Alternatives to Dashboards for Sharing Business Metrics

You can share business metrics without asking everyone to open a dashboard. Common options include scheduled reports, threshold alerts, KPI scorecards, downloadable or printable files, and analytics embedded in an app people already use. Choose based on whether readers need a routine update or an exception, a summary or detail, fresh interactive data or a snapshot, and what access and setup the workflow requires.

Choose a format by the decision it needs to support

First decide what recipients should do with the information. A weekly operating review, an urgent exception, progress against a target, and a customer-facing metric view call for different ways of sharing data. Also consider how current the information must be, whether recipients can access the destination, and how much detail they need.

  • Routine updates: Send scheduled reports at a useful cadence.
  • Exceptions: Notify a defined audience when a metric crosses a threshold.
  • Goal tracking: Use a focused KPI scorecard tied to objectives.
  • Recordkeeping or further analysis: Export or print a report in a suitable format.
  • Metrics inside an existing workflow: Embed analytics in an application people already use.

These are different communication patterns, not proven rankings. Product documentation describes available features; it does not establish that one method universally improves decisions or business results.

Scheduled reports: recurring summaries in familiar channels

A scheduled report delivers a snapshot or extract on a set cadence, so recipients can see updates through email or a collaboration tool rather than repeatedly visiting a dashboard. It suits routine reviews when the reporting interval matches the decision: for example, a weekly summary for a weekly meeting.

#1 Best Overall
Creative Safety Supply Sales Leaderboard Whiteboard 48" x 36"
  • Magnetic Dry-Erase Surface – Vinyl-printed surface resists stains and ghosting for long-term visibility and smooth writing performance
  • Easy Installation – Includes mounting brackets and hardware for secure and hassle-free wall mounting
  • Durable Aluminum Frame – 1" aluminum border paired with a 2.5" deep aluminum tray for convenient accessory storage
  • Usable Writing Surface – Writing area measures 2" less than the board's total dimensions

Delivery options depend on the product and its configuration. Apache Superset documentation describes reports sent by email or Slack; its alerts and reports are disabled by default and require configuration, including a suitable headless browser. Looker documentation describes instant or recurring delivery to destinations including email, webhooks, Amazon S3, SFTP, and some integrated services. HubSpot documentation describes sharing through email, Slack, or Google Chat, as well as recurring report emails.

A scheduled message is still a snapshot of information at a point in time. Make its reporting period and delivery cadence clear, and check whether a recipient needs a live view or the ability to explore data after receiving it.

Threshold alerts: notify people when a condition is met

Use an alert when the key message is that something crossed a defined condition, rather than a recurring delivery of the full report. Apache Superset documents alerts triggered when a SQL condition is reached; Looker documents alerts based on query results reaching or exceeding a specified threshold (Superset; Looker).

  • Magnetic Dry-Erase Surface – Vinyl-printed surface resists stains and ghosting for long-term visibility and smooth writing performance

An alert needs both a meaningful condition and a route to the people who can respond. Set the threshold, recipient, and context carefully: a notification that says what changed and where to investigate is more actionable than an unexplained number. Whether the alert can be configured and where it can be delivered depends on the product and deployment.

KPI scorecards: keep attention on goals

A scorecard is useful when recipients mainly need to know whether a small set of measures is progressing toward agreed goals. Microsoft Learn defines a KPI as “a measurable value that shows how effectively you’re meeting your goals” and describes KPIs as a company scorecard for measuring delivery on objectives (Microsoft Business Central reports documentation).

Keep the scorecard focused on the measures that matter to the audience and make the target, reporting period, and current result clear. A scorecard frames progress; a more detailed report can provide supporting breakdowns when readers need to understand what is behind a result.

Exports and printable reports: share a file or data extract

Files can be useful when recipients need an attachment for a meeting, an archive, a printout, or data to work with in a spreadsheet. A visual snapshot and machine-readable data serve different purposes, so select a format based on what the recipient needs to do.

Documented product Documented output Useful distinction or constraint
Microsoft Business Central Reports can be used in Excel, printed, or saved as a file. Business Central describes more than 300 built-in reports; that count applies to Business Central, not reporting products generally. See Microsoft documentation.
Apache Superset PDF and PNG deliveries for dashboards or charts; CSV or XLSX for chart-level data. Visual delivery and chart data export are distinct options. See Superset documentation.
Grafana PDF, CSV, and embedded images as report attachments. The documented reporting feature has a default 10 MB attachment limit, which can be changed in configuration. See Grafana documentation.

Before choosing an export workflow, confirm that the needed format is available for the particular report or chart, and that the file can be delivered within applicable size limits.

Embedded analytics: put metrics in an existing application

Embedding places reports or metrics within a CRM, product, or internal application that users already rely on. Microsoft describes embedded BI as placing content inside existing apps, with APIs and integrations used to connect and manage those components (Microsoft Power BI embedded analytics documentation).

  • [Easy to Assemble & Accessories] Easy assembly, with assembling instruction sheet & tools included. Detachable marker tray and 2 hooks included.

This option may fit staff workflows or a customer-facing product experience, but it involves more than displaying a chart. Plan for integration and ongoing maintenance, authentication, data permissions, and security. Confirm which audience should see which data and whether the application can enforce those access rules.

Compare the options before choosing

Question Why it matters
Is the need routine or exception-based? Recurring summaries suit a scheduled report; a defined condition suits an alert.
Do readers need a summary or detail? A scorecard emphasizes goal progress; a report or data extract can carry more detail.
Can recipients act from email or chat, or must they explore data? A message or file may be enough for a quick update; investigation may require an interactive environment.
How fresh must the information be? A delivered snapshot can become stale after it is sent. Match its cadence to the decision and clarify its reporting period.
Who is the audience, and what can each person access? Check permissions for reports, exports, alerts, and embedded content before sharing.
Which destinations, formats, and size limits are supported? Capabilities vary by product and content type; verify that the intended delivery will work.
What setup and ongoing maintenance are required? Some features need configuration; embedding additionally requires integration and access-control planning.

Verify availability in your product and deployment

Do not assume a feature is included or enabled just because a vendor documents it. Availability can vary by plan, configuration, and deployment. Check the precise destination and format, whether recurring delivery or alerting is enabled, who is permitted to receive the content, and any attachment limits. Superset, for example, requires configuration for alerts and reports; Grafana documents a default 10 MB attachment limit for its reporting feature.
