Batch data entry means collecting multiple records or transactions and handling them together as a group. The group may be typed into a business application, imported from a file, or submitted to an API; a system then validates, processes, posts, or commits the records according to its own workflow.
What batch data entry means
A batch is a collection of related records or transactions handled together. “Batch data entry” describes this grouped workflow, not one specific screen, file format, or technology. It can be performed by a person entering rows in an application or by software submitting records in bulk.

For example, Microsoft Dynamics GP groups similar General Ledger transactions into batches that can be reviewed before posting. In Blackbaud CRM, users can enter one record per row, move the batch through its workflow, and commit it to create or update records. How a batch is usually processed
The exact sequence depends on the application, but a typical batch workflow includes these stages:

- Set up the batch. Choose the record type and define the required fields, numbering, or template.
- Gather or submit records. Enter multiple entries in a batch screen, import a data file, or send a record set programmatically.
- Validate and review. The system may check entries as they are entered, or stage them for later review. Correct errors or exceptions where the workflow allows it.
- Commit or post. Final processing creates or updates records in the receiving system.
- Check the results. For API processing, inspect the status and record-level results, then address failures. Submitting a batch does not by itself prove that every record succeeded.

Batch entry versus immediate entry
Batch entry groups records for later review or processing together. Immediate, or online, entry submits transactions as they occur and may give the user feedback while the source information is still available. The practical difference is when validation happens, when records become final, how errors are reviewed, and whether processing is synchronous or asynchronous.

- Many similar records need to be handled as a group.
- Data arrives periodically from another system, such as during a bulk or legacy-system transfer.
- A set of transactions needs review or approval before posting.
- An application or API is designed to receive and process record sets in batches.
There is no universal record-count threshold that defines a batch or determines its ideal size. Salesforce’s advice to adjust batch size according to processing time applies to its Bulk API context, not automatically to manual entry or other software. Does batch data entry mean records are unchecked?
No. Validation and error handling depend on the application. A system may check data during entry, during review, or as part of processing. SAP documents consistency and authorization checks for batch input, and business applications may provide templates, review steps, workflow statuses, and exception reporting. Check the specific product’s instructions to find out when records are validated and how failed entries are corrected.
