Choose by workflow: use Google Sheets when several people must edit the same file in a browser; LibreOffice Calc when you want a no-cost, open-source desktop application; Zoho Sheet when you need collaboration plus Windows or macOS and offline file work; and Excel for the web when staying inside Microsoft’s online ecosystem matters most.
No free alternative guarantees complete Excel feature parity. Before moving an important workbook, test a representative copy—especially formulas, charts, pivot tables, external links, print layouts, and macros—and keep the original untouched.

Quick picks for different kinds of spreadsheet work
| Best fit | Start with | Why it fits | Main qualification |
|---|---|---|---|
| Browser collaboration | Google Sheets | Google documents real-time collaboration, Drive autosave, version history, formula suggestions, filters, and Apps Script. | The cited comparison is web-oriented; it does not establish a full local desktop workflow or complete Excel parity. |
| Local desktop editing | LibreOffice Calc | The Document Foundation describes Calc as a feature-rich spreadsheet for analysis, calculations, and visuals. LibreOffice is free and open source. | The reviewed product page does not establish that Excel files behave identically. |
| Collaboration with desktop and offline options | Zoho Sheet | Zoho advertises free use, real-time teamwork, version and audit controls, Windows and macOS apps, and offline work on local files. | Some capabilities are add-ons, and compatibility statements are vendor claims that deserve testing with your files. |
| Microsoft account and online Office workflow | Excel for the web | Microsoft lists Excel among its free online Office applications. | The cited page does not say that the web edition contains every desktop Excel feature. |
These are not four versions of the same product. They make different trade-offs around storage, connectivity, sharing, automation, and file fidelity. The right choice is the one that matches how your files are created, edited, shared, and archived.

What to compare before leaving Excel
Collaboration and control
Ask whether people need to edit simultaneously or merely exchange files. Real-time editing is useful for budgets, schedules, and data collection, but it also makes permissions and change tracking important. Look for sharing controls, comments, a usable version history, and an audit trail when several people can change a workbook. Google highlights real-time collaboration and version history in its comparison. Zoho describes real-time teamwork together with version and audit controls.

Desktop and offline requirements
A browser editor is convenient until you are on a flight, working with files that must remain on a local drive, or handling a workbook too large or specialized for a web interface. LibreOffice Calc is the clearest desktop-first option in the reviewed official material. Zoho describes native Windows and macOS applications and offline work with local files. Google’s cited comparison presents Sheets as web-oriented, so do not assume that it supplies the same local workflow as a desktop office suite.
Excel-file handling
Determine whether you must receive, edit, and return .xlsx files without changing formulas, formatting, charts, or print behavior. Zoho says it supports spreadsheet formats including XLSX and that imported charts, formulas, and formatting remain intact. That is a vendor statement, not an independent compatibility test. The LibreOffice page reviewed here does not establish parity with Excel, and the Google comparison does not justify assuming that every workbook feature will transfer unchanged.
Automation and advanced analysis
Simple formulas often migrate well; automation is where replacements diverge. Google identifies Apps Script as its automation counterpart. Zoho’s comparison distinguishes VBA from Apps Script and marks some functions as add-ons. A VBA macro should therefore be treated as code that may need rewriting, not as a file feature that will automatically run elsewhere. Check your use of pivot tables, data connections, specialized functions, named ranges, and external links separately from ordinary cell formulas.
What “free” actually includes
Free can mean a no-cost browser account, an open-source desktop download, or a limited tier alongside paid upgrades. Verify whether an account is required, where files are stored, how much collaboration is included, and whether a feature is an add-on or business-plan entitlement. Zoho explicitly identifies AI-powered insights as a paid add-on on the English-language page reviewed. Do not treat an advertised product capability as part of the unconditional free offering until its plan label is clear.
Google Sheets: the practical first choice for shared browser work
Google’s official comparison positions Sheets around simultaneous online editing. It lists real-time collaboration, Drive autosave, version history, formula suggestions, filters, and Apps Script. That combination suits a team that values a single shared copy over a locally installed program.
Where it works best
- Shared planning: Multiple contributors can work in the same browser-based document instead of emailing revisions.
- Change recovery: Version history gives a way to review or restore earlier states when a shared sheet changes unexpectedly.
- Lightweight automation: Apps Script is the documented automation route when built-in formulas and filters are not enough.
- Low setup overhead: Drive autosave reduces the need to remember manual saves.
Important limits to check
The cited Google material is a web comparison, not a promise of a complete desktop replacement. If your work must continue without internet, requires files to stay on a local drive, or depends on Excel-specific automation, validate those requirements before switching. Also inspect how your workbook’s formulas, charts, print settings, and links behave after import and export; collaboration features do not guarantee file fidelity.

Choose Sheets when
Make Sheets the starting point when your highest-cost problem is coordinating edits, comments, and revisions among people who can work in a browser. It is a weaker default when your process is built around local files, offline work, or unchanged VBA macros.

