1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsIf you need expense submissions routed to approvers, reminders for stalled requests, and a record of each decision, start by evaluating Zapier, Microsoft Power Automate, and Make against your existing finance tools. Zapier has the clearest documented expense-approval pattern among these candidates; Power Automate is worth evaluating in Microsoft-centric organizations, while Make is a candidate when visual branching is important. None should be assumed to provide identical expense controls or app support.
What to compare in an expense approval workflow
An automation platform coordinates events and actions across the expense, accounting or ERP, messaging, and reporting systems a business already uses. A useful workflow does more than send a notification: it routes a request, captures a decision, handles delays and exceptions, and leaves a record that the business can review.

- Routing rules: Check whether the workflow can use the policy fields your organization actually maintains, such as amount, team, department, project, or expense type.
- Decision handling: Confirm where approvers can act and whether the resulting approval or denial records the decision-maker and time.
- Delays and exceptions: Look for pending reminders, escalation when a request is overdue, and follow-up when a request is denied or flagged.
- Integration fit: Verify the specific expense reporting app, accounting or ERP system, messaging channel, and record destination you intend to connect.
- Governance and ownership: Determine who can create, edit, and run the workflow, how records are retained, and which administrative controls apply to the plan you would use.
- Operating cost: Compare current plans and usage rules using your expected workflow volume and the number of people who build or manage automations. Do not rely on a generic comparison page as a quote.
Alternatives to evaluate
| Platform | Why it may fit | What to verify for expenses |
|---|---|---|
| Zapier | Its finance documentation describes expense-request routing, reminders, escalation, decision logging, and follow-up for exceptions. | Confirm the exact source and destination apps, available plan limits, and whether the workflow meets your governance and record-retention needs. |
| Microsoft Power Automate | Microsoft documents approval flows; organizations already using Microsoft 365 or the Power Platform have a reason to evaluate it. | Confirm support for your expense app and required approval experience, connectors, records, governance controls, and plan. The available documentation does not establish feature parity with Zapier’s described expense pattern. |
| Make | It is positioned as a visual workflow builder with branching, routing, and filtering. | Verify expense-app support, approval waits, decision capture, audit history, governance, and plan restrictions directly. The available evidence does not establish these expense-specific details. |
Where Zapier has the clearest documented expense pattern
Zapier’s finance automation documentation describes sending expense requests from expense apps to managers through Slack or email, then logging the decision. It says requests can be routed by team, amount, or policy. The documented pattern also includes reminders for pending reviews, escalation when requests have waited too long, and follow-up tasks for denied or flagged submissions. Approval records can be stored in an ERP, spreadsheet, or audit log with a timestamp and owner.
That is a concrete starting point for a cross-app workflow, not a guarantee that every expense product or plan supports the connections and controls you need. Check the named apps and the destination for decision records before building around this pattern.

When to shortlist Power Automate or Make
Microsoft Power Automate
Microsoft Learn provides a getting-started guide to approvals in Power Automate. This establishes approvals as a product capability, but not that every connector or approval feature needed for employee expenses is included in every plan. Put it on the shortlist when your organization already works deeply in Microsoft 365 or the Power Platform, then test the expense-specific flow with your own apps and approval requirements.
Make
Make is a candidate to investigate if you want to build workflows visually and need branching, routing, or filtering. The available comparison information is a vendor-authored overview, not a full feature audit. Before choosing it for expenses, confirm directly that your desired workflow can pause for a decision, capture and retain the result, and handle overdue or exceptional requests with the integrations and plan you intend to use.

How to make the shortlist practical
- Write down the real policy inputs. List the fields that determine who approves a request, including any thresholds or exceptions your policy uses.
- Name every system in the workflow. Include the expense product, accounting or ERP system, approver channel, and the place where final decisions must be recorded.
- Test the whole decision path. Check submission, routing, approval and denial, pending reminders, overdue escalation, and follow-up for denied or flagged items.
- Inspect the record and permissions. Confirm that the decision record identifies its owner and time, and that the right people can administer the workflow and access its records.
- Check plan and usage fit. Evaluate the current terms against expected volume and workflow ownership rather than assuming an advertised capability is available on every plan.
Zapier’s overview of Power Automate alternatives can help frame an initial comparison, but it is published by Zapier and may change; use each platform’s own current documentation to validate integrations, wait states, records, governance, and plan restrictions. The available n8n waiting documentation did not provide usable detail for assessing its expense approval behavior, so this comparison does not establish a feature-by-feature verdict against n8n.
