Cisco documents privacy and security controls, but Webex AI Agent Studio, Control Hub Agentic Apps, and other Webex AI features have different data flows and controls. Approve a specific deployment only after checking what information it can access, who can access it, how long it is kept, and where it is processed.
First identify which Webex AI feature you mean
“AI agent in Webex” can refer to distinct products and integrations. Their capabilities and data handling are not interchangeable, so a statement about one should not be assumed to apply to another.

| Feature | What it is | Key data-access question |
|---|---|---|
| Webex AI Agent Studio | A tool for creating scripted and autonomous agents associated with Webex Contact Center. | What content is in its knowledge sources, and who can access or decrypt transcripts? |
| Workspaces MCP server in Control Hub | A connection that gives supported agentic apps access to workspace and device insights. | Which tools and records can the connected app retrieve under the user’s and administrator’s roles? |
| Other Webex AI features | Generative AI and other AI capabilities documented under their own feature-specific terms. | What does that feature’s technical documentation say about inputs, outputs, retention, and processing? |
Cisco’s AI privacy and safety page describes general practices, while feature-specific documentation supplies important details. Check the terms for the exact feature and tenant you plan to use.
What Cisco says about AI inputs and model use
Cisco says it does not retain customer input after inference, and that Microsoft does not access, monitor, or store Cisco customer data. Cisco also reports Microsoft’s representation that customer content is not used to improve Azure OpenAI models and is not stored or retained in Azure infrastructure. These are Cisco’s statements about covered AI features; confirm the applicable feature documentation and contractual commitments before relying on them for sensitive or regulated workloads.

“Not retained after inference” does not mean that content is never processed, that a product-specific transcript is not retained separately, or that a connected application cannot receive information it is permitted to access.
Cisco also says generative AI can produce errors and that it opts in to Azure OpenAI content filtering. Its page states: “All generative AI features are prone to errors, so Cisco prioritizes content safety for AI features by opting in to Content filtering, provided by Azure OpenAI.” Content filtering does not replace human review where an incorrect or unsafe response could cause harm.

What access controls apply to the documented agent options?
AI Agent Studio transcripts and website extraction
Cisco’s AI Agent Studio Administration guide says transcript access is disabled by default. A full administrator for the customer organization must explicitly grant decrypt access. It also says session transcripts are automatically purged after 90 days; verify that this setting and lifecycle apply to the particular service and deployment.

The same guide prohibits using its website-extraction knowledge path for sensitive, confidential, or regulated information, including PCI data, personally identifiable information (PII), and protected health information (PHI). The source website must be publicly accessible and legally authorized for processing. Do not place confidential company material into that extraction workflow.

Workspaces MCP and connected agentic apps
Cisco documents the Workspaces MCP server in Control Hub as providing read-only access to workspace and device information, scoped by Control Hub administrator roles. An administrator can allow or block the server and enable or disable its tools. Cisco says administrators should review authentication, available tools, schema changes, and organizational governance.
Read-only access reduces the risk that an agent will change records, but it does not make retrieved information non-confidential. Assess what an authorized user can see, what the connected app receives, and how that app handles the returned information.

Retention, storage, and processing location are different questions
Retention settings vary by Webex service and content type. Cisco’s Control Hub retention policy documentation describes separate controls for messaging, meetings, calling, and Contact Center, and recommends consulting legal counsel about an appropriate retention period. It lists a maximum documented Meetings retention setting of 360 days and a default Contact Center voice-recording retention of 1,095 days. Those are documented policy values, not a universal retention period for every Webex AI input, output, transcript, or log. Availability can also be affected by progressive rollout.

Do not assume that it controls other records or that a Control Hub retention setting governs every AI artifact.

Data residency can describe where persistent data is stored without describing where a model processes a request. Cisco’s Webex Contact Center data security, privacy, and residency documentation lists processing locations by region and provider. For some geographies, it marks Azure OpenAI processing as “Global,” meaning requests can reach any data center where the models are hosted. The page says EU inference remains within the EU during incidents. Check the row for the exact region and service; a home-region storage statement alone does not establish that inference is local.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Webex encryption helps, but it is not a complete AI data boundary
Cisco’s Webex App security documentation describes end-to-end encryption for specified user-generated content, TLS in transit, encryption at rest, and controls such as moderator-managed space access. It also says Webex cloud services can access encryption keys when needed for functions such as indexing, data loss prevention, file transcoding, eDiscovery, and archiving. Therefore, do not interpret Webex encryption as a blanket assurance that service components cannot access data needed to provide these functions. The page also documents SSO and corporate authentication options.
How to assess a deployment before approval
- Name the exact feature and tenant. Record whether the proposal uses AI Agent Studio, Workspaces MCP, another Webex AI feature, or an external agentic app connected to Webex.
- Classify every data path. List what users submit, what the agent retrieves from knowledge sources or Webex, what it generates, and what is sent to connected applications. Apply company policy to each category.
- Inspect permissions and tools. Limit access to the users, administrator roles, sources, and tools needed for the task. For MCP, review the available tools, authentication, and schema changes before enabling it.
- Check retention by artifact and service. Confirm the applicable settings for transcripts, messages, recordings, prompts, outputs, and logs rather than treating one retention value as comprehensive.
- Verify geography and contractual terms. Confirm both persistent storage location and transient processing location for the selected region, provider, and feature. Check contracts and applicable legal or regulatory requirements.
- Set operational safeguards. Decide who reviews consequential outputs, how errors are escalated, and how access or the integration can be disabled if the deployment changes or no longer meets policy.
When is Webex AI appropriate for confidential data?
A deployment may be suitable only when the exact feature’s data flow, access scope, retention, processing geography, and contractual terms meet the organization’s classification rules. If those facts are unknown, the agent can reach broader content than intended, or a required processing location is not met, do not approve that data path until the issue is resolved.
Recommended Free Tools
In particular, the documented AI Agent Studio website-extraction path is not appropriate for confidential, sensitive, or regulated information. For any other ingestion or integration route, assess its own documentation rather than assuming the same prohibition—or assuming it is safe.
