Best AI Email Assistants for Drafting Replies and Managing Follow-Ups

The best AI email assistant depends on your mailbox and whether you need reply drafting, inbox triage, or reminders that bring conversations back for follow-up.
Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For the best fit, start with the email service you already use: Gemini is integrated into Gmail, Copilot is integrated into Outlook, and Superhuman’s Email Assistant documents support for both Gmail and Outlook. If follow-up reminders are your priority, Superhuman explicitly describes bringing conversations back to the inbox with a follow-up draft; Microsoft describes newer inbox actions as a Frontier preview. These are feature-based recommendations, not a tested ranking: the available product documentation does not establish which assistant writes the most accurate replies or saves the most time.

How to choose an AI email assistant

“AI email assistant” can mean several different things. One tool may summarize a long conversation or generate a reply when you ask. Another may sort incoming mail, suggest priorities, or remind you when a conversation needs a response. Those functions are related, but they are not interchangeable: drafting helps you write a message, while follow-up management helps you remember to act.

As an Amazon Associate I earn from qualifying purchases.

Use these questions to narrow the choice:

  • Which mailbox do you use? Gemini’s documented features are in Gmail; Copilot’s are in Outlook. Superhuman documents its assistant for both Gmail and Outlook.
  • Do you mainly need writing help or follow-up support? Prompt-based drafting is not the same as an automatic reminder or a prepared follow-up draft.
  • Do you need mail triage? Look for documented labeling, prioritization, or inbox-management features, and check whether they are generally available or still a preview.
  • Can you access the feature? Account type, plan, location, language, platform, and preview-program eligibility can all affect availability.

There is no evidence-based universal winner here. The official documentation describes features and access conditions, but does not compare the products’ accuracy, time savings, or user satisfaction.

Assistant Mailbox compatibility Documented drafting and writing controls Follow-up and inbox management Availability caveats
Gemini in Gmail Gmail Google lists suggested replies and AI Overview conversation summaries, among other features. Availability differs by feature. Google lists AI Inbox, but the cited page does not establish an automatic follow-up reminder that returns a conversation with a prepared follow-up draft. Access varies by account type, plan, region, language, and platform. Some features are limited to eligible Google AI or Workspace plans; specified features for personal Gmail users without a paid plan are currently limited to the US. Google’s Gmail feature and availability page.
Copilot in Outlook Outlook Microsoft documents drafting from prompts and thread context, with controls to adjust tone or length. Custom instructions can specify writing preferences such as short, direct messages or a preferred sign-off. Microsoft’s Outlook FAQ lists summaries, coaching, prioritization, and triage. Newer inbox actions, including natural-language follow-up management, are described as a Frontier preview. Access and feature sets depend on account and license. Microsoft says custom draft instructions require a work Copilot license or a Microsoft 365 subscription; preview inbox actions are restricted to Frontier participants. Drafting instructions, Outlook Copilot FAQ, Frontier inbox-management preview, and custom draft instructions.
Superhuman Email Assistant Gmail and Outlook, according to its documentation Superhuman says the assistant drafts replies in the user’s voice. Superhuman describes labeling incoming mail and automatic reminders that return a conversation to the inbox with a follow-up draft. These are vendor-described capabilities, not independently measured outcomes. The cited pages do not establish comparative accuracy or guarantee that reminders prevent missed messages. Product page, Gmail documentation, and Outlook documentation.

The table is a capability map, not a scorecard. A tool that creates a reply when prompted may be the right fit for occasional writing help, while a tool that returns a conversation to the inbox addresses a different point in the workday. Compare the exact action you want—summarize, draft, label, prioritize, or remind—rather than treating every feature with an “AI” label as interchangeable.

Gemini in Gmail: a fit for Gmail users who want built-in assistance

Google’s Gmail feature page lists AI Inbox, AI Overview conversation summaries, and suggested replies, alongside other AI features. That makes Gemini a natural first option to investigate if you already work in Gmail and want help understanding a thread or starting a response without switching email platforms.

Do not assume that every Gmail account includes the same tools. Google says availability varies by account type, plan, region, language, and platform. Some features are tied to eligible Google AI or Workspace plans, while access for personal Gmail users without a paid plan is currently limited to the US for specified features. The page also treats availability feature by feature, so confirm the exact capability you need rather than relying on a general claim that “Gemini is in Gmail.”

The documentation supports conversation summaries and suggested replies, but it does not establish an automatic follow-up workflow that resurfaces unanswered threads with a prepared next message. If reliably remembering to follow up is the main problem, verify that your account’s available Gmail features address that need before choosing on the strength of drafting alone.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For a practical check, identify one routine task before you assess access: for example, understanding a lengthy thread, generating a suggested response, or finding an item through AI Inbox. Then verify that the specific feature is enabled for your account and platform. A summary can help you catch up, and a suggested reply can give you a starting point, but neither should be mistaken for a reminder that a particular person still owes you an answer.

