers include additional editor features. Confirm which tier supplies the editing, export, and sharing functions your team needs; do not assume a lower-priced plan has the same capabilities as a higher tier.

3. Zoom: consider it for meeting and webinar capture
If your primary need is to record meetings or webinars, Zoom may be a closer fit than software chosen to produce standalone tutorials. The right option depends on your organization’s Zoom account, recording workflow, and requirements; the nonprofit discount is not evidence that every Zoom product is discounted or that Zoom is a dedicated standalone screencast editor.
Zoom’s support information says qualifying organizations with 501(c)(3) designation and public libraries with 501(c)(3) designation, or an internationally recognized equivalent, may receive a 50% discount on select products after eligibility verification by Goodstack. Check the current terms and the particular product’s eligibility on Zoom’s nonprofit subscription support page.

Prepare a recording that people can actually use
- Define the audience and purpose. Make the recording answer one practical question, such as how a volunteer submits a form or how staff complete a recurring task.
- Remove sensitive information. Close unrelated tabs, notifications, and records; use test data where possible. Check the frame before recording so names, account details, donor information, or confidential messages are not exposed.
- Make actions understandable. Narrate important clicks and changes rather than relying on viewers to infer them from the screen. Keep text and cursor actions visible.
- Check accessibility. Provide accurate captions or a transcript and review them for names, acronyms, and specialist terms. Describe visually important information in the narration.
- Make a short test recording. Play it back to confirm the right screen and audio were captured and that private information is not visible.
- Share responsibly. Use your nonprofit’s approved storage and access controls, and give viewers a clear way to get help or report that a procedure has changed.
