Before you share anything with an AI assistant, check three things: which product and account you are using, whether your inputs can be used to improve models under the current settings, and how long the provider keeps data, including the exceptions. A statement such as “we respect your privacy” describes intent. It does not tell you what is stored, who can review it, or what survives a deletion. The terms that answer those questions differ by provider, by account type, and over time, so this guide shows how to read them rather than offering a single verdict.
Start with the product you are actually using
Most privacy confusion comes from treating “the AI” as one service. A consumer chat app, a company workspace, an education account, a healthcare offering, and a developer API can carry different default settings and different retention rules, even when the same model powers them. Before you paste anything in, confirm which surface you are on and who controls the account.

The table below summarizes the consumer and business distinctions stated in two provider help pages. Both are provider descriptions, not independent audits, and both are subject to change.
| Provider and surface | Model-improvement default | Deletion and retention as stated | Notable exceptions as stated |
|---|---|---|---|
| OpenAI, individual services such as ChatGPT (consumer-services help page) | Content may be used to improve performance, depending on settings | Cleared chats are deleted from its systems within 30 days | Content already de-identified and disassociated, or content that must be kept for security or legal reasons |
| OpenAI, ChatGPT Business, Enterprise, Edu, and Healthcare workspaces, and the API platform (same page) | Not used for model improvement by default; an organization may opt in where the option is available | Deletion timing for these workspaces and the API is not stated separately in the consumer page | Not stated separately in the consumer page |
| Anthropic, Claude consumer services (FAQ dated March 16, 2026, and retention FAQ dated July 1, 2026) | Chats and coding sessions may be used for model improvement only when the user allows it, when a conversation is flagged for safety review, or under another explicit opt-in | Deleted conversations leave chat history immediately and backend storage within 30 days; training-enabled data may persist in de-identified form for up to five years | Safety review, legal and policy exceptions; feedback submissions may keep the related conversation for up to five years |
| Anthropic, business and API products | Not stated in the consumer FAQs cited here | Not stated in the consumer FAQs cited here | Not stated in the consumer FAQs cited here |
The “not stated” rows matter. If your organization uses a business or API product, the consumer terms above do not tell you what applies to you. Ask for the product’s own data processing terms.

Model training: what the default and the setting mean
Whether your inputs can train future models is the question most readers ask first, and the answer depends on the product and on settings that can change. Anthropic’s consumer FAQ states the conditions under which chats may be used for model improvement. OpenAI’s consumer help page states that content from individual services may be used to improve performance depending on settings, while content from its business, education, healthcare, and API offerings is not used for model improvement by default.
Two details are easy to miss. First, a setting usually governs future use. Anthropic states that turning off the setting does not remove data from training already underway or from models already trained. Second, the training question is separate from the storage question. Opting out of training does not mean a conversation disappears.

A 2025 policy analysis by Jennifer King, Kevin Klyman, Emily Capstick, Tiffany Saade, and Victoria Hsieh examined privacy materials for six US frontier AI developers. At the time of that analysis, the authors reported that each used chatbot inputs for model training by default, and that the policies often lacked essential information. That is a dated snapshot. Anthropic’s later consumer documentation describes user-controlled training and safety-review exceptions, so the 2025 result should not be read as a current rule for any named provider. The same paper also reports findings on children’s chat data at four of the six developers, which likewise describe the policies as they stood when the paper was prepared.
“Not used for training” is not the same as “not stored” or “not reviewed”
A training opt-out answers one question. It does not answer whether the service keeps your content, whether staff can read it, or whether a vendor can process it. Read each claim against its own category:

