You can replace many Microsoft apps without replacing Microsoft’s entire ecosystem. LibreOffice, Thunderbird, Nextcloud, Element, Jitsi and Linux Mint are starting candidates for different tasks—but a desktop app is not the same thing as a hosted service, and no single option here replaces Microsoft 365, Windows and their organizational services as a whole.

Replace Office desktop work
Start with LibreOffice for local editing
LibreOffice is a strong free and open-source starting point for word processing, spreadsheets and presentations. The BFH study maps Microsoft Office Suite to LibreOffice, which supports considering it for the core desktop tasks—not assuming every document or workflow will transfer unchanged.
Test your actual documents before switching
Compatibility matters most when files depend on complex layouts, macros, specialized templates or ongoing collaboration. Before adopting a replacement, open representative files, make edits, save them in the formats your colleagues use, and check the results in the applications and workflows that matter to you. For shared work, verify how people will edit, exchange and track changes to the same documents.

Consider online editing separately
ONLYOFFICE is another candidate to evaluate. Collabora Online is a possible browser-based or self-hosted route when paired with an appropriate deployment. These are distinct choices from installing a desktop suite: check the actual deployment, sharing workflow and administration requirements rather than treating either as a drop-in replacement for the whole Microsoft productivity and cloud stack.
Replace Outlook’s client tasks, not your mail service
Use Thunderbird as a desktop-client candidate
Thunderbird is a candidate for Outlook email and calendar client work; the BFH study maps both Outlook and its calendar tasks to Thunderbird. That mapping concerns the client task. It does not mean Thunderbird replaces Exchange hosting, organizational account policies or every Outlook add-in and workflow.

Check organizational dependencies
Before moving a work account, confirm that the mail service permits the client and that the functions your organization relies on remain available. Check calendars, contacts, shared workflows, required add-ins and any organization-specific rules with the people responsible for your mail system. A change of client does not by itself change where mail is hosted or how it is governed.

Replace OneDrive-style file sharing
Evaluate Nextcloud as a collaboration environment
Nextcloud is a candidate for file sharing and content collaboration. Its role depends on deployment: a hosted service and a self-managed installation do not put the same operational work on the user. With a self-managed deployment, the operator must plan for hosting, updates, backups and security.

Separate syncing from shared collaboration
File access is not the only requirement to compare. Check permissions, shared-document workflows, data retention, recovery and how users will access files across their devices. Syncthing and Seafile also appear in secondary alternative roundups, but their suitability is not established by official product documentation in the source set used for this guide; treat them as further candidates to investigate, not verified recommendations.
Split Teams-style work between messaging and meetings
Element for team messaging and collaboration
Element is a candidate for the messaging and collaboration side of a Teams-style workflow. Before adopting it for a workplace, evaluate administration, identity, retention and guest access against the organization’s requirements.

Jitsi for video meetings
Jitsi is a candidate for meetings and video conferencing. The BFH study lists both Element and Jitsi Meet against Teams, reflecting different parts of the workflow rather than one equivalent product. Check meeting access, calling needs and the administrative model you require before making a workplace switch.

Linux Mint is one possible free and open-source operating-system migration path. Moving to Linux is a separate decision from replacing Office or another application: you can keep Windows and change applications one at a time.

Check the blockers before installing
- Confirm that the computer’s hardware and peripherals work with the operating system you plan to use.
- Identify specialist applications that may be required for work, school or personal projects.
- Check accessibility tools, assistive technology and the support available to the people who will use the computer.
- Decide how you will preserve files and settings and return to your previous setup if the migration does not meet your needs.
If you proceed, plan the installation and recovery path before changing the operating system. Do not treat an application alternative as proof that every device, peripheral or specialist workflow is compatible.
Find replacements for other individual Microsoft tasks
The BFH study’s category table offers more leads: Joplin for OneNote, OpenProject for Project, Penpot for Visio, ShareX for screenshots, VLC for Windows Media Player and KeePassXC for password management. These are task-level mappings from a Swiss public-sector comparison, not evidence that the tools share Microsoft products’ full feature set or fit every user’s requirements.
For each one, define the work you need to do before choosing. For example, project planning, diagramming, note-taking and password storage have different requirements; a name in the same category does not establish compatible file formats, integrations, administration or migration paths.
Use a migration checklist before committing
- List the task and dependencies. Record which Microsoft app or service you use, why you use it, and which integrations, policies or other people depend on it.
- Assemble representative material. Include ordinary files and the difficult cases: complex documents, macros, templates, shared files, calendars and contacts.
- Test the real workflow. Open, edit, save, share and—where relevant—reopen the material in the applications other people will use. Check accessibility tools as part of the same evaluation.
- Verify access and control. For shared or hosted services, check permissions, identity, guest access, retention and export paths. Confirm who controls data and how it can be recovered.
- Plan the operational work. For an organization, account for deployment, security, updates, backups and recovery, integrations, support and an exit or migration plan.
- Keep a rollback route. Retain a way to return to the previous workflow until the replacement has met your requirements in actual use.
Software licensing, paid hosting, support and the infrastructure needed to run a service are separate considerations. “Free and open source” does not establish that every deployment has no operating cost.
Choose by workflow, not by a single “best” label
For many desktop Office tasks, begin by evaluating LibreOffice; for Outlook client work, consider Thunderbird; for file collaboration, consider Nextcloud; and for Teams-style communication, assess Element and Jitsi as separate components. Consider Linux Mint only if you want to evaluate an operating-system migration. The right choice depends on the files, services, compatibility requirements and support model your workflow actually needs.
