For a sensitive letter, start with a built-in accessibility reader if it meets your needs, then check the specific reading app’s privacy policy and settings. Confirm whether it processes letter text on your device or sends it to a server, how long it retains the text, and whether it uses content to improve its service. A microphone or speech-recognition setting alone cannot answer those questions.
Identify what is reading the letter
Privacy depends on the feature you use, not just the device. A reader may be built into the operating system, included in an app, or part of an assistant that retrieves messages. Those options may have different access to your text and different data practices.

- Built-in accessibility reader: It may speak text displayed in other apps without requiring a separate letter-reading service. Check the app’s data settings and policy
Look for the following details in the reading app’s privacy policy and settings. If the policy does not say how letter text is handled, do not assume it stays on the device.

- Processing location: Does the app say text is handled locally, uploaded for processing, or processed in either place depending on the feature or settings?
- Retention and deletion: Does it save submitted or read text? How long is it retained, and can you delete it?
- Service improvement: Is letter content used to improve the service, and can that use be turned off?
- Offline use: Does the specific reader work without an internet connection, and does its policy explain what happens to the text in that mode?
- Access scope: Does it read only text you select, or can it access broader content in the app or account?
- Voice availability: Does the device or app offer downloadable speech voices for on-device playback? Check the behavior of the actual feature rather than inferring it from a downloaded voice.
Microsoft documents a specific offline case in which Office Read Aloud uses the text-to-speech functionality provided by the device. Its documentation also describes connected-experience scenarios, so the offline statement should not be generalized to every Office use or to other reading apps. Do not confuse listening to speech with reading text aloud
Speech recognition listens to a person’s voice; text-to-speech produces spoken audio from text. Microphone permissions and online speech-recognition controls therefore do not establish whether a separate reading app uploads or retains letter text.

Read-aloud playback can be heard by people close enough to hear the device. In a shared space, use private audio playback or wait until you can listen privately. That reduces the chance of someone nearby hearing the letter; it does not change whether the app processes or retains its text. Apple’s accessibility documentation describes spoken playback, while the overhearing risk follows from audio being played aloud. - Identify whether the reader is an operating-system accessibility feature, an app’s own tool, or an assistant retrieving messages.
- Open that feature’s settings and privacy policy. Check local versus server processing, retention and deletion, service-improvement use, and available controls.
- If on-device voices or offline reading are offered, verify that the specific app supports them and what happens to text when you use them.
- Keep microphone and speech-recognition controls separate from text-to-speech privacy decisions.
- Choose private audio playback when a nearby person should not hear the letter.
- Review the settings again after major app or operating-system updates, since labels and behavior can change.