- Online video installation instruction: Easiest Installation - removing dust and aligning it properly before actual installation, enjoy your screen as if it wasn't there.
- Storage: Even when training is off, the provider may keep chats for a period. Check the retention window for your product.
- Human review: OpenAI describes limited access by authorized personnel for listed purposes. Anthropic describes safety review as a condition under which chats may be used for model improvement. A “no training” setting does not rule out review in these cases.
- Service providers: OpenAI states that trusted service providers may access content for listed purposes. Check whether a provider’s terms name vendors and what those vendors may do with data.
- Feedback: Thumbs-up, thumbs-down, and similar feedback can carry the related conversation with it. Anthropic states that feedback submissions may retain the related conversation for up to five years.
Deletion has boundaries
Deleting a chat removes it from the interface and starts a backend deletion process. It does not turn the deletion into an absolute erasure, because the provider states exceptions. OpenAI’s consumer help page says cleared chats are deleted from its systems within 30 days, except where content was already de-identified and disassociated or must be kept for security or legal reasons. Anthropic’s retention FAQ dated July 1, 2026 says deleted conversations leave chat history immediately and backend storage within 30 days. If a user had allowed model improvement, de-identified data may persist in training pipelines for up to five years. Policy and legal or safety exceptions also apply.
Practically, treat deletion as a way to limit future exposure, not as a way to recall material you have already sent. If something should never have been shared, deleting the chat will not undo the transmission.

Incognito and similar modes have scope
Anthropic states that Incognito chats are not used to improve Claude, even when Model Improvement is enabled. The same FAQ separately describes safety-review circumstances, so an Incognito label should not be read as a blanket exemption from every review or retention rule. Confirm what a mode covers in the provider’s own documentation, and do not assume that a mode from one service behaves like another’s.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsCheck your employer’s or school’s policy
If the account belongs to an employer or school, an administrator’s policy may govern what you can share and what the provider retains. A personal consumer setting does not override an organization’s data rules, and an organization’s business terms may not match a consumer product’s defaults. Ask which account you should be using for work or coursework before you start.

What regulators say about promises
In January 2024, staff in the Federal Trade Commission’s Office of Technology published “AI Companies: Uphold Your Privacy and Confidentiality Commitments.” The post says model-as-a-service companies must honor commitments made in promotional materials, terms, or marketplaces. It warns that using or retaining consumer data for other purposes without clear and conspicuous notice and affirmative express consent may risk violating the law, and it notes that material omissions can matter. In the same post, the staff write: “There is no AI exemption from the laws on the books.” This is US regulator guidance, not a legal conclusion about any provider or any jurisdiction.
For a reader, the practical lesson is that a privacy promise is only as useful as the disclosure around it. If a provider’s policy is hard to find, hard to read, or silent on a point that matters to you, treat that silence as information.
Before you share: a working checklist
- Identify the exact product, plan, and who owns the account. Confirm whether you are using a consumer app, a workplace or school workspace, a healthcare offering, the API, or a third-party integration.
- Open the data controls and check whether model improvement is on. Note whether the setting applies to future conversations only.
- Find the retention period and the deletion behavior for your product, including any stated exceptions for safety, legal duties, disputes, or feedback.
- Ask whether staff or service providers can access content, and for which reasons the provider lists.
- Decide whether the material belongs in a prompt at all. Connectors and uploaded files may be handled differently from text you paste, so check the documentation for each route.
- Remove direct identifiers such as names, account numbers, and addresses, and replace unique case details with general descriptions. This lowers risk. It does not make the material safe to share in every context.
- Avoid sensitive information you would not want reviewed or used. OpenAI’s help page gives the same advice.
Some questions cannot be answered from public policy alone. If you are handling regulated health, financial, student, or client data, ask the provider or your organization’s privacy team for written terms before sharing.
What this does not cover
This guidance concerns how providers handle data on their side. Screen filters, webcam covers, device tools, and general privacy books do not change what an AI service stores, reviews, or uses, so they are not a substitute for reading the terms. The provider descriptions above are dated, and controls and policy text change; check the current pages for the exact product you use.
The Bottom Line
A privacy promise tells you what a provider intends to do. The product surface, the training setting, the retention window, and the listed exceptions tell you what it actually does, so read those before you share anything sensitive.
