Applying with AI Honestly and Efficiently: What Applicants Need to Know

AI can help with limited application tasks when the rules allow it. Keep claims grounded in your experience, verify every detail, protect sensitive information, and follow the specific disclosure and assessment instructions.

Use AI for an application only after checking the rules for that specific institution, employer, funder, application component, and stage. Where allowed, it can help you brainstorm, organize your own notes, check grammar, or practise interview questions. The experience, evidence, and final claims must remain yours; verify every fact, protect sensitive information, and disclose AI use in the way the process requires.

Can you use AI to write an application?

There is no universal rule. Some organizations allow limited help such as proofreading or early brainstorming, while others restrict drafting, rewriting, or particular kinds of assistance. A policy for a cover letter does not automatically apply to a writing sample, online test, interview, or other assessment.

Before using a tool, read the current instructions for the specific opportunity and each application component. Check the rules on integrity, AI assistance, disclosure, confidentiality, and assessments. If the guidance is unclear, ask the institution or hiring contact rather than assuming that a use is permitted.

Keep the substance grounded in your own experience. Do not submit invented achievements, inflated qualifications, or generated personal statements as your own where that is prohibited. Be prepared to explain every claim and example without relying on the tool.

What kinds of help may be acceptable?

Permitted assistance varies, but policies commonly distinguish between limited support and AI producing substantive application content. Use the examples below as illustrations of different policies, not as rules that transfer to another organization.

Authority and scope Examples of stated boundaries Disclosure or other conditions
Penn Admissions, undergraduate admissions Brainstorming and grammar checking do not by themselves compromise ownership. AI-generated responses and fabricated experiences cross the stated boundary. Applicants certify that their application is their own work, factually true, and honestly presented.
Yale Undergraduate Admissions Grammar or spelling review and general topic suggestions early in the process are not application fraud under its stated policy. Submitting substantive AI-generated content as one’s own may be application fraud. Follow Yale’s policy for the relevant application and use; it does not establish rules for other institutions.
Cornell Graduate School Allows brainstorming, grammar and spelling correction, short-phrase translation checks, and citation formatting for a self-authored sample. Prohibits substantive AI-generated drafts, AI-generated or substantially revised writing samples, and interview answer assistance. Requires disclosure of any generative AI use, including permitted uses. Field-specific rules may add requirements. The page was updated 2026-09-01.
UK Research and Innovation funding applications Prohibits generating an entire application or sections without human involvement. Improving English or formatting are examples of minimal use. Expects transparency for substantive use; minimal uses need not be disclosed. Do not enter another person’s sensitive or personal data without formal consent. The guidance was updated 2026-07-06 and applies to UKRI funding opportunities.
Public Service Commission of Canada, federal public-service hiring AI may be permitted or prohibited depending on the assessment. Guidance recommends that candidate instructions specify permitted tools and stages. When AI is allowed, guidance recommends identifying AI-generated content and its source, and explaining possible consequences. It also warns that detection tools may be unreliable.
MI6 recruitment Allows advance preparation and phrasing or formatting review; prohibits AI in online tests, interviews, automated video interviews, written exercises, and interactive assessment centres. Applicants are cautioned not to enter personal data or the organization’s name.
Australian Public Service recruitment, DEWR guidance Warns about generic writing, misrepresentation, inaccurate content, and privacy risks. Applicants remain responsible for accuracy and should disclose AI use when asked. The guidance was last modified 2026-02-24.

The differences matter: for example, Cornell requires disclosure even for permitted uses, while UKRI exempts minimal uses. Neither policy determines what another process requires. Check the authority, application component, permitted assistance, disclosure wording, assessment stage, privacy limits, and any consequences or review procedure that apply to your own application.

How to use AI without handing over authorship

  1. Read the rules first. Check the instructions for each component and stage before entering information into a tool. Confirm whether brainstorming, proofreading, translation, rewriting, drafting, or interview practice is allowed.
  2. Start with your own material. Gather the role or funding criteria, your real examples, notes, and any draft you have written. Where permitted, ask for questions that help you recall a relevant example or a checklist of points your draft may not address. Do not ask the tool to invent an achievement or write a personal account as if it were yours.
  3. Keep proofreading narrow. If allowed, request spelling, grammar, or clarity feedback without adding claims or changing your meaning. Cornell expressly permits grammar and spelling correction; Penn and Yale describe limited writing support within the broader expectation that the application remains the applicant’s own.
  4. Verify every detail. Check names, dates, metrics, qualifications, and examples against your own records. Remove anything you cannot substantiate; AI output can be inaccurate or misleading.
  5. Restore your own voice. Read the final version aloud and revise wording that does not sound like you. Penn Admissions offers a practical test: “Here’s a simple test: if you couldn’t explain, in an interview or conversation, how you arrived at what you wrote, or speak to it in your own words, it isn’t ready to submit.”
  6. Disclose as required. Use the process’s specified format and threshold. Cornell asks graduate applicants to describe the category of tool, its purpose, and the application section it helped. UKRI expects transparency for substantive use but does not require disclosure for minimal uses such as improving English or formatting. Do not copy either approach into another application unless that process’s rules support it.

Are interviews, tests, and live exercises different?

Yes. Permission to use AI while preparing does not necessarily permit its use during an assessment. Some employers and funders set separate limits for tests, interviews, written exercises, and other live or evaluated stages.

  • MI6 permits advance preparation but bars AI in its online tests, interviews, automated video interviews, written exercises, and interactive assessment centres.
  • UKRI prohibits AI use in application interviews.
  • Cornell Graduate School prohibits assistance with interview answers under its guidance.
  • Canadian federal hiring guidance says candidate instructions should identify which tools and stages are allowed or prohibited.

Use AI during a live assessment only if the instructions explicitly allow it. If the rules do not say, ask the organizer before the assessment begins.

Is it safe to paste a résumé or application into an AI tool?

Not by default. An application may contain personal data, confidential information, references, or details about other people. UKRI warns that “The confidentiality of information entered into generative AI tools is not guaranteed.” MI6 advises applicants not to enter personal data or the organization’s name, and UKRI says not to enter other people’s sensitive or personal data without formal consent.

What to do if you are unsure

  1. Find the official policy for the exact institution or opportunity, not a general article about AI use.
  2. Check the specific component and stage: a personal statement, writing sample, test, and interview can have different rules.
  3. Look for the permitted assistance, disclosure threshold and format, privacy restrictions, and any stated consequences.
  4. If an important boundary remains ambiguous, contact the organization and keep its answer with your application notes.
  5. If you have already used AI, compare what you did with the rules. Correct inaccurate or unsupported content, and disclose the use if required by that process.
