Are Google Workspace Add-ons Safe? Permissions, Data Access, and Admin Controls

Workspace add-on safety depends on requested OAuth scopes, authorization, and provider practices. Learn what users should check and how admins can restrict access.

Google Workspace add-ons are not automatically safe or unsafe. Their access depends on the OAuth permissions they request and the authorization granted by a user or Workspace administrator. Before installing one, compare its requested access with the feature you need, check who developed it and what its privacy terms say, and ask your administrator to review unfamiliar apps on a managed account.

What an add-on can access

A Workspace add-on is software that must be authorized to work with Google services; it is not merely a passive decoration in an app. When a user first uses an add-on, an authorization card or dialog describes the permissions it is requesting. The user can grant or deny them, and a domain administrator can install add-ons for users. See Google’s guide to installing and authorizing add-ons.

Those permissions are represented by OAuth scopes. A scope specifies the Google data or actions an app is asking to access, so the requested scopes—not simply the add-on’s name or apparent purpose—are central to judging its potential access. Google advises developers: “Always use the least permissive scope set possible.” Its Workspace add-on scope guidance also warns that https://mail.google.com grants full Gmail access and says published add-ons should use narrower scopes where possible.

How to assess an add-on before authorizing it

  1. Read the authorization screen. Note each permission and ask whether it makes sense for the feature you intend to use. If the purpose is unclear, do not approve access until you understand why it is needed.
  2. Pay particular attention to broad access. Full Gmail access, for example, warrants a clear explanation from the developer. A useful feature is not by itself a reason to grant unrelated or unnecessarily broad access.
  3. Check the developer and its terms. Review the developer identity, support contact, and privacy policy in the app information or listing. Google Admin Help says app information includes privacy-policy and support details; those details can help you assess the provider but do not independently prove its security practices.
  4. For a managed account, involve the administrator. Ask them to inspect the app under Security > Access and data control > API controls. Google says the Security settings administrator privilege is required to use these controls.
  5. Do not treat availability or review as a safety certificate. Marketplace publication and OAuth processes address scopes and review requirements; they are not a blanket guarantee of how every provider stores, shares, or otherwise handles data.

What Workspace administrators can control

Administrators can review configured apps, apps that have accessed data, and apps pending review. Google says app details typically appear 24–48 hours after authorization; this is an operational estimate in its Admin Help instructions for controlling app access, and may change.

For an app, an administrator can choose among four access settings:

Setting What it allows
Trusted Access to all Google Workspace services, including restricted services.
Limited Access to unrestricted Google services only.
Specific Google data Requests only the scopes configured for that app.
Blocked No access to Google data.

These choices can be applied across an organization or to selected organizational units. They let administrators allow, narrow, or block access to Google data. They do not, on their own, establish what a provider retains or does with data after access; that requires examining the provider’s terms and practices.

What Google’s review and OAuth verification mean

Google examines declared scopes during add-on publication review, and overly broad scopes can prevent an add-on from passing. Separately, some public apps that use sensitive or restricted scopes may need OAuth verification; restricted-scope data handling can also trigger security-assessment requirements. Google’s pages on add-on scopes and OAuth configuration for Marketplace apps describe these as distinct processes.

These checks are useful signals about an app’s requested access and applicable review status, not proof of every aspect of its security, data retention, or secondary use. Those provider-specific questions still depend on the app’s privacy terms and the organization’s own assessment.

Can an add-on read Gmail or Drive data?

It can request access to Google data through scopes, but the exact access depends on the scopes requested and what a user or administrator authorizes. Do not infer Gmail or Drive access from the word “add-on” alone: inspect the consent screen and, on a managed account, have an administrator review the app’s configured scopes and access setting.