Copilot in Outlook: a fit for Outlook users who want drafting controls

Microsoft documents Copilot drafting an email from a prompt and the context of a conversation. Its Outlook drafting instructions describe adjusting tone or length before keeping, editing, and sending the draft. This is useful when you want a generated starting point but still expect to shape the final message yourself.

Microsoft also documents custom instructions for draft style. You can specify preferences such as keeping messages short and direct or using a particular sign-off. This is configurable guidance, not evidence that Copilot automatically learns your voice from past messages. Microsoft says custom draft instructions require a work Copilot license or a Microsoft 365 subscription; check the linked instructions and eligibility details for your account.

Outlook’s Copilot features extend beyond composing. Microsoft’s FAQ lists thread summaries, email coaching, prioritization, and triage actions. However, the newer inbox-management experience described on Microsoft’s separate Frontier page is a preview, available only to people in that program. Treat those actions as preview capabilities, not standard features available to every Outlook user.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

That distinction matters when comparing follow-up support. Outlook’s documented drafting controls can help prepare a response, and its FAQ lists inbox-related features such as prioritization and triage. The separate Frontier experience is the place Microsoft describes newer inbox actions, including natural-language follow-up management. If a reminder workflow is essential, confirm whether you are actually in the Frontier program rather than assuming it comes with ordinary Copilot access.

Superhuman Email Assistant: a fit when reminders and prepared follow-ups matter

Superhuman describes its Email Assistant as working with Gmail and Outlook. Its product and support pages say it can label incoming messages, draft replies in the user’s voice, and remind the user to follow up. The support documentation describes automatic reminders that bring a conversation back to the inbox with a follow-up draft.

That combination is particularly relevant if the problem is not just finding the right words but remembering to return to a conversation. The distinction matters: a draft generator gives you a reply when you request one; a reminder workflow is intended to surface a conversation later and help prepare the next step.

These descriptions come from the product provider. They do not prove that drafts match every user’s voice, that every reminder will arrive at the right time, or that missed messages will be eliminated. Review the product description and the separate Gmail and Outlook documentation for the workflow relevant to your mailbox.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before relying on a reminder, decide what you want it to do in your routine. The described workflow is for bringing a conversation back and presenting a follow-up draft; you still need to decide whether a reply is appropriate, whether the timing is right, and whether the draft reflects the latest exchange. Labels can also help organize incoming mail, but the vendor description does not establish how well labels fit every inbox or how much manual sorting they will replace.

Choose by the job you need done

If you want help replying to a long thread

Start with the assistant built into your mailbox: Gemini for Gmail or Copilot for Outlook. Both have documented thread-related support—Google lists conversation summaries and suggested replies, while Microsoft documents drafting from Outlook thread context and thread summaries. Check your account’s eligibility before assuming the feature is available.

For this task, separate comprehension from composition. A summary helps you review the conversation; a suggested or generated reply helps you begin an answer. Check that the output reflects the newest message and all relevant conditions in the thread. If the message contains a decision or commitment, use the draft as a starting point rather than treating a fluent response as confirmation that the details are correct.

If you want help making drafts sound more like your preferred style

Copilot is the clearest documented choice for explicit style instructions: Microsoft describes settings for preferences such as concise, direct messages and a preferred sign-off. Superhuman says its assistant drafts in the user’s voice, but that is a vendor description rather than a comparative test. Neither claim removes the need to review a message before sending.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Think about whether you want to provide direct instructions or use a service that describes its drafts as matching your voice. Microsoft’s documented examples are preferences you can state, not a promise of automatic learning. Superhuman’s description does not establish how closely a draft will match an individual user in every situation. In either case, tone is only one check: names, facts, recipients, dates, and promised next steps still need your attention.

If you want conversations brought back for follow-up

Superhuman explicitly documents automatic reminders that return a conversation to the inbox with a follow-up draft. Microsoft describes newer inbox actions in a Frontier preview, so those should only factor into a decision if you are eligible for that program and the preview is available to you. Google’s cited page does not establish the same reminder-and-draft workflow.

Do not equate a draft with a sent follow-up or a reminder with a completed task. A reminder can prompt you to revisit a thread; it cannot establish that the other person has responded, that the issue is still open, or that sending another message is the right next move. Check the conversation when it returns and make the decision yourself.

If you want inbox labeling or triage

Superhuman describes automatic labeling of incoming mail. Microsoft’s Outlook FAQ lists prioritization and triage, while its newer inbox-management actions are presented separately as a preview. Google lists AI Inbox, but the cited feature page does not describe it as the same workflow as Superhuman’s follow-up reminders. Check the feature details and access status rather than treating every “AI inbox” label as equivalent.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you need a choice that works across Gmail and Outlook

Among these three documented options, Superhuman is the one whose Email Assistant materials describe both Gmail and Outlook support. Gemini’s listed features are Gmail features, and Copilot’s are Outlook features. That does not establish that every capability behaves identically across the two mail providers, so check the mailbox-specific Superhuman instructions and verify the functions you plan to use.