The Document Foundation describes LibreOffice Calc as a feature-rich spreadsheet for data analysis, calculations, and visual presentation, and describes LibreOffice as free and open source. That makes Calc the clearest candidate for someone who wants an installed application without a subscription.
Where it works best
- Local ownership: Work from files stored on your computer rather than making a browser service the center of the workflow.
- Offline editing: A desktop suite is appropriate when internet access is intermittent or prohibited.
- Analysis and presentation: The official description covers calculations, data analysis, and visuals rather than limiting Calc to a basic grid.
- Open-source preference: The software is offered at no cost and under an open-source model.
Excel migration cautions
Free and open source does not mean “identical to Excel.” The official Calc page reviewed here does not establish compatibility parity. Treat every complex workbook as a conversion project: check formula results, conditional formatting, charts, pivots, external references, print areas, and any macros. If colleagues must send files back in Excel format, exchange test copies before making Calc the system of record.
Choose Calc when
Calc is the better fit when you need a conventional desktop program, local or offline work is non-negotiable, and your organization can tolerate validating file exchanges. It is less convenient than a browser-first service for simultaneous editing unless you add a separate sharing process.
Zoho Sheet: a hybrid of collaboration, desktop apps, and offline files
Zoho’s product page advertises free use and describes real-time collaboration, version history, audit controls, Windows and macOS desktop applications, and offline work with local files. It also states that spreadsheet formats such as XLSX are supported and that imported charts, formulas, and formatting remain intact.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Why it is distinctive
- Hybrid workflow: You can compare a browser collaboration model with native desktop applications instead of choosing only one.
- Offline option: Zoho describes working on local files when disconnected, which addresses a limitation of purely web-oriented tools.
- Team controls: Version and audit features are relevant when you need to understand who changed a shared workbook.
- Microsoft-file exchange: The stated XLSX support may help teams that receive and return Excel files.
Read the compatibility claim correctly
“Charts, formulas, and formatting remain intact” is Zoho’s own claim. No independent compatibility test is established here, so test representative files rather than relying on the sentence as a guarantee. Include workbooks with nested formulas, named ranges, charts, pivots, external links, custom number formats, and macros if those elements matter to you.

Free-tier boundaries
Zoho’s page distinguishes included functions from paid add-ons. In particular, it identifies AI-powered insights as an add-on. Before standardizing on Zoho, open the current plan information for your region and confirm the exact desktop, offline, collaboration, storage, and automation features you need. A product can be free to start while a specific capability still requires payment.
Choose Zoho when
Zoho is worth comparing when you need team editing but also want Windows or macOS applications and a stated local-file offline path. It is not a reason to skip a pilot: test file fidelity and confirm which functions are included in the free tier.
Excel for the web: the lowest-friction Microsoft route
Microsoft lists Excel among its free online Office applications. For people already organized around Microsoft accounts and Office file sharing, the web edition can reduce the conceptual and administrative change involved in adopting a different suite.
What it solves
Your team can remain in Microsoft’s online environment instead of translating habits and file locations to another provider. That can be valuable when colleagues already expect Excel terminology or when an existing process is built around Microsoft-hosted documents.
What the cited evidence does not solve
The referenced Microsoft page establishes free online availability, not complete desktop feature coverage. Do not infer that every desktop command, data connection, add-in, macro, or advanced analysis tool is present in the web edition. Open the exact workbook in the web version and verify the functions your process uses before treating it as a drop-in replacement.
Choose Excel for the web when
Use it as the first candidate when staying with Microsoft’s ecosystem is more important than changing vendors, and when your work fits an online browser workflow. Keep a desktop-capable fallback for files that depend on features the cited page does not promise.

A safe migration checklist
Use this process for any workbook that matters to payroll, reporting, forecasting, inventory, grades, or compliance. It is a practical validation method, not a claim that any product has already passed these tests.
- Inventory the workbook. Record its file formats, formulas, charts, pivot tables, named ranges, external links, macros, data imports, conditional formatting, and print settings. Note which parts are business-critical.
- Duplicate the source. Make a working copy and preserve an untouched original in its current location. Never use the only production file as your first import.
- Import a representative copy. Open the duplicate in the candidate service or application. Include the largest and most complex sheets, not just a blank sample.
- Recalculate and compare. Check key totals against the original, then inspect formulas for changed references, unsupported functions, date behavior, rounding, and error values.
- Inspect presentation. Compare column widths, number formats, conditional formatting, charts, frozen panes, page breaks, print areas, headers, and exported PDF output.
- Exercise advanced objects. Open every pivot table, query, external link, named range, data validation rule, and macro you rely on. A file that opens without an error can still produce a wrong result.
- Test the real workflow. Have the actual users share, edit, comment, restore an earlier version, work offline if required, and return the file in the format your recipients expect.
- Choose a rollback point. Keep the untouched original and document which application and version created the approved replacement. Do not delete the source until the new process has survived a normal reporting cycle.
A practical decision tree
- Several people must edit at once in a browser? Start with Google Sheets. Compare Zoho Sheet if desktop applications, offline local files, or audit controls are equally important.
- You need a no-cost installed spreadsheet and can validate file exchanges? Evaluate LibreOffice Calc first.
- Your organization already uses Microsoft accounts and online Office? Check whether Excel for the web handles your workbook before introducing a second ecosystem.
- You must preserve complex Excel behavior? Do not pick from a feature list alone. Pilot the exact files in at least one candidate, and retain Excel desktop access as a fallback until the results are proven.
- You need a feature advertised as AI, an add-on, or a business control? Confirm its current plan status and region before calling the solution free.
How to keep a “free” choice free over time
Plan terms and product capabilities change. Recheck the provider’s current pricing and feature pages when you deploy the tool, when your team grows, and whenever a previously free function becomes central to the workflow. Separate the cost of the spreadsheet application from related storage, identity management, desktop deployment, backup, and paid add-ons. A no-cost download can still require internal work to manage files safely; a free web account can still create dependence on an online service.
Finally, make your decision based on the consequence of failure. For a shared household list, convenience may dominate. For financial reporting or operational planning, reproducible calculations, recoverable versions, predictable exports, and a tested rollback matter more than a long feature checklist.

Bottom line
There is no universal free Excel replacement. Google Sheets is the most direct starting point for browser collaboration; LibreOffice Calc is the clearest desktop and open-source choice; Zoho Sheet is the hybrid candidate when collaboration, desktop apps, and offline files must coexist; and Excel for the web minimizes change for Microsoft users. Whichever path you choose, validate real workbooks and verify the current free-plan boundaries before retiring your existing process.
