Use AI transcription when you need a searchable record of what was said and can review it; take notes yourself when you need a selective record or the conversation should not be recorded. Neither method is automatically more accurate or safer. The right choice depends on what the meeting contains, what record you need, whether participants agree, and who can check the result.
What is the difference between AI transcription and human notes?
An AI transcript attempts to render spoken words as text. AI summaries and action lists go further: they select and interpret parts of the conversation, and can leave out or distort details even when the transcript is usable. Human notes are usually selective from the start: the note-taker chooses what seems important rather than recording every sentence.

| Approach | What it gives you | Main trade-off |
|---|---|---|
| AI transcription | A more complete, searchable draft of the spoken discussion. | Recognition errors and sensitive recordings require review and careful handling. |
| AI summary or action list | A shorter interpretation of selected discussion points. | It may omit context, misstate a decision, or assign an action incorrectly; check it against the conversation. |
| Human notes | A selective record shaped around the meeting’s purpose. | They can omit details that later matter, and taking them may compete with listening. |
| AI capture plus human review | A draft transcript or summary checked by someone who understands the meeting. | It adds review work and does not remove the need to handle the underlying audio and text appropriately. |
More words do not necessarily make better notes. If you need exact phrasing, a transcript may help; if you need decisions and next steps, a carefully edited summary may be more useful. A transcript is not a substitute for a record designed for a specific purpose.
Which method is more accurate?
There is no sound single accuracy percentage for AI transcription versus human note-taking across meetings. Results depend on factors such as microphones, background noise, accents, overlapping speakers, and specialist vocabulary. A transcript can mishear words or attribute them to the wrong person. A human note-taker can miss a point, compress it, or record an interpretation rather than the exact wording.

Official guidance treats generated text as something to verify, not as an authoritative record. The U.S. Department of Education’s Grants and Artificial Intelligence (AI) guidance, reviewed February 20, 2025, says: “After an AI-transcribed meeting has ended, grantees should review and appropriately edit the transcript to ensure clarity and accuracy.” NHS England Digital’s ambient-scribing guidance, edited May 7, 2026, likewise warns: “Notes, summaries and letters that have been created by ambient scribes might sometimes contain errors.” These recommendations concern their respective settings; they do not establish a universal error rate.
What to verify in an AI draft
- Names, speaker attribution, dates, and figures.
- Negations and qualifications, such as “will not,” “only if,” or “not yet.”
- What was actually decided, rather than merely proposed or discussed.
- Action owners and deadlines.
- Any sensitive disclosure that should not be copied into a shared summary.
When the stakes are high, compare questionable passages with the source audio if you are authorized to access it. The American Psychological Association’s Guidance for the evaluation of AI scribes also advises reviewing and correcting AI-generated documentation before signing it. If you cannot check the output, do not present it as a verified account.
Does AI note-taking improve attention?
It can remove the need to type or write every point while a conversation is happening, which may leave more room to listen. But starting a tool, monitoring it, troubleshooting it, or reviewing its output takes attention too. Which effect matters more depends on the person, meeting, and workflow; the evidence cited here does not establish a universal attention benefit or harm from AI transcription.

Studies often invoked in this discussion address a different question. Mueller and Oppenheimer’s 2014 study of students taking lecture notes argued that laptop note-taking could encourage verbatim capture and shallower processing than longhand notes. In a 2021 direct replication, Urry and colleagues found that laptop participants took more words, but concluded the results did not support a general longhand advantage for immediate learning. Neither study tested AI transcription in meetings. They therefore cannot establish that AI either improves meeting attention or reduces it.
Choose a workflow that protects participation
- If you need to lead or contribute actively, consider asking a designated note-taker to capture decisions and actions rather than trying to operate a recording tool yourself.
- If a transcript would help you follow the discussion, use it only where permitted and with appropriate notice and consent.
- If recording would distract you or other participants, take a short decision-focused note or arrange a written follow-up instead.
When is human note-taking the better choice?
Manual notes are a practical fit when a concise record is enough, when the meeting is sensitive, or when policy does not allow recording or automated transcription. They can also help a group avoid creating a detailed audio-and-text archive when only decisions and assigned tasks need to be retained.
To make selective notes more dependable, record the meeting’s purpose, decisions, unresolved questions, action owners, and deadlines. Mark uncertainty rather than turning an unclear exchange into a confident statement. Afterward, confirm consequential decisions or assignments with participants. A paper notebook and pen are sufficient for this workflow; stationery does not by itself make notes more accurate.

Is AI transcription safe for a confidential meeting?
There is no answer that applies to every service. Privacy depends on the tool’s actual processing, access, retention, and deletion arrangements, as well as the information being discussed. Before enabling transcription, find out whether audio is processed live or uploaded, whether subprocessors handle it, where data is stored, how long audio and text remain, whether data may be used for training, who can access or share the output, and how deletion works.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Vendor documentation is specific to that vendor. For example, Notion’s Help Center article Take AI meeting notes in Notion describes subprocessors and different temporary audio handling depending on use. That documentation should not be treated as an independent audit or as a description of other transcription services.
Get agreement and set limits before capture
Tell participants what will be recorded or transcribed, why, who can access the output, and how long it may be kept. Obtain consent appropriate to the setting and offer a non-recorded alternative where feasible. GOV.UK’s Taking notes and recording user research sessions guidance calls for informed consent and says personal data should only be used as agreed. The U.S. Department of Education also recommends advance written and verbal notice about AI transcription or recording and how the resulting transcript will be used. These are guidance for particular contexts, not a complete statement of legal requirements everywhere; check local rules and organizational policy.

Some settings prohibit automated transcription altogether. The Canadian Institutes of Health Research’s policy for its peer-review deliberations prohibits automatic transcription or summarization because vendors may retain transcripts or use them to train applications. It provides an exception for disability accommodations with advance approval. That is a CIHR-specific policy, not a universal legal rule. For confidential or regulated material, follow the applicable policy; sometimes the appropriate choice is not to record.
How should you decide before the next meeting?
- Define the record you need. Choose a transcript only if preserving and searching spoken detail is useful. Choose selective notes for decisions and actions. Treat generated summaries as interpretations, not transcripts.
- Check sensitivity and permission. Explain the purpose and handling of any recording, obtain the required consent, and check organizational policy and applicable requirements before turning on a tool.
- Check the service’s terms and settings. Review processing, subprocessors, storage, retention, deletion, training use, access controls, and sharing for the specific feature you plan to use.
- Assign responsibility for review. Identify who will verify names, numbers, decisions, and actions, and who may see the final record. If no one can review it, do not rely on generated text as a verified account.
- Keep only what the purpose requires. Share the reviewed information needed for that purpose and avoid retaining raw audio longer than policy requires.
A useful default is selective human notes for routine, low-stakes discussion; reviewed AI transcription when a fuller record is needed and recording is appropriate; and no recording when consent, policy, or confidentiality rules do not permit it.