How to evaluate access before committing

  1. Identify your mailbox and account type. Confirm whether you use Gmail or Outlook, and whether it is a personal, work, or school account. This is the first filter because the documented integrations and eligibility differ.
  2. Write down the specific task you need. Decide whether you need thread summaries, suggested replies, prompt-based drafting, writing-style controls, labeling, prioritization, or reminders that resurface a conversation. Ask about the exact task, not “AI email” generally.
  3. Check the official feature page for your account. For Gmail, consult Google’s availability page. For Outlook, review the Copilot FAQ and the relevant drafting or inbox-management page. For Superhuman, use the documentation for your mailbox type.
  4. Separate generally documented features from previews. In particular, do not plan around Microsoft’s newer inbox actions unless Frontier access is available to you. A preview may not be present in your standard Outlook experience.
  5. Check plan and rollout details before paying or switching. Google lists plan and regional limits for some Gmail features, and Microsoft says available Outlook features depend on account and license. The cited feature pages do not establish a complete, comparable current price list. Confirm current plan eligibility and cost with each provider instead of assuming a feature is included in a subscription you already have.
  6. Test the workflow on a low-risk conversation. Try a summary, a suggested reply, or a reminder using a routine message. Check whether the assistant gives you the context and controls you need before using it on sensitive or consequential correspondence.

There is no need to compare every feature at once. A useful short evaluation is to pick one ordinary thread and ask: can I access the feature, does it address the task I actually have, and can I review its result before acting? For a follow-up tool, also check that the conversation returns in the way you expect. For a draft tool, check whether you can adjust the result and retain control over sending.

Review every AI-generated reply before sending

An assistant can create a useful first draft, but the sender remains responsible for the message. Microsoft explicitly advises users to review, edit, and verify AI-generated content. Apply that standard to any assistant, especially when a reply commits you to a date, amount, decision, or action.

  • Names and recipients: confirm the recipient, names, pronouns, and any people mentioned in the thread.
  • Dates and commitments: verify deadlines, meeting times, promised deliverables, prices, and next steps against the actual conversation.
  • Facts and context: check that the draft answers the latest message rather than relying on an outdated detail or overlooking an important condition.
  • Tone and privacy: make sure the wording sounds appropriate for the recipient and does not include confidential information that should not be sent.
  • Follow-up timing: treat a reminder as a prompt to review the conversation, not as proof that the other person has responded or that a follow-up is still appropriate.

This review step applies even when a draft sounds polished or a summary is concise. Compare the generated text with the actual thread before keeping or sending it, and edit anything that misstates an agreement or sounds wrong for the recipient. A reminder is similarly a cue to revisit the exchange, not a substitute for deciding what to do next.

What the documentation can—and cannot—tell you

Official feature pages are useful for confirming stated capabilities, integrations, and access caveats. They are not head-to-head tests. The cited materials do not establish which assistant produces the most accurate drafts, handles every writing style best, saves a particular amount of time, or has the strongest security posture. No comparative price table is included because current, comparable pricing is not established by these sources.

Feature rollouts and account eligibility can change. The comparison reflects official documentation checked on October 13, 2026; confirm the linked provider pages for the current status in your region and account before making a decision.

Frequently Asked Questions

Availability for Gemini varies by account, plan, region, language, and platform, so check Google’s feature page for the specific tool you want.

Which AI email assistant works with Outlook?

Can these assistants remind me to follow up?

Superhuman explicitly describes automatic reminders that bring a conversation back to the inbox with a follow-up draft. Microsoft describes newer inbox actions, including natural-language follow-up management, as a Frontier preview. Google’s cited Gmail feature page does not establish the same reminder-and-draft workflow.

Is there a free AI email assistant or a clear price winner?

The feature pages cited here do not establish a complete, comparable current price list or a universal free option. Google says eligibility varies, including features tied to eligible Google AI or Workspace plans and specified features for personal Gmail users without a paid plan that are currently limited to the US. Check each provider’s current plan terms and feature eligibility before choosing.

Should I send an AI-written email without editing it?

No. Review names, recipients, facts, dates, commitments, tone, and privacy before sending. Microsoft specifically advises users to review, edit, and verify generated content, and the same prudent check applies to drafts from any assistant.

Does any one of these tools write the most accurate replies?

The official product pages describe features but do not provide a head-to-head accuracy test or establish a universal winner. Choose by mailbox compatibility and the workflow you need, then review generated replies before using them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Bottom Line

Bottom line: Start with Gemini if you use Gmail and want built-in summaries or suggested replies; consider Copilot if you use Outlook and want prompt-based drafting with explicit style controls; and look at Superhuman if you want documented support for either Gmail or Outlook plus reminders that return conversations with a follow-up draft. Check plan and preview eligibility first, and review every generated message before sending. These are use-case fits, not a tested ranking.
