Sometimes, but there is no universal yes-or-no answer. Safety depends on the chatbot, account type, settings, retention rules, connected features, and who can access the account. Don’t submit information that would harm someone if exposed, violate a confidentiality duty, or breach workplace policy unless the specific service and its terms have been approved for that use.
What “safe” means for your information
Privacy is more than whether a provider trains a model on your prompts. Before sharing sensitive information, consider six separate questions:

- Model improvement: Can prompts or uploads be used to train or improve models, and is that use on by default?
- Human review: Can people review conversations, and for what purposes?
- Retention and deletion: How long are chats, files, feedback, or reviewed conversations kept? Does deleting activity remove every retained copy?
- Access: Can an employer administrator or other account manager access, export, audit, or retain the data?
- Connected features: Do connected apps, feedback, voice, memory, or other tools process information differently from a basic chat?
- Terms and authorization: Does the exact plan, contract, and configuration meet your legal, regulatory, and organizational requirements?
These controls are not interchangeable. Turning off model training does not necessarily delete a conversation, prevent safety processing, or block administrator access. A label such as “temporary,” “incognito,” or “history off” is not by itself a guarantee of zero retention or no review.

For the underlying controls, consult OpenAI’s Data Controls documentation, business data information, and managed-account privacy terms, plus Google’s Gemini Apps Privacy Hub, Connected Apps help, and Workspace privacy guidance. A provider’s stated policy does not establish how your employer configured its account.
Can ChatGPT or Gemini see your data?
When you send a prompt or upload a file, the service must process that content to respond. The more useful question is what else may happen to it: whether it is stored, used for improvement, reviewed for safety, available to an administrator, or passed to a connected feature. Those answers depend on the service and account rather than the brand name alone.

Connected apps can add information you did not type
Google says Gemini may use relevant information from connected services, including summaries, excerpts, generated media, and inferences, to answer prompts. When Keep Activity applies, some of that information may also be used to improve Google services, including model training. Google advises against connecting apps that contain personal or confidential information you would not want used for training or seen by a reviewer. Check the connected-app permissions and activity settings before using this feature.
Feedback can include conversation context
Submitting feedback is not necessarily limited to the text of the feedback itself. Google says Gemini feedback may include submitted content and conversation context from the preceding 24 hours. Treat feedback controls as a separate data-sharing choice.

Will turning off training or chat history delete your conversations?
No. Model improvement, chat history, memory, deletion, safety retention, human review, and administrator access are distinct issues.
- ChatGPT: Turning off “Improve the model for everyone” stops new conversations from being used to train models, but they remain in chat history unless separately deleted. Temporary Chat stays out of history and does not update memory, but may be held for up to 30 days for safety.
- Gemini Apps: Keep Activity off or Temporary Chat does not mean immediate deletion; Google says those chats remain with the account for 72 hours for response and safety purposes. Chats selected for human review may remain for up to three years and are not deleted when activity is deleted.
Read the retention and deletion terms for the exact account and feature you plan to use. A setting that changes future training or history behavior should not be interpreted as erasing data already retained under a separate safety or review rule.

Can your employer read work-related AI chats?
Possibly, if you use a managed account. OpenAI says administrators of managed ChatGPT accounts may be able to access, export, audit, retain, delete, or control account data, depending on the organization’s configuration and applicable law. That access can include prompts, uploaded files, outputs, chat history, shared workspace content, usage metadata, and settings.

Before entering work information, confirm that the account is employer-approved, identify the actual plan or license, and check administrator access, retention settings, integrations, and internal policy. Ask the data owner or security/privacy team if the rules are unclear.

What information should you avoid entering?
Unless the responsible authority has explicitly approved the use and the service terms support it, do not paste:
- Passwords, authentication codes, or account recovery details.
- Payment-card information or government identifiers.
- Private health information.
- Confidential client or customer data.
- Unreleased business plans or other internal material.
- Legally privileged communications or documents.
When AI assistance is useful, provide the minimum information needed. Remove names, account numbers, and other identifiers, or replace them with generic labels. De-identification can reduce exposure, but context may still make a person identifiable; it is not a guarantee of anonymity.

How to check whether a chatbot is appropriate
- Identify the exact product and account. Determine whether you are using a consumer account, managed workplace account, API, or third-party integration. A shared brand does not ensure shared terms.
- Read the applicable privacy and retention terms. Look specifically for model-improvement use, human review, safety retention, deletion exceptions, and the treatment of uploads and feedback.
- Check the controls in the account. Review training/model-improvement settings, chat history, memory, activity retention, connected apps, and feedback options. Confirm what each control changes rather than relying on its label.
- For workplace data, get authorization. Use only an approved account, verify the plan and administrator configuration, and check the organization’s policy and applicable contract. Escalate uncertainty to the data owner or security/privacy team.
- Minimize what you share. Remove sensitive details where possible and avoid submitting material whose disclosure would create unacceptable harm or breach an obligation.
- Recheck periodically. Providers can change features, settings, and terms; the information here was checked on October 7, 2026, and should not be treated as a permanent guarantee.
