For customer support teams already using a help desk, Zendesk, Help Scout, Freshworks, and Intercom connect self-service content to support workflows. Document360 is positioned for technical documentation. The available evidence supports this use-case shortlist—not a hands-on, universal ranking.
FAQ software creates and distributes answers; a knowledge base is the broader, organized system for publishing, finding, maintaining, and governing that content. The distinction matters: a list of FAQ pages may answer common questions, but a useful knowledge base also needs dependable search, clear ownership, review processes, access controls, and ways to identify missing or stale content.

FAQ software and knowledge base software: what is the difference?
FAQ software helps a team write, edit, publish, and distribute answers for customer self-service. Those answers may live on a website or be surfaced through live chat and chatbots. A knowledge base includes the content and the system around it: how articles are organized, searched, reviewed, controlled, measured, and connected to support workflows.
That broader job changes what to prioritize. A small public FAQ may need straightforward publishing and a way for customers to find answers. A larger support library also needs review ownership, permissions, useful search, analytics, and integration with the inbox or ticketing system. An internal knowledge hub places more weight on collaboration and controlled access, while technical documentation calls for a structure suited to product guidance.

The Zendesk comparison was last updated October 2, 2026; its FAQ guide was last updated May 26, 2026. Intercom’s pricing FAQ is dated August 27, 2026. Prices and trial terms are snapshots, not quotes. The listed products are not covered by a common price basis: per-agent, per-user, and per-seat pricing are not interchangeable, and the figures do not establish the total cost for a particular team.
1. Zendesk: FAQ content connected to a support suite
Zendesk suits teams that want customer-facing answers to work alongside bots, ticketing, and a broader support operation. Its FAQ guidance describes reusable Content Blocks, AI-assisted suggestions for knowledge gaps and content reviews, and collaboration and publishing workflows. Those functions address more than initial article creation: teams can reuse approved content and build review into how answers are maintained.
The FAQ guide lists Support Team at $19 per agent/month, Suite Team at $55, Suite Professional at $115, and Enterprise pricing by sales contact, plus a 14-day trial. Separately, the October 2026 knowledge-base comparison lists Zendesk at $55 per agent/month billed annually, also with a 14-day trial. These figures come from different guide contexts; the sources do not establish that every knowledge base capability described is included at every listed tier. Check the current official plan details before treating a tier as sufficient.

Limit: plan-level availability of the described knowledge base features is not established by the cited guide passages, so the entry price alone cannot determine the cost of the required setup.

2. Help Scout: shared-inbox-oriented knowledge for growing teams
The 2026 comparison positions Help Scout for growing teams that share an inbox. That makes it a candidate when the knowledge base should sit close to the team’s customer conversations rather than operate as a standalone documentation project.
The comparison lists $25 per user/month and a 15-day trial. It does not state the billing basis or identify which plan includes which knowledge base features. Best for: growing support teams whose day-to-day work is organized around a shared inbox. Limit: the available comparison does not substantiate specific search, AI, analytics, integration, or feature-tier details, so the price snapshot should not be treated as a full cost estimate.
3. Freshworks: a knowledge base option for IT teams
The Zendesk comparison labels Freshworks best for IT teams. That points to an operational support use case rather than a claim that it is the strongest choice for every public FAQ or documentation library.

The comparison lists $19 per user/month and a 14-day trial. It does not give the billing basis or establish which knowledge-base capabilities are included at that price. Best for: IT teams evaluating a knowledge layer within their support operation. Limit: the available details do not establish product-specific AI, content governance, language, or integration features, so those should not be inferred from the positioning label.

4. Document360: technical documentation with custom pricing
Document360 is positioned for technical documentation. It is the clearest fit in this shortlist when the primary job is to publish organized product or technical guidance, rather than simply add FAQ answers to a support inbox.
The comparison reports custom pricing and a 14-day trial. No public starting price is stated, so a direct numerical price comparison with per-user or per-agent plans is not possible from the available figures. Best for: teams whose content is primarily technical documentation. Limit: the comparison does not provide a price figure or detailed plan inclusions to quantify the cost or feature scope.
5. Intercom: help desk and AI agent with usage-based charges
Intercom is relevant when the goal is a help desk paired with an AI agent, and when the team is prepared to account for usage-based pricing as well as seats. Its pricing FAQ says plans include Intercom and Fin AI Agent, while Fin and some messaging channels carry usage-based pricing.

How to choose FAQ software for a knowledge base
1. Decide who the content is for
- Customers: prioritize clear public self-service, easy discovery, and a connection to the channels where customers ask for help.
- Employees: emphasize collaboration, permissions, approvals, and availability across the organization.
- Technical readers: choose around the needs of structured product guidance and documentation publishing.
2. Match the knowledge layer to the support workflow
Determine whether answers should be used by agents in an inbox or ticketing system, surfaced by chatbots, or published as an independent help center. Zendesk’s described use of FAQ answers alongside bots and ticketing is relevant to the first two cases; Help Scout’s comparison positioning centers on a shared inbox; Intercom’s offer combines a help desk with an AI agent. Do not assume that a product’s general positioning proves a particular channel integration or plan feature.
3. Assess findability and content maintenance
Good coverage is not enough if readers cannot find the right answer or staff cannot keep it accurate. Compare search and answer retrieval, review and approval controls, content-gap reporting, and support for updating material. Zendesk’s FAQ guide specifically describes AI-assisted knowledge-gap and review suggestions; equivalent capabilities are not established for every other product in the available comparison.
4. Check governance, customization, and scale
Permissions and publishing controls become more important as more contributors and content are added. Also consider language coverage, branding and customization, integration coverage, usability, and the effort required to set up and manage the system. The right balance depends on whether you are maintaining a compact FAQ, an internal library, or a growing documentation collection.
5. Compare the full recurring cost, not just the headline
Normalize prices by seat basis and billing period, then include any AI or messaging usage charges, required add-ons, and plan gates for the knowledge base features you need. Intercom explicitly combines seat pricing with usage-based charges for Fin and some channels. Zendesk’s published descriptions span several tiers, while the cited passages do not map every described knowledge feature to a plan. A published starting price therefore does not, by itself, establish what a team will pay for a working setup.

What the 2026 comparison can and cannot establish
The available source labels are useful for building a shortlist, but they are the publisher’s positioning, not independent hands-on test results. No product was personally tested for this comparison, and no common benchmark establishes a universal winner. The price and trial details are dated guide snapshots; product capabilities, plan names, and commercial terms can change.
For the most defensible choice, use the product’s current official plan page to confirm price, billing basis, trial availability, and the exact knowledge-base features included. This is especially important where a source gives only a starting price, custom pricing, or a support-suite tier without specifying feature gates.
